Audit the workflow, not just the final paragraph. Before launch, map how AI is used, trace every factual claim to evidence, verify reviews and endorsements, decide whether AI involvement needs disclosure, fact-check visible copy and metadata, inspect personal-data handling, and assign a human who can stop publication. Then test representative outputs and retain a record of the release decision. The right checklist depends on your audience, product, channels, data, and jurisdictions: U.S. advertising rules, Google policies, IAB guidance, and Canadian privacy principles do not create one universal legal standard.
What should a prelaunch audit of an AI marketing workflow prove?
A prelaunch audit should establish that each asset is accurate, appropriately disclosed, privacy-conscious, policy-compliant for its channel, and approved by an accountable person. It should also show how you reached that decision, so a later correction does not depend on someone remembering which prompt or source was used.

Use the audit as a release gate. An asset is ready only when its claims have support, required disclosures are present, generated elements and metadata meet channel rules, input data was handled under the applicable privacy framework, and a named reviewer has accepted the remaining risk. If any of those conditions is unresolved, hold the asset or remove the unsupported element rather than treating publication as a test.
The legal scope must be explicit. FTC materials address U.S. advertising, endorsements, reviews, native advertising, and unfair or deceptive practices. Google guidance addresses Search and Merchant Center. The IAB Framework V2, published August 18, 2026, is industry guidance for AI-assisted and AI-generated marketing formats, not a blanket legal safe harbor. Canadian privacy commissioners’ principles concern Canadian privacy frameworks and state that obligations vary with the organization and activity.

How do you map the workflow before reviewing its output?
Start with a one-page scope map. A reviewer cannot assess risk when the team cannot say which model receives which data, what it creates, or who can publish it.
Record the intended use
- Write the business purpose in plain language, such as drafting product descriptions, adapting an approved campaign for different audiences, generating image variations, or powering an interactive assistant.
- List every input: product specifications, customer messages, analytics, training material, images, voice recordings, internal documents, and third-party data.
- List every output and transformation: consumer-facing text, images, video, audio, synthetic voices, digital twins, chat responses, recommendations, page metadata, structured data, and feed attributes.
- Identify each destination channel, including websites, search results, Merchant Center feeds, social platforms, email, paid media, and sales-enablement systems.
- Name the people or systems that review, edit, schedule, and publish. Include a fallback owner for absences and an explicit stop-publish authority.
Mark where risk changes
Draw the hand-offs between prompt, model, retrieval source, editor, approval queue, and publishing system. Mark where personal or confidential information enters, where a model can invent facts, where a qualification might be shortened, and where an asset is converted into another format. A text-only review will miss risks introduced when copy becomes an image, a voiceover, a product feed, or an interactive experience.
Free tools Windows power users keep installed
One-click scans. No signup required.
Keep the map versioned. A new model, prompt template, data source, channel integration, or product category can change the risk even when the campaign name stays the same.
How do you inventory and substantiate every marketing claim?
Read the asset as a whole. A claim can be created by the combination of words, images, layout, demonstrations, and omitted qualifications, not by a single sentence. FTC guidance says advertising claims must be truthful, not deceptive or unfair, and supported by evidence; specialized categories can impose additional requirements.
Build a claim register
- Copy every express statement about performance, price, safety, availability, results, ingredients, compatibility, delivery, environmental impact, or comparative superiority.
- Record implied claims created by a chart, before-and-after image, badge, testimonial, product demonstration, or headline-plus-qualification layout.
- Attach the underlying evidence for each claim: a current specification, test report, contract term, substantiated study, inventory record, or other source that actually supports the wording.
- State the evidence boundary. Note the population, conditions, date, geography, edition, sample, and any limitation that a reader needs to interpret the result.
- Compare the final rendering with the approved source. Check short cards, mobile views, captions, alt text, voice scripts, subtitles, and feed fields for lost qualifications.
- Assign a disposition: approved as written, rewrite, add qualification, remove, or escalate to a subject-matter or legal reviewer.
Challenge fluent but unsupported copy
Generative systems can produce a confident sentence without a source. Treat an uncited factual assertion as unsubstantiated until a reviewer finds evidence; do not make the model’s confidence a proxy for proof. If evidence supports only a narrower statement, rewrite to that narrower statement rather than preserving a more persuasive version.
Check dates and scope at the point of publication. A one-time promotion, regional result, laboratory condition, or limited edition must not be presented as a permanent, universal promise. Keep the qualification next to the number or claim wherever the reader encounters it.

How should endorsements, reviews, and commercial relationships be checked?
Give social proof its own review. FTC materials address material-connection disclosures, genuine customer reviews, native advertising, and the Consumer Reviews and Testimonials Rule; these are distinct checks from ordinary copy accuracy.
Verify the speaker and experience
- Confirm that a testimonial reflects a real customer’s genuine opinion and actual experience.
- Check that a reviewer did not claim results they could not have observed or that the product cannot reasonably deliver.
- Look for AI-written or AI-edited reviews presented as independent customer language. Preserve the original record and the edits that were made.
- Remove invented names, credentials, photographs, ratings, or quotations. A synthetic persona is not evidence of customer satisfaction.
Disclose material connections clearly
If a speaker, publisher, creator, employee, or partner has a relationship that could affect how an audience evaluates the recommendation, decide where and how that relationship is disclosed. The disclosure should be understandable in the format where the endorsement appears, not hidden in a place a normal viewer is unlikely to notice. Also inspect ad-like content that could be mistaken for independent editorial material.
Keep proof of consent, source identity, relationship, compensation or other benefit, and the final disclosure. If an automated system inserts endorsements into multiple variants, test each placement rather than assuming one approved template survived every rendering.
When does AI involvement need to be disclosed?
There is no single disclosure sentence that fits every use. Evaluate the role AI played, how material that role is to the audience’s understanding, the format, the product, and the law and platform rules that apply.
Recommended Free Tools
Apply a risk-and-materiality decision
- Describe the AI contribution precisely: brainstorming, translation, copy expansion, image retouching, fully generated imagery, synthetic voice, digital twin, automated dialogue, or another function.
- Ask whether knowing about that contribution would change a reasonable person’s interpretation of authenticity, evidence, identity, performance, or the relationship behind the message.
- Check whether the format itself signals the synthetic element. A disclosure that is adequate for a long article may be inadequate for a short video, audio spot, product card, or interactive response.
- Review applicable advertising law, platform policy, and contractual requirements for the target audience and market.
- Choose a disclosure that is conspicuous, intelligible, and attached to the content it qualifies. Record the reasoning, including why a disclosure was or was not used.
IAB Framework V2 uses a risk-based, materiality-driven approach across consumer-facing text, imagery, video, audio, synthetic voices, digital twins, and interactive AI experiences. Use that framework to structure the decision, but do not treat it as a legal exemption. A low-risk assist and a synthetic spokesperson making a personal recommendation should not automatically receive the same treatment.
How do you fact-check AI output and its metadata?
Use a competent human reviewer who checks both meaning and presentation. Google’s guidance warns that generated output can contain inaccuracies and states: “It is critical to manually factcheck and review all AI-generated content for accuracy and trustworthiness before publishing.”

Review the visible asset
- Verify names, numbers, dates, quotations, product specifications, availability, citations, and comparisons against reliable, current sources.
- Check whether the answer actually addresses the product and audience rather than blending details from another item or market.
- Inspect images and video for impossible text, altered labels, mismatched products, misleading demonstrations, and visual claims that the copy does not support.
- Listen to audio and synthetic voices for pronunciation, omitted qualifiers, incorrect emphasis, and an implied identity the audience could misunderstand.
- Test interactive responses with ordinary questions, adversarial prompts, ambiguous requests, and requests for regulated or high-impact advice.
Review search and accessibility fields
Inspect page titles, meta descriptions, headings, structured data, image alt text, captions, subtitles, canonical settings, and feed attributes. Generated metadata can make a page promise something the page does not deliver, expose a claim that was qualified in the body, or describe an image inaccurately.
Google also warns that generating many pages without adding value may violate its scaled-content-abuse spam policy. Before publishing a large batch, confirm that each page has original usefulness, editorial oversight, accurate structured data, and a reason to exist beyond producing search-targeted text. Follow Google Search Essentials and the structured-data rules for the specific feature.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesWhat extra checks apply to Merchant Center product data and images?
Merchant Center workflows have explicit AI-content requirements in Google’s current guidance. Treat them as platform controls in addition to your general claim and accuracy review.
- When AI generates product data such as title or description attributes, separately specify and label those attributes as AI-generated as required by Google’s policy.
- For AI-generated product images, verify that the IPTC metadata includes
DigitalSourceTypeset toTrainedAlgorithmicMedia. - Check the rendered image and feed together. A correctly labeled feed does not fix a misleading image, wrong product variant, missing qualification, or unsupported performance claim.
- Recheck the current policy at publication time because platform requirements can change, and document the policy version or page consulted in the release record.
How should you audit prompts, inputs, and personal data?
Inventory what is sent to every model, plug-in, storage service, and publishing system. The same text can be harmless in one context and sensitive in another when it includes an identifiable customer, confidential contract term, health detail, financial information, employee record, or unreleased product plan.
Classify the inputs
- Personal data: names, contact details, identifiers, account activity, images, voices, location, or messages linked to a person.
- Sensitive data: information that receives heightened protection under the applicable jurisdiction or sector rules.
- Confidential and proprietary data: source code, pricing plans, contracts, research, credentials, trade secrets, and unreleased campaigns.
- Public or licensed material: content whose permitted use, retention, and onward disclosure still need confirmation.
Confirm the governance basis
For each input, document the purpose, authority or consent where required, minimization decision, access controls, retention period, deletion process, transfer path, and provider terms. Determine whether the provider uses prompts or outputs for training, who can access logs, and how incidents are reported. Do not assume a setting labeled “private” answers every legal or contractual question.
Canadian privacy commissioners’ principles emphasize transparency, accountability, traceability, and human review while noting that obligations depend on the organization and its activities. If your audience or data is elsewhere, apply the actual jurisdiction-specific framework rather than importing Canadian guidance as a universal rule. Obtain specialist advice for regulated data or cross-border processing.

Who approves release, and what records should be retained?
Name one accountable release owner who can block publication. That person does not need to perform every check, but must know which reviewer verified evidence, which person approved disclosures and privacy decisions, who corrected defects, and where the final version is stored.
Keep a traceable release file
- Workflow scope, model and prompt-template versions, connected tools, and intended channels.
- Input categories, permissions or other governance basis, provider handling terms, and retention decisions.
- Output versions, material edits, rendered variants, metadata, and feed files.
- Claim inventory with evidence links, reviewer comments, unresolved limitations, and final dispositions.
- Endorsement, review, consent, and disclosure records where relevant.
- Test prompts, sampled outputs, defects, fixes, policy checks, and the date and identity of the final approver.
This record is an operational control synthesized from accuracy, governance, privacy, and accountability guidance; it is not a claim that every listed item is mandated in every jurisdiction. Retain enough detail to reproduce the decision and identify every asset that may need correction.
How do you test and monitor the workflow after approval?
Before launch, sample realistic combinations rather than reviewing only the best-known prompt. Include different products, audiences, formats, languages, channels, source conditions, and edge cases. Compare outputs to the claim register and run the same checks on shortened, translated, reformatted, and mobile versions.
Use a release test set
- Choose prompts representing ordinary production requests and known failure modes.
- Include incomplete, conflicting, outdated, and malicious inputs to see whether the system invents certainty or exposes restricted information.
- Check factual accuracy, qualification retention, disclosure placement, accessibility fields, visual integrity, and channel-specific metadata.
- Record each defect, severity, owner, fix, retest result, and decision to release or hold.
- Have the accountable owner sign the final decision with the asset and workflow versions attached.
Monitor live outputs
Route complaints, correction requests, policy notices, hallucination reports, privacy incidents, and unexpected endorsements to a named owner. Correct affected assets, assess whether related variants share the defect, and preserve the before-and-after record. Reopen the audit when a model, prompt, data source, product, claim, channel, audience, or relevant rule changes.

There is no single tool or standard that covers every workflow. Compare an approach against the risks and channels you actually operate.
| Decision axis | Question to ask |
|---|---|
| Claim-evidence traceability | Can each factual or performance representation be linked to current supporting evidence and a reviewer decision? |
| Format coverage | Does the process inspect text, images, audio, video, synthetic voices, digital twins, and interactive responses where those outputs are used? |
| Endorsements and disclosures | Can it verify genuine reviews, material connections, native-advertising presentation, and disclosure placement? |
| Privacy and inputs | Can it classify personal, sensitive, proprietary, and confidential inputs and record handling, retention, and access decisions? |
| Human approval | Is there a named release owner with a stop-publish control and a way to document corrections? |
| Versioning and logs | Can the team retain prompts, output versions, material edits, evidence, tests, and final approvals? |
| Publishing integration | Does the review cover the actual CMS, feed, ad, search, social, email, and accessibility fields that will be published? |
| Jurisdiction and category fit | Does the method accommodate the laws, platform policies, audiences, and product categories in scope? |
What are the most common prelaunch failures?
Most failures occur at hand-offs, where a qualified claim becomes a short headline, a genuine review is replaced by synthetic praise, or a safe internal prompt is copied into a less controlled tool.
Best Value
- “The model cited a source, so we published it.” Fix: open the source, confirm it supports the exact wording, and record the reviewer.
- “The disclosure was in the long-form version.” Fix: review every shortened, translated, visual, audio, and interactive variant independently.
- “The page is accurate, so metadata does not matter.” Fix: inspect titles, descriptions, structured data, alt text, captions, and feeds as user-facing claims.
- “The provider says it is private.” Fix: document actual retention, access, training, deletion, transfer, and incident terms for each tool.
- “One approval covers the campaign.” Fix: tie approval to model, prompt, data, output, channel, and policy versions; reopen it when any material component changes.
- “More generated pages mean more reach.” Fix: require added value and editorial review for each page and check Google’s scaled-content-abuse guidance.
A disciplined audit is not a promise that an AI system will never make an error. It is a controlled way to detect unsupported claims, misleading presentation, disclosure gaps, policy conflicts, and data risks before publication, then respond quickly when conditions change.
Frequently Asked Questions
Do I have to disclose AI use in every advertisement?
Not automatically. Disclosure depends on the AI role, its materiality to the audience’s understanding, the format, and the law and platform rules that apply. Document the decision instead of applying one label to every use.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →How often should an approved workflow be audited again?
Rerun the relevant checks whenever the model, prompt, input data, claim, product, audience, channel, or governing policy changes. Continue sampling live outputs so complaints and unexpected failures trigger a targeted review.
What should we do when a marketing claim has no reliable evidence?
Do not publish it as a factual or performance representation. Remove it, rewrite it as a clearly identified opinion where appropriate, or hold the asset until a competent reviewer obtains evidence that supports the narrower wording.
Does labeling an AI-generated image satisfy every platform requirement?
No. Merchant Center has specific requirements for AI-generated product data and IPTC metadata, while other channels may apply different rules. Check the current policy for each destination and verify both the label and the image’s substantive accuracy.
