Yes—Obsidian can replace Notion for project management, but only if you value a local Markdown vault, linked notes, and plugin-level control more than a ready-made shared database. I built my system around the Tasks plugin, then added a Kanban view for status work and dotpm when projects needed timelines, dependencies, milestones, and time tracking. Notes, research, decisions, and tasks now stay together instead of being copied into a separate workspace. That feels better for my personal projects because every task can be captured where it occurs. Notion remains the easier choice for teams that need relational databases, shared views, permissions, and minimal setup. “Better” here is a workflow fit, not a universal productivity result.
What changed when I stopped treating Obsidian as just a notes app?
The important change was making the checkbox the basic unit of work. A task no longer had to be retyped into a project database. I could write it in a daily note, meeting note, research page, or web clipping and still manage it from a central task view.

A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11The Tasks plugin gives those checkboxes project-management fields without moving them out of their original Markdown files. A task can carry a due date, start date, scheduled date, priority, recurrence rule, task ID, and dependency information. Because the item remains in the note where I captured it, the surrounding context is always one click away.
This continuity is the reason the system can feel better than Notion. My project plan and the evidence behind each decision live in the same vault and can be linked and queried together. It is not a controlled comparison, and there is no reliable productivity statistic proving one application wins for everyone.

How do I turn Obsidian into a project management system?
Build the smallest useful layer first: Tasks for structured checkboxes, a Kanban plugin for visual status, and dotpm only when you need project-level planning. Installing every project plugin at once creates maintenance work before you know which views you actually use.
- Keep one vault for project context. Store project briefs, meeting notes, research, decisions, and task-bearing notes in the same Obsidian vault. Use links between them rather than copying the same information into separate systems.
- Install and enable the Tasks plugin. Create ordinary Markdown checkboxes anywhere in the vault, then add the dates, priority, recurrence, task ID, or dependency details needed for that item. The capture location can be a daily note or a clipped article, not a dedicated task page.
- Create task queries for work you need to see. Use Tasks views to gather open, overdue, scheduled, or priority items from across the vault. Keep the source note visible so a task is not detached from its rationale.
- Add a Kanban view only if status flow helps. Tasks Kanban reads existing Tasks-plugin items. Create a saved board, choose filters, then group or sort the matching tasks by the workflow you use, such as “Next,” “Doing,” and “Done.”
- Move cards instead of rewriting checkboxes. Dragging a card in Tasks Kanban changes the task’s status in its original Markdown file. The board is a visual control surface, not a second copy of the task list.
- Move to dotpm when the project needs a plan. Use dotpm for table, Gantt, and Kanban views over Markdown project and task files. Add subtasks, dependencies, milestones, dates, estimates, logs, assignees, recurring work, custom fields, or smart scheduling as the project demands.
What does the Tasks plugin handle?
Tasks is the foundation for a personal system because it adds structure without imposing a separate database. The same checkbox can be captured in context and later surfaced through a query or board.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Capability | How it helps in a vault |
|---|---|
| Due dates | Shows when an item must be finished and supports overdue-focused views. |
| Start dates | Separates “do not begin yet” work from tasks that are already actionable. |
| Scheduled dates | Places work on a particular day without changing the original note. |
| Priorities | Lets queries and boards distinguish urgent work from routine items. |
| Recurrence | Represents repeating work without manually recreating each checkbox. |
| Task IDs | Provides an addressable identity for linking and dependency relationships. |
| Dependencies | Records that one task relies on another, useful when sequence matters. |
The practical advantage is capture. If a decision note says “confirm the export format,” I can turn that line into a task in place. I do not have to remember which project database to open or maintain a duplicate title elsewhere.
What does Tasks Kanban add?
Tasks Kanban adds a visual workflow while preserving the Tasks-plugin source items. Its boards can be saved and filtered, and cards can be sorted or grouped to match the way a project is actually run.
That distinction matters. A conventional board can become a second data store that drifts away from the notes. Tasks Kanban instead reads the existing task items and writes drag-and-drop status changes back to their original Markdown files. A board can therefore answer “what is in progress?” without becoming the place where project context disappears.

Use it for a lightweight personal flow: incoming work, next actions, active work, waiting, and completed items. If you need resource assignments, estimates, milestones, or a calendar-like schedule, a board alone is too narrow; that is where dotpm becomes useful.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhen should I use dotpm instead of a basic task-and-board setup?
Choose dotpm when the project itself needs a planning model rather than just a list of checkboxes. It provides table, Gantt, and Kanban views over Markdown project and task files.
- Subtasks: break a deliverable into work that can be tracked independently.
- Dependencies: express sequencing between tasks rather than relying on memory.
- Milestones: mark significant outcomes across a longer plan.
- Start and due dates: define a time window instead of only a deadline.
- Recurring tasks: represent repeated operational work.
- Custom fields: add project-specific information without abandoning Markdown.
- Time estimates and time logs: plan effort and record what the work consumed.
- Assignees: identify responsibility when more than one person is involved.
- Smart scheduling: use the project’s relationships and dates to support schedule planning.
The trade-off is configuration. Every field, view, and scheduling rule becomes something to maintain. I would not add dotpm to a small personal list that only needs priorities and due dates.
Is Obsidian better than Notion for project management?
Obsidian is better for a local-file workflow in which notes and tasks must remain together. Notion is better when a team wants a native relational database, shared views, and low configuration effort.
| Decision factor | Obsidian with plugins | Notion Projects and Tasks |
|---|---|---|
| Data model | Plain Markdown files in a local vault, extended by plugins. | Native Projects and Tasks databases with relations and customizable properties. |
| Task capture | Checkboxes can be created in any note, daily page, or clipping and queried later. | Tasks are generally entered into the configured database and its views. |
| Views | Tasks queries, Tasks Kanban boards, and dotpm tables, Gantt charts, and Kanban views. | Multiple contextual database views, including Kanban. |
| Dependencies and scheduling | Tasks supports IDs and dependencies; dotpm adds project-level dependencies, milestones, dates, estimates, logs, and smart scheduling. | Relations and properties provide a database approach; the exact planning depth depends on the workspace design. |
| Ownership and portability | Project and task content remains searchable Markdown that can be version-controlled and moved with the vault. | Content lives in a hosted workspace database. |
| Setup and maintenance | More initial design, plugin selection, and ongoing upkeep. | Faster initial setup with less configuration for a standard database workflow. |
| Team collaboration | The described workflow is strongest for individual use; shared permissions and team operating practices are not its central strength. | Native shared databases, relations, and contextual views suit coordinated team work. |
This is a fit judgment, not a universal ranking. The evidence available for this workflow does not include a controlled productivity study or a statistic showing that Obsidian users complete more work.

How do I track dependencies and due dates in Obsidian?
Put the scheduling metadata on the task itself, give dependency relationships an identifiable task reference, and then surface the resulting set through Tasks or dotpm views. The key is to keep dates and relationships attached to the Markdown item that owns the work.
For a simple dependency
Create the prerequisite and dependent tasks as separate Tasks-plugin items. Assign task IDs, then record the relationship so the dependent item is visibly tied to the prerequisite. A query can show what is open or overdue, while the linked source notes explain why the sequence exists.
For a scheduled project
Use start dates for the earliest sensible beginning, due dates for the required finish, and scheduled dates for the day you intend to act. In dotpm, combine those dates with milestones, estimates, and dependencies so the Gantt view represents the plan rather than a collection of unrelated deadlines.
For recurring operations
Use recurrence on the task instead of duplicating a checklist in several notes. This keeps the recurring definition in one place and lets your task views find the next instance with the rest of your work.

What does a workable daily routine look like?
I separate capture from review. Capture happens wherever the thought occurs; review happens in a small number of task views so the vault does not become a pile of unchecked boxes.

- Capture in context. Add a checkbox to the note that explains the work, even if that note is a daily page or research clipping.
- Add only the metadata that changes a decision. Give a real deadline a due date, a planned work session a scheduled date, and a sequence constraint a dependency. Do not add fields merely because a plugin offers them.
- Review actionable work. Use a Tasks query for open items and a saved Kanban board for status. Keep filters narrow enough that the view is a decision aid rather than an archive.
- Plan larger work in dotpm. Promote a project when it has milestones, multiple dependencies, estimates, or a schedule that cannot be understood from a flat list.
- Close the loop in the source note. When a task is complete, leave the surrounding decision, result, or reference intact. That history is part of the project record.
What are the weaknesses of this Obsidian setup?
The flexibility that makes Obsidian attractive also creates responsibility. You must choose conventions, maintain plugins, and decide which view is authoritative when several are available.
- Setup overhead: Tasks, a board plugin, and dotpm each add concepts to learn.
- Maintenance risk: A heavily customized vault can become difficult to explain or rebuild.
- View sprawl: Multiple saved boards and queries can hide the one list you actually trust.
- Team uncertainty: The workflow described here is optimized for personal control of Markdown, not a proven replacement for shared permissions and team governance.
- Planning limits of a board: Kanban shows status, but it does not by itself provide the full dependency, milestone, estimate, and scheduling model available in dotpm.
I manage those weaknesses by starting with Tasks, naming a small set of status values, and adding dotpm only for projects that demonstrate a real planning need.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Which setup should you choose?
Use the simplest option that answers your actual planning question.
| Your situation | Recommended setup | Why |
|---|---|---|
| Personal tasks already scattered through notes | Tasks plugin | Preserves capture in place while adding dates, priorities, recurrence, IDs, and dependencies. |
| You need a visual flow of those same tasks | Tasks plus Tasks Kanban | Provides saved, filtered boards and writes status changes back to the original files. |
| A project has milestones, dependencies, estimates, or time logs | dotpm | Adds table, Gantt, and Kanban planning over Markdown project and task files. |
| A team needs relational databases, shared views, and minimal configuration | Notion Projects and Tasks | Its native database model and contextual views reduce setup work for collaborative planning. |
My own choice is the layered Obsidian setup because project context is as important as task status. Someone who prioritizes shared databases and permissions should make the opposite choice without treating that as a failure.
What did I learn from the workflow?
The most useful design decision was not a particular board layout. It was allowing a task to remain where it was discovered. That removes the repeated copying that makes notes and task systems diverge.

The Tasks plugin is “one of those deceptively simple yet extremely powerful tools,” as How-To Geek author Dibakar Ghosh puts it. Its value appears when the same Markdown task can be queried, placed on a board, connected to a dependency, and still opened in the note that supplies its meaning.
Obsidian therefore can replace Notion for project management when local Markdown, linked knowledge, and customization are the priorities. It is not automatically better, and it is not a substitute for a team database merely because it can be extended with plugins.
Frequently Asked Questions
Can I migrate existing Markdown project notes into this setup?
Yes. The workflow is built around Markdown project and task files, so existing notes can remain in the vault while Tasks queries or dotpm views provide management layers. You can adopt the metadata gradually instead of rewriting every historical note.
Do I need dotpm if Tasks Kanban already gives me a board?
No. Tasks Kanban is enough when your main question is which checkbox is next, active, waiting, or complete. Dotpm becomes useful when you also need project tables, Gantt timelines, milestones, estimates, time logs, assignees, or smart scheduling.
Is this Obsidian workflow suitable for a large team?
The described design is primarily a personal workflow centered on local Markdown and plugin configuration. A team that depends on shared permissions, relational databases, and standardized views may spend less effort in a native database workspace.
Can a task live in a daily note instead of a project folder?
Yes. Tasks-plugin items can be created anywhere in the vault, including daily notes and clipped research. That is the capture advantage, because the task keeps the context that led to it.
