Build the agent in Workato Agent Studio as a genie: define its job description, choose an AI model and chat interface, add knowledge sources when needed, and attach skills that run connector actions. Those skills are the controlled bridge between a natural-language request and Salesforce, Slack, Microsoft Teams, or another connected application. You must also choose whose credentials a skill uses: the builder’s connection or each end user’s connection through Verified User Access. Test with isolated, non-production connections because Workato test mode can perform real writes. After validation, deploy the genie in Slack, Microsoft Teams, or Workato GO, or expose selected skills to external AI clients through authenticated MCP servers.

What is a Workato AI agent, and what does it actually do?

Workato Agent Studio uses the term genie for an interactive AI agent that operates inside an organization. A genie interprets a user’s request, consults its instructions and knowledge, and decides whether to invoke one of its configured skills. A skill is a workflow with a defined input schema and one or more connector actions, so the agent can turn a request such as “create a Salesforce follow-up task” into a controlled recipe execution.

The genie itself does not gain unlimited access to your applications. Every action runs through a Workato connection, and the permissions of the authenticated application account determine what the recipe can read or change. You therefore design two things in parallel: the conversational behavior and the authorization boundary around each action.

What do you need before building the genie?

Prepare the accounts, environments, and decisions below before opening Agent Studio. Doing this first prevents a useful prototype from becoming a production security problem.

  • Workato access: an account and workspace where Agent Studio and the required connectors are enabled.
  • A defined business job: write down who will use the genie, the outcomes it should produce, data it may access, and actions that require confirmation.
  • Application accounts: credentials for Salesforce, Slack, Microsoft Teams, or other apps. Use a dedicated service account for builder-owned connections rather than an employee’s personal account.
  • A safe environment: sandbox tenants, test workspaces, or environment-specific connection overrides for development and testing.
  • Permission decisions: decide whether skills should run with one shared account or with each requester’s identity through Verified User Access.
  • Availability checks: confirm that your Workato plan, data center, administrator settings, and any required AI addendum permit AI by Workato or MCP features.

Workato’s connector platform is described as providing over 1,000 connectors. Treat that as a current product-description claim rather than a dated market statistic; connector availability and features can vary by application and plan.

How do you create a new Workato genie?

Start in Agent Studio and let the initial goal become a draft that you can refine. The generated text is editable; it is not a substitute for a precise operating policy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open AI Hub > Agent Studio.
  2. Select + Create genie, then choose New genie.
  3. Choose the genie’s location.
  4. In What would you like your genie to help with?, describe the business outcome in plain language. For example, specify that the genie should triage inbound sales requests, look up the account, and create a follow-up task only after confirmation.
  5. Click Start building. Workato generates an editable job description from your goal.

Use a narrow first goal. “Help with CRM” is too broad to govern. “Find an account by email, summarize its open opportunities, and create a task assigned to the requesting user after confirmation” gives you clear data access, an observable result, and a boundary for the first set of skills.

How should you write the genie’s job description?

The job description is the main behavioral instruction layer. It should tell the model what role it plays and how to behave when information or authorization is missing.

Define the role and audience

Name the business function and the intended users. State whether the genie serves sales representatives, support agents, finance staff, or a mixed audience. If different groups need different capabilities, plan separate skills or separate genies rather than relying on an ambiguous sentence.

Specify allowed goals and data

List the outcomes the genie may pursue and the systems it may consult. Distinguish read operations from writes. For example, it may read an account record and open opportunities, but it may not alter a contract or close an opportunity without explicit confirmation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Describe clarification and confirmation rules

Tell the genie when to ask a follow-up question. Require clarification for missing identifiers, conflicting records, ambiguous dates, or an unclear target user. Require confirmation before destructive or high-impact operations, such as deleting records, sending an external message, changing a customer status, or creating a financial commitment.

Set boundaries and failure behavior

State what the genie must refuse, what it should do when a connector returns an authorization error, and how it should report a missing record. Instruct it not to claim an action succeeded until the skill returns a successful result. These rules make failures visible instead of allowing a confident but inaccurate response.

Which AI model and chat interface should you select?

Workato documents Workato-hosted Anthropic Claude as the default model. The setup also supports OpenAI GPT and a customer-managed large-language-model connection. Select the model option that satisfies your organization’s data, latency, and procurement requirements; keep the job description and skill permissions independent of the model choice so you can change models without redesigning every workflow.

Choose one of the documented genie chat interfaces: Slack, Microsoft Teams, or Workato GO. The interface determines where users converse with the genie, not which application connections its skills can call. If you need to change the interface later, stop the genie first, make the change, and then restart or redeploy it according to your workspace’s release process.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Decision Available choices What it changes
Model Workato-hosted Anthropic Claude, OpenAI GPT, or a customer-managed LLM connection How requests are interpreted and responses are generated
Chat interface Slack, Microsoft Teams, or Workato GO Where users send requests and receive responses
Action authorization This recipe’s connection or End user’s connection Which identity and permissions a skill uses when it runs

How do you add knowledge to a genie?

Use a knowledge source when the genie must answer from changing business information rather than from instructions alone. Workato’s documented pattern is a knowledge-base recipe that synchronizes information from business applications.

  1. Create or attach a knowledge-base recipe in the genie configuration.
  2. Give the recipe a trigger that identifies new or changed source information.
  3. Add the Store knowledge action and map the source fields that should be searchable.
  4. Test the recipe with representative records.
  5. Save the recipe and confirm that the genie can retrieve the expected information.

Keep knowledge synchronization separate from write skills. A synchronization recipe updates what the genie can find; a business-action skill changes a record or sends a message. Separating those responsibilities makes it easier to troubleshoot stale answers without granting the knowledge recipe unnecessary write permissions.

How do you create a skill that connects the genie to a business app?

Create one skill for each meaningful business action or tightly related action sequence. Skills should have a clear purpose, a small input schema, an explicit confirmation policy, and a connector action that can be tested independently.

  1. In the genie’s Enterprise skills section, choose Add > Skill > New skill.
  2. Choose whether the skill requires confirmation. Enable confirmation for destructive, externally visible, or financially consequential operations.
  3. Describe when the genie should run the skill. Include the required facts, such as a record ID, email address, date range, or destination channel.
  4. Define the input schema. Give each input a clear name, type, and description, and identify which fields are required. Avoid a single free-form field when a connector needs several distinct values.
  5. Select the app action that performs the work. Connector actions expose the application’s supported operations; choose the narrowest action that meets the requirement.
  6. Choose the connection type: This recipe’s connection or End user’s connection.
  7. Connect the application, map the skill inputs to the action fields, and configure any required options.
  8. Test the recipe with safe values and verify the returned result.
  9. Save the skill, then review its description and permissions from the genie configuration.

Example: a Salesforce follow-up skill

A practical schema could require account_identifier, task_subject, due_date, and owner. The skill description should say that it runs only after the genie has identified a single account and the user has confirmed creation. The recipe then uses the Salesforce connector to create the task with the selected connection. If the account search returns multiple matches, the genie should ask the user to choose one instead of guessing.

Define inputs for the destination channel, message text, and an optional thread identifier. Limit the allowed channels in the recipe or through the connected account’s permissions where possible. If posting externally could disclose sensitive information, make confirmation mandatory and include a preview of the final message.

How do Workato connectors authenticate and authorize actions?

A Workato connection authorizes a recipe to interact with an application through triggers and actions. Establish the connection before configuring the recipe’s trigger or action. The authenticated account’s permissions are decisive: Workato cannot perform an operation that the application account is not allowed to perform.

Use a builder or service-account connection

With This recipe’s connection, the skill runs using the connection selected by the builder. This is appropriate for a controlled service identity whose permissions are intentionally scoped to the genie’s job. Create a dedicated service account, grant it only the required application roles, and document which skills can read or write data. Do not bind production automation to an individual employee account that may be disabled or depart.

Use each requester’s identity with Verified User Access

End user’s connection uses Verified User Access so each user authenticates with their own application credentials and permissions. This model is useful when users must see only records they are allowed to access or when user-level auditability matters. The documented option requires OAuth 2.0 authorization-code grant support from the connected application.

Credential model Best fit Controls to apply
This recipe’s connection Shared service workflows with stable, centrally managed permissions Dedicated service account, least privilege, credential rotation, and a record of every skill that can write
End user’s connection (Verified User Access) User-scoped authorization and auditability OAuth 2.0 authorization-code grant, user consent, correct app scopes, and a plan for revoked or expired tokens

Choose the credential model per skill, not just per genie. A read-only lookup may safely use a service account, while an approval or update operation may need to run as the requesting user.

How do you connect Salesforce, Slack, Microsoft Teams, or another app?

The connector setup follows the same pattern even though field names differ by app. First establish authentication, then select the trigger or action, map inputs, and test with records that are safe to create or change.

  1. Open the skill or recipe step that needs the application.
  2. Select the relevant connector and choose New connection or an existing approved connection.
  3. Complete the application’s sign-in and consent flow, or enter the required connection details for that connector.
  4. Confirm that the account has the exact object, channel, workspace, or tenant permissions the action needs.
  5. Select the trigger or action, then map fields from the skill input schema.
  6. Use a sandbox record, test channel, or non-production tenant for the first run.
  7. Inspect the returned fields and error handling before saving the recipe.

For Salesforce, verify object-level and field-level permissions as well as record visibility. For Slack or Microsoft Teams, verify that the connected identity can access the target workspace, channel, or team. A successful Workato connection only proves that authentication completed; it does not grant permissions that the application account lacks.

Can a Workato genie use MCP tools or serve external AI clients?

Yes. A genie can consume tools from a custom or common-provider Model Context Protocol (MCP) server. In the genie configuration, enter the MCP server URL and authentication details, then select the available tools as skills. Apply the same input, confirmation, and least-privilege review you would apply to a native connector skill.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Workato MCP can also expose curated integrations to external AI clients through authenticated servers. This allows selected Workato capabilities to be used by clients such as ChatGPT, Claude, or Cursor without exposing every recipe in the workspace. Publish only the skills that have a clear external use case, require authentication, and keep write operations behind confirmation or an approval workflow.

When MCP is a better fit

  • Users already work in an external AI client and need a small, governed set of business actions.
  • You want to reuse a curated integration surface across several AI clients.
  • You need to keep the underlying recipes private while exposing only selected tools.

When a native genie skill is simpler

  • The conversation will live in Slack, Microsoft Teams, or Workato GO.
  • The action is tightly coupled to the genie’s job description and confirmation rules.
  • You want all users and usage metrics managed inside the Workato genie deployment.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

How do you test a genie without changing production data?

Treat test mode as production-impacting unless every connection is isolated. Workato documents that test mode mirrors production behavior and that skills can run against real connected systems unless you configure non-production connections. A test message can therefore create, update, or delete data when a write-capable connection is selected.

  1. Create sandbox or test accounts in each connected application.
  2. Create environment-specific connection overrides so the test recipe resolves to those accounts.
  3. Use test channels, test teams, and clearly labeled records for messaging and CRM actions.
  4. List every skill that can write data and mark whether confirmation is required.
  5. Run read-only scenarios first, then controlled write scenarios with known test values.
  6. Record the IDs of records created or changed during testing so they can be reset or removed.
  7. Reset the test data between scenarios; otherwise one conversation’s state can hide a mapping or authorization defect.
  8. Before release, switch deliberately to approved production connections and repeat a small smoke test with a low-impact record.

What to verify in each test

  • Interpretation: the genie asks for missing information instead of inventing it.
  • Authorization: the action succeeds only for records and operations allowed to the selected connection.
  • Confirmation: high-impact skills pause before execution and show the user what will happen.
  • Mapping: dates, IDs, owners, channels, and text arrive in the correct connector fields.
  • Failure reporting: a connector error is returned clearly and the genie does not claim success.

How should you deploy and govern the genie?

Deploy through the selected chat interface only after the job description, skills, connections, and tests have been reviewed. Restrict collaborators and end-user groups to people who need the capability. Review every skill’s permissions, especially those that write or send information outside the organization.

Release controls

  • Assign an owner for the genie and a backup owner for connection and prompt changes.
  • Document the purpose, input schema, confirmation rule, and connection identity for every skill.
  • Keep production credentials separate from development credentials.
  • Require a review when a skill changes from read-only to write access or when its target application changes.
  • Limit external MCP exposure to a curated set of authenticated tools.

Operational monitoring

Monitor conversations, response time, unique users, and skill usage. Investigate unusual spikes, repeated failures, or a sudden increase in write operations. Review conversation samples for ambiguity, unauthorized requests, and cases where the genie should have asked for confirmation. Monitoring is useful only when each skill has a clear owner who can correct its recipe, connection, or instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What are the most common build failures, and how do you fix them?

The genie answers but never runs a skill

Check that the skill is saved under the genie’s Enterprise skills section, that its trigger description matches the user’s phrasing, and that the input schema can be completed from the request. Add explicit wording for required identifiers and test with a short, unambiguous prompt.

The skill fails with an authorization error

Confirm which connection type the skill uses, then inspect the connected application account’s roles, object permissions, workspace membership, and scopes. Reconnect only after correcting the application permission; changing the prompt cannot grant an account access it does not possess.

The genie performs a write too early

Enable the skill’s confirmation requirement and add a job-description rule that previews the target and requested change. Test both a confirmed and a declined request. If the operation is especially consequential, place an approval step in the recipe rather than relying on conversational confirmation alone.

Knowledge answers are stale or incomplete

Test the knowledge-base recipe independently, verify that its trigger detects changed source records, and inspect the fields sent to Store knowledge. Keep synchronization credentials and schedules separate from action skills so a failed sync does not silently alter write behavior.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Test data appears in production

Stop testing, identify the connection used by the write skill, and replace it with a sandbox or environment-specific override. Record affected IDs, notify the application owner, and review the test plan before running another scenario. Do not assume that the label “test mode” provides isolation.

Which implementation choices should you make first?

Use the following decision framework before adding a large catalog of skills.

Question If you choose this Design implication
Should actions run as one controlled identity or as the requester? Shared builder/service account Centralize permissions and audit the service identity carefully
Verified User Access Require OAuth 2.0 authorization-code grant and manage user consent and token state
Where should users interact? Slack, Microsoft Teams, or Workato GO Deploy the genie in the selected interface
External AI client Expose only selected capabilities through authenticated MCP
Should the agent act automatically? Automatic execution Reserve for low-impact, reversible operations
Confirmation or approval Use for destructive, external, financial, or sensitive actions
Where should development run? Sandbox or isolated environment Use non-production connections and reset test data between scenarios
Production connection Only after review; treat every test as capable of changing live data
How should the genie obtain business facts? Instructions only Suitable for stable policy and behavior rules
Synchronized knowledge recipe Use a trigger and Store knowledge action, then test freshness and coverage

What is a practical rollout plan?

A staged rollout limits the blast radius while you learn how users phrase requests.

  1. Prototype: create one genie, one read-only knowledge source if required, and one low-risk lookup skill.
  2. Validate authorization: test the same request with the builder connection and with a Verified User Access account when applicable.
  3. Add one write: introduce a reversible write skill with mandatory confirmation and a sandbox connection.
  4. Observe usage: review conversations, response times, and skill errors with a small pilot group.
  5. Harden: refine clarification rules, tighten app permissions, and document production-impacting skills.
  6. Deploy broadly: release through Slack, Microsoft Teams, or Workato GO, or publish a limited MCP surface for external clients.
  7. Review continuously: remove unused skills, rotate service credentials, and reassess permissions whenever an app role or business process changes.

The core design principle is simple: let the model decide which approved capability fits a request, while Workato connections, recipe logic, confirmation steps, and application permissions decide what can actually happen.

Frequently Asked Questions

Is AI by Workato available in every Workato data center?

No. Availability depends on the plan, data center, administrator settings, and required addendum. The documented AI by Workato offering is not available in the CN data center, so verify regional eligibility before designing a deployment around it.

What happens when a user’s Verified User Access token expires?

The skill cannot complete the application call until the user reauthorizes through the connected app’s OAuth flow. Design the genie’s failure response to explain that authorization is needed rather than presenting the interruption as a recipe or data error.

Can one skill combine actions from more than one business app?

Yes, a Workato recipe can orchestrate connector actions across applications, but keep the skill’s purpose and input schema narrow. If the sequence includes an external message or an irreversible update, require confirmation before the step that creates the material impact.

How should I expose Workato tools to an external AI client safely?

Publish only curated MCP tools through an authenticated server, with least-privilege connections and explicit confirmation for writes. Review the exposed tool list whenever a recipe, connection scope, or external client changes.
