Yes—Numbers can help you turn a plain-English request into a formula, summary, chart suggestion, or even a table, but you should treat every AI result as a draft. Apple’s current Numbers listing describes an Intelligent Assistant (beta) that can uncover insights, build complex formulas, suggest visualizations, and generate tables. Numbers also gives you transparent, non-AI controls: the Formula Editor, Functions Browser, categories, pivot tables, charts, filters, and summaries. The dependable workflow is to prepare a clean table, ask for a specific outcome, inspect the generated references, and verify the result against a known calculation before filling it through your data.
Feature access varies by Mac, iPad, and iPhone model, operating-system version, and whether your setup supports Apple Intelligence. Some intelligence features require an Apple Creator Studio subscription. Magic Fill, a separate pattern-matching feature, is documented for supported current versions and the iPhone guide specifies iOS 26 or later.

What can AI do in Numbers?
Numbers’ AI features are designed to assist with analysis rather than replace spreadsheet judgment. In the current App Store description, the Intelligent Assistant (beta) can uncover insights in a table, build complex formulas, suggest visualizations, and generate tables. That makes natural-language requests useful for getting started, especially when you know the business question but not the exact function syntax.
The assistant does not change the need for a well-structured table or a human check. Apple has not published a dated accuracy benchmark for Numbers’ AI-generated formulas or insights. Use the assistant to propose a calculation or summarize a pattern, then use Numbers’ native tools to inspect the references and reproduce a sample result.

Typical requests
- “Create a formula for gross margin as (Revenue – Cost) / Revenue, return blank when Revenue is blank, and explain the cell references.”
- “Summarize revenue by region and month, identify the largest outlier, and suggest a chart.”
- “Create a table that groups support tickets by status and calculates the average resolution time.”
- “Find duplicate customer IDs and show the rows that need review.”
These prompts specify an outcome, the relevant columns, and an exception rule. That is more reliable than asking a vague question such as “Analyze this spreadsheet.”
How should I prepare a Numbers table before using AI?
Preparation determines whether a suggested formula or insight refers to the right data. Keep one record per row and make the first row of each table a clear, unique header. Remove accidental blank rows inside the data, and check that dates, numbers, percentages, and text are stored as the intended types.
Recommended Free Tools
Use a short preparation checklist
- Headers: Use names such as
Revenue,Cost,Region, andOrder Date, rather than ambiguous labels like “Value.” - Rows: Put one transaction, employee, ticket, or other record on each row. Do not mix subtotals into the raw-data area.
- Blanks: Decide whether an empty cell means zero, not applicable, or missing data. Tell the assistant which interpretation to use.
- Types: Confirm that dates are real date values and that percentages are stored consistently. A value displayed as 20% is normally represented as 0.2 in a calculation.
- Duplicates: Check for repeated IDs or records before asking for totals; duplicates can make a correct formula produce a misleading answer.
- Scope: If the file has several tables, select or name the table that the request concerns and mention the relevant columns in your prompt.
Save a copy before making broad changes. If the analysis matters for reporting, keep the original data table separate from a working or output table so that formulas and generated summaries can be audited.
How do I ask AI for a formula or a summary?
Write the request as a specification: name the columns, define the calculation, state what to do with blanks or errors, and ask for an explanation. If the Intelligent Assistant is available in your version of Numbers, provide that prompt with the table selected or clearly identified.
- State the result: Say whether you need a row-level formula, a grouped summary, an outlier list, or a chart recommendation.
- Name the inputs: Use the table headers, such as
RevenueandCost, instead of relying on a visual guess about column letters. - Define edge cases: Specify whether a blank revenue cell should return blank, zero, or an error, and what should happen when revenue is zero.
- Request an explanation: Ask the assistant to identify every referenced column or cell and describe the logic in plain language.
- Ask for a test: Include a small known example, or ask for a worked example that you can calculate independently.
Example prompt for a margin column
“Create a formula for gross margin as (Revenue – Cost) / Revenue. Return blank when Revenue is blank, and explain the references and the result when Revenue is zero. Use the headers in my table.”
A likely pattern is =IF(Revenue="","",(Revenue-Cost)/Revenue). The exact syntax can vary with the table structure and locale, so enter it in Numbers, read any warning, and test it before copying it down. If zero revenue is possible, add an explicit rule for that case rather than allowing a division error.

How do I create and inspect a formula without AI?
Numbers’ Formula Editor and Functions Browser provide a transparent alternative to an assistant. In a result cell, type = to open the Formula Editor. Select cells or ranges directly, choose operators, or search the Functions Browser for a named function. Numbers supports references by cell, row, column, or table header, and the sheet displays the result or a syntax error.
Formula Editor workflow
- Select the cell where the result should appear.
- Type
=to open the Formula Editor. - Click the cells or ranges to include, or type a header, row, column, or cell reference.
- Choose an operator such as
+,-,*,/, or a comparison operator. - For a function, open the Functions Browser, search for the function name, and insert it with its arguments.
- Press Return and read the result. If Numbers flags a syntax problem, reopen the editor and correct the highlighted portion.
Apple’s current Numbers support guide documents more than 250 predefined functions. The Functions Browser is therefore useful when an AI suggestion uses an unfamiliar function: open its description, confirm the required arguments, and compare the function’s range with your intended data.
Small formulas worth understanding
| Purpose | Example | What to verify |
|---|---|---|
| Total a named column | SUM(Revenue) |
That Revenue is the intended table column and does not include a subtotal row. |
| Total a column by letter | SUM(C) |
Column C has not moved or been repurposed. |
| Compare two cells | =A1>A2 |
The result is the expected Boolean value, TRUE or FALSE. |
| Conditional margin | =IF(Revenue="","",(Revenue-Cost)/Revenue) |
Blank and zero-revenue behavior, plus the percentage format. |
When a formula is copied across or down, inspect which references should move and which should stay fixed. Use the Formula Editor to preserve absolute row or column references where needed. A copied formula can be syntactically valid while pointing at the wrong row, period, or assumption cell.
How do I validate an AI-generated formula?
Validation is the step that turns a convenient suggestion into an auditable calculation. Do not fill a formula through hundreds of rows until one row and several edge cases agree with a manual or known-good calculation.
- Read each reference. Open the Formula Editor and identify every cell, range, header, and condition. Confirm that the formula uses the intended table, not a similarly named column.
- Check the operator order. Parentheses matter in expressions such as
(Revenue-Cost)/Revenue. Make sure a percentage is not being calculated as a whole-number ratio or vice versa. - Test a normal row. Recalculate one record by hand and compare the displayed result.
- Test boundaries. Try a blank input, zero, a negative value if the data permits it, the first row, the last row, and the smallest and largest realistic values.
- Look for warnings. Numbers displays syntax errors and formula error indicators in the sheet. Resolve those warnings instead of hiding them with formatting.
- Compare an aggregate. Sum a sample manually or with an independent formula. For example, compare the total of a calculated margin input with a separately calculated subtotal for the same rows.
- Copy only after approval. Fill the formula down or across after the references and sample results are correct. Recheck the first and last copied rows.
Ask the assistant to explain its formula, but do not treat an explanation as proof. The explanation can omit a hidden range or misinterpret a blank. The sheet’s references, error indicators, and an independent calculation are the evidence.
How can I find patterns with categories, pivot tables, charts, filters, and summaries?
Formulas answer row-level questions; grouped analysis reveals patterns across many records. Numbers includes categories, pivot tables, charts, filters, and summary calculations that can expose trends, outliers, and duplicate values without writing a formula for every comparison.

Group records with categories or a pivot table
Use a category or pivot table when the question is “How much by region, month, product, or status?” Put the grouping field in the row or category area and place a numeric field in the values area. Choose an appropriate summary such as sum, count, average, minimum, or maximum. Verify that the date field is grouped at the intended level; grouping by day can tell a different story from grouping by month.
Use filters to inspect the evidence
Filter to one region, status, date range, or suspicious value, then inspect the underlying rows. Filtering is especially useful for checking an AI-reported outlier: the grouped result identifies the candidate, while the filtered source rows show whether it is a legitimate event, a duplicate, or a data-entry error.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Choose a chart that matches the question
- Line charts: Trends over time, provided dates are sorted and consistently spaced.
- Bar or column charts: Comparisons among regions, products, or statuses.
- Scatter charts: Relationships between two numeric measures, with attention to extreme points.
- Tables with conditional formatting: Exact values and exceptions when a chart would hide detail.
An assistant may suggest a visualization, but check the grouping, axis units, and included rows yourself. A chart can look persuasive while excluding blanks, using a subtotal twice, or mixing incompatible units.
What is Magic Fill, and when should I use it?
Magic Fill pattern-matches existing data and can generate formulas in supported current versions. It is useful when neighboring rows demonstrate a consistent transformation, such as extracting a code, combining text, or calculating a repeated value. It is not a substitute for checking the pattern: an inconsistent source row can cause the generated results to follow the wrong rule.
The current iPhone Numbers guide describes Magic Fill as requiring iOS 26 or later. Availability can differ by platform and software version, so look for the feature in your installed version’s menus or release notes before planning a workflow around it. For a complex business rule, a named formula that you inspect in the Formula Editor is usually easier to audit than a pattern inferred from a few examples.
Should I use native formulas, AI assistance, or both?
Use both when possible: AI reduces the time needed to translate a question into a candidate formula or summary, while native Numbers controls provide the transparency needed to verify it.

What device, software, and subscription do Numbers’ AI features require?
Apple’s current listing says that some intelligence features require an Apple Creator Studio subscription and an Apple Intelligence-capable device and software configuration. The listing does not make every feature available on every Mac, iPad, or iPhone, so the presence of Numbers alone does not guarantee access to the Intelligent Assistant.
Before troubleshooting a missing command, check the installed Numbers version, operating-system requirements, device compatibility, Apple Intelligence settings, and whether the Apple Creator Studio status for your account includes the feature. Requirements and feature names can change; consult Apple’s current release notes and the in-app help for the device you are using.
How do I troubleshoot an incorrect or missing result?
The formula returns an error
Open the Formula Editor and read the exact indicator. Check for a misspelled header, a missing parenthesis, an invalid range, division by zero, or text in a cell that the formula expects to be numeric. Replace an ambiguous blank with an explicit condition such as IF, then test the row again.
The total is too high or too low
Inspect the range for duplicated records, hidden or filtered rows, and subtotal rows included inside a larger sum. Compare a small, manually selected range with the formula result before changing the formula itself.
The copied formula references the wrong cells
Compare the first, middle, and last copied rows in the Formula Editor. Lock the row or column that should remain fixed, and leave the reference relative where it should move. Refill only after one corrected row produces the expected result.
The AI feature is unavailable
Confirm that your device, operating system, Numbers version, Apple Intelligence configuration, and Apple Creator Studio status meet the current requirements. If they do not, use the Formula Editor, Functions Browser, categories, pivot tables, charts, filters, and summaries; these native tools do not depend on an AI suggestion.
Best Value
How should I document an AI-assisted analysis?
For work that others must review, place a short note beside the output table or on a separate documentation sheet. Record the prompt, the final formula, the meaning assigned to blanks and zeros, the date interpretation, the source range, and the manual check you performed. Keep the original table unchanged and identify any rows excluded from the analysis.
This record makes a future update safer: another person can see whether a percentage was stored as a decimal, whether a date was grouped by month, and whether a formula was copied with absolute references. It also lets you reproduce the result if the assistant’s wording or feature availability changes in a later Numbers release.

What is the most reliable workflow from question to answer?
- Clean and type-check the source table.
- Write the analytical outcome and name the relevant headers.
- Ask the Intelligent Assistant for a draft only if it is available and appropriate.
- Enter or refine the formula in the Formula Editor and inspect every reference.
- Use categories or pivot tables for grouped summaries, then filters and charts to investigate patterns and outliers.
- Test blanks, boundaries, and a known example; compare at least one total independently.
- Fill the approved formula through the table and recheck the first and last rows.
- Document assumptions, the prompt, and the final formula.
Frequently Asked Questions
Can Numbers understand a question typed in ordinary language?
The Intelligent Assistant (beta) is intended for natural-language requests such as asking for a complex formula, an insight, a visualization suggestion, or a generated table. It may not be available on every device or account, so the Formula Editor remains the fallback when the assistant is absent.
How can I prevent a percentage formula from showing the wrong result?
Confirm whether the source values are stored as decimals or whole-number percentages, and format the result cell appropriately. Test a simple known case, such as equal revenue and cost producing a zero margin, before copying the formula.
Can a pivot table replace formulas in Numbers?
A pivot table is better for grouped totals, counts, or averages, while a formula is better for a value calculated separately for each row. Many analyses use both: a row-level formula creates a measure, and a pivot table summarizes that measure by category.
What should I do if an AI suggestion changes after I edit the table?
Treat the changed suggestion as a new draft and rerun the validation checks. Keep the original prompt and approved formula in your documentation so you can distinguish a deliberate change from a regenerated one.
