Before canceling Dropbox, make a separate copy of the files you need, check that the copy opens, and only then end the subscription. A paid individual plan changes to Dropbox Basic at the end of the current billing cycle; Basic has a 2 GB quota. If your account is over that limit, Dropbox says some actions may be restricted and it may delete files you own to bring the account below quota.

What happens to your files when you cancel Dropbox?

Canceling a paid individual plan does not immediately downgrade the account. Dropbox says the account becomes Basic at the end of the current monthly or yearly billing cycle, and the subscription will not be charged again. Its cancellation article, updated in 2023 and accessed on October 25, 2026, lists Basic storage as 2 GB.

That quota matters if your account contains more than 2 GB. Dropbox says over-quota accounts may be unable to sync, upload, share, move, or preview files. It also says it may delete files you own to bring the account below the storage limit, so do not treat an over-quota Dropbox account as the only safe copy of your data.

Dropbox Backup content remains accessible after cancellation, but it is subject to the quota of the new plan. The practical takeaway is to create and verify an independent copy before the paid period ends, rather than waiting to see how the downgraded account behaves.

What should you check before making a backup?

First establish what is in the account and where the files actually live. A folder visible in Dropbox is not necessarily a fully downloaded local folder, and a shared folder may contain material you do not own.

  • Measure the data. Check the Dropbox storage total and use it to choose a destination with more capacity than the data you intend to keep. Leave room for future files rather than selecting a drive that barely fits.
  • Find online-only files. Identify files or folders that are visible in the Dropbox desktop folder but are not stored locally. They need to finish downloading before a local copy can serve as a backup.
  • Review shared folders. Decide which shared content you need, and confirm that you own it or can otherwise export or retain a copy. Access to a shared item does not by itself establish that you control its copy.
  • Include Dropbox Backup content. Treat computer or external-drive backups in Dropbox Backup as a separate part of the inventory. Identify whether you need to download that content or restore it to a new computer.
  • List files that must be available offline. Prioritize work files, photos, videos, archives, and other items you cannot easily replace. This helps you spot missing folders during verification.

How do you prepare Dropbox so the copy is complete?

Let Dropbox finish syncing before you export or copy files. Dropbox’s guidance recommends checking available storage, closing open files, installing the desktop app, resuming sync, and connecting to the internet before backing up.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Check available storage and account status. Make sure the account has room to complete any pending sync. If it is already over quota or sync is paused, address that before assuming the local folder is current.
  2. Close files that are open in other apps. A document being edited can change during a copy. Close it first, then allow Dropbox to synchronize its latest version.
  3. Connect to the internet and resume syncing. Keep the computer online and wait for the desktop app to report that syncing is complete. If the app shows a pause or an error, resolve it before proceeding.
  4. Make online-only items available locally if using the desktop-folder method. Wait for them to download; a cloud placeholder is not a complete local copy.
  5. Check the account again. Compare the Dropbox data total and the folders you inventoried against what you intend to copy. A completed sync indicator is useful, but it does not replace checking the contents of the backup.

If the desktop app cannot complete a sync, do not assume that copying its folder will capture everything in the account. Use Dropbox’s web download option for the folders you need, or resolve the sync problem before relying on a local folder as your complete copy.

How can you copy Dropbox files to an external drive?

An external hard drive is a practical destination for a separate copy. You can download folders from dropbox.com, or copy the fully synchronized Dropbox desktop folder to the drive. Choose based on the amount of data, whether files are online-only, and whether you need a particular folder structure preserved.

Method Best fit What to watch for
Download folders from dropbox.com Selected folders or files, or an account whose desktop sync is incomplete Confirm that each intended folder is included in the download and that the resulting copy can be opened from the destination.
Copy the Dropbox desktop folder A local folder that has finished syncing, including the files you want to retain Online-only items must be downloaded first; copying a placeholder is not the same as copying the file contents.
Download Dropbox Backup as a ZIP Content stored in Dropbox Backup when you want an archive copy Dropbox says Backup content can be downloaded as a .zip file. Check the extracted contents or open the archive to confirm it contains what you need.
Restore Dropbox Backup to a new computer When the goal is to put backed-up files back in their original locations on another computer Dropbox says Backup can restore files to the same locations on a new computer. Check the restored folders before changing the account.

Choose the destination drive

Measure the Dropbox data you plan to keep, then choose a drive with capacity above that amount and headroom for additions. A portable SSD is a compact, faster option than a conventional external hard drive, but capacity and price should be weighed against how often you move or access the copy. The key requirement is not the drive type: it is having a separate, readable copy that remains available if the cloud account changes.

File-system compatibility can affect whether a drive works as expected. Dropbox lists Windows support for NTFS, exFAT, and FAT32, and macOS support for HFS+, APFS, exFAT, and FAT32. Encrypted APFS drives are not supported for Dropbox Backup. If you intend to use a drive across computers or with Dropbox Backup, check the format and encryption setup before copying data.

Keep the copy independent

After the copy is verified, disconnect the drive or otherwise protect it from unintended changes. Dropbox Backup is a copy and does not remove the original files from your computer or external drive, but Dropbox notes that deleting files in one location can affect the other. Verify which location you are changing before deleting or reorganizing anything.

How do you verify the backup before canceling?

A completed download is not proof that the files you care about are usable. Check the destination itself—not just the Dropbox folder or download list—before you cancel.

  1. Compare the folder structure. Confirm that the expected top-level folders and important subfolders appear on the external drive or in the downloaded archive.
  2. Compare counts and size. Compare folder counts and total size where practical with the material you intended to copy. A major mismatch is a reason to investigate before proceeding.
  3. Open representative files from the backup. Test documents, photos, videos, and archives directly from the destination drive. Choose files from different folders, including large or important items, rather than testing a single small document.
  4. Check shared content separately. Verify that shared files you need are included and that you can retain them. Do not infer ownership or exportability from the fact that a folder appeared in your account.
  5. Keep the drive connected long enough to finish checks, then disconnect it. Once satisfied, store the independent copy so routine syncing or accidental deletion cannot immediately alter it.

If a file will not open, a folder is missing, or the copy is unexpectedly small, do not cancel yet. Recheck whether the source was fully synced, whether online-only files were downloaded, and whether all intended folders were selected. Make a corrected copy and repeat the checks.

How do you cancel through the right channel?

Cancel the subscription through the channel where you purchased it. For a plan managed on Dropbox’s website, the documented route is the avatar menu, then Manage account, then Cancel plan. If you bought the subscription through a mobile app store, cancel it through that store instead. Deleting the Dropbox app does not cancel billing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Sign in to Dropbox on the web if the subscription is managed there.
  2. Open the avatar menu and select Manage account.
  3. Select Cancel plan and complete the confirmation steps shown.
  4. Save the confirmation email and note the end of the billing period.
  5. If the plan was purchased through a mobile app store, use that store’s subscription-management settings rather than relying on the Dropbox website route.

Interface labels can change, so follow the current account screen if it differs from these labels. Keep the confirmation: it is the practical record that the cancellation request was submitted.

What should you do after the paid period ends?

At the end of the current billing cycle, the account changes to Basic. Check the account status and storage total after that change; do not assume that the files remain fully manageable if the account exceeds the free quota.

If you still want online access, decide whether to keep only a smaller set in Dropbox or move your working files to another cloud-storage service. Dropbox’s own FAQ distinguishes cloud backup from cloud storage and names iCloud, Google Drive, and OneDrive as other providers. Compare any replacement on capacity, recurring cost, syncing and offline access, sharing, file recovery, privacy controls, and migration effort. Plan limits and terms can change, so verify the current official terms before committing. A local external-drive copy and a cloud-storage account solve different needs; one should not be assumed to replace the other.

Frequently Asked Questions

How long can I recover deleted Dropbox Backup files after canceling?

Dropbox’s Backup plan overview states a 30-day deleted-file and earlier-version recovery window after cancellation. Treat that as a limited recovery period, not a substitute for keeping a verified independent copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is the maximum file size Dropbox Backup can back up?

Dropbox lists a maximum of 2 TB per file for the Backup plan. If a file exceeds that limit, do not assume it is included in a Dropbox Backup copy.

Will Dropbox Backup keep updating if my account is over its new quota?

No. Dropbox says automatic Backup updates stop when the account is over the quota of its current plan, even though Backup files and folders remain accessible.
