AI meeting assistants turn meeting speech and transcript context into structured outputs such as summaries, decisions, recommended tasks, and next steps. Depending on the product, you can review an extracted item, assign or enrich it, or route it into another tool—such as a ticketing system or email draft—when the right connector, permission, and approval are available. These systems are best treated as a way to find and organize candidate work, not as proof that every conversational commitment has been interpreted correctly.
How do AI meeting assistants identify action items?
They analyze meeting speech or transcript context and surface statements that appear actionable. The result is usually a structured item shown alongside meeting notes, decisions, mentions, or a recap—not a separate object that existed independently of the conversation. Vendors describe the outputs and workflows, but the product documentation covered here does not establish a common extraction algorithm or an independent accuracy rate.

That distinction matters. A meeting can contain a clear assignment, a tentative suggestion, a decision, a question about next steps, or a promise whose owner and timing are implied rather than stated. A task suggestion may help you find these moments, but a person should check whether the item reflects what participants actually agreed to do.
What the assistant can surface
- Action items or recommended tasks: statements presented as work to be done.
- Decisions: outcomes that may explain why a follow-up exists, but are not necessarily tasks themselves.
- Mentions and next steps: references to people or future work that can help a reviewer interpret an item.
- Source context: in Otter, an action item can link back to the moment in the conversation where it was created.
Some interfaces also let you ask a question of meeting content. Zoom documents the in-meeting prompt “What are the action items?” Microsoft describes Copilot as suggesting action items and answering questions during or after a meeting. Those features make it easier to find information; they do not remove the need to distinguish an agreed commitment from a possibility discussed aloud.

How does an action item become follow-up work?
The typical path has four stages: capture the meeting, identify a candidate item, review and add task details, then either keep it in the meeting product or route it elsewhere. Which stages are automated depends on the service, its plan, permissions, and the meeting’s organization boundaries.
- Capture: a meeting assistant records or transcribes a supported meeting, or a meeting suite generates notes from the session. Otter Notetaker can automatically join scheduled Zoom, Google Meet, and Microsoft Teams meetings to record and transcribe in real time. Google Meet’s “Take notes for me” writes AI notes to a Google Doc. Teams and Zoom also expose meeting speech or transcript-derived insights.
- Surface: the product presents action items, recommended tasks, decisions, or next steps in a recap, notes document, or task view. Google’s meeting notes include a “Next steps” section with actionable items and assigned tasks.
- Review and enrich: a user checks the wording and adds or confirms ownership, timing, and other details. Zoom Tasks documents assignees and controls for completing tasks; it can generate a description, due date, and priority from a task title.
- Route or execute: the user keeps the task in the native workflow, copies it manually, or invokes a supported integration. Otter AI Chat Work can create Jira tickets, Notion pages, Google Drive files, or Gmail drafts through supported connectors.
Routing may have an approval gate. Otter documents an explicit Allow approval for some actions. If approval is not granted, it can prepare content or next steps for manual copying instead of carrying out the external action. That separation is useful: drafting a follow-up and actually sending or creating it are different decisions.
Which meeting assistants work with Zoom, Teams, or Google Meet?
There are two broad approaches: a cross-platform assistant that joins meetings across services, or capabilities built into the organization’s meeting suite. The right fit depends not only on the meeting app but also on where the resulting task needs to live.

| Product context | Meeting capture or notes | Action-item and follow-up capabilities described |
|---|---|---|
| Otter | Otter Notetaker can automatically join scheduled Zoom, Google Meet, and Microsoft Teams meetings, record, and transcribe in real time. | My Action Items provides a centralized place to access, manage, reassign, and check off tasks; items can link to the relevant conversation moment. AI Chat Work can create Jira tickets, Notion pages, Google Drive files, or Gmail drafts through supported connectors. |
| Zoom | Zoom exposes meeting speech or transcript-derived insights and documents in-meeting AI Companion questions. | Tasks can include an assignee, generated description, due date, and priority, as well as completion controls. |
| Microsoft Teams | Teams provides recap capabilities and meeting insights. | Copilot can suggest action items and answer questions during or after a meeting. Teams Recap can provide AI recommended tasks; licensed Copilot users can also access structured meeting insights through a Graph API. |
| Google Meet | “Take notes for me” writes AI notes to a Google Doc; Google also provides Calendar-linked recaps. | The notes include a “Next steps” section listing actionable items and assigned tasks. |
This is a feature map, not a guarantee that every capability is enabled for every account. A cross-platform assistant is worth considering when meetings span several services and work needs to reach more than one destination. A native option is a natural starting point when an organization already standardizes on Microsoft 365 or Google Workspace, especially if it wants to keep recaps and documents in that ecosystem.
Can an assistant assign owners and due dates?
Some products expose ownership or task-detail features, but extraction and assignment are separate questions. A tool may identify a candidate task without knowing which participant should own it or whether the group agreed on a deadline.
Zoom documents task assignees and the generation of a description, due date, and priority from a task title. Google’s notes can list assigned tasks in the “Next steps” section. Otter’s My Action Items lets users manage and reassign tasks. These capabilities help turn a candidate into trackable work, but the responsible person should verify that the owner and timing match the meeting’s agreement.

In particular, treat generated metadata as editable task details, not automatically as evidence that the meeting settled those details. If the conversation did not establish an owner or date, confirm one before sending work downstream. A polished task card can otherwise make an unresolved decision look settled.
Can meeting notes create a Jira ticket or follow-up email?
They can when the product supports the destination and has the necessary connector access. Otter AI Chat Work documents actions for Jira, Notion, Google Drive, and Gmail, including creating a ticket, page, file, or draft. Some actions require an explicit Allow approval; without approval, the assistant may prepare text for you to copy rather than make the change itself.
Before relying on a connector, verify the specific destination and action your team needs. Creating a draft is not the same as sending an email, and preparing ticket content is not the same as creating a ticket. Check the account’s connection and permission settings, then confirm the resulting work in the destination system. Microsoft’s Graph API offers another route for licensed Copilot users: downstream experiences can use structured meeting insights without building the extraction infrastructure from scratch.

What should you check before relying on automated follow-up?
Availability and behavior can change with the account, organization, meeting host, region, language, and integration settings. Check these conditions before rolling a workflow out to a team:
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →- Plan and licensing: Google lists eligible Workspace or Google AI plans for its meeting-note feature. Microsoft’s structured meeting insights API is for licensed Copilot users. Zoom lists licensed Workplace plans for relevant features.
- Organization boundaries: Microsoft says Teams Copilot will not work in meetings hosted outside the participant’s organization. Do not assume an assistant can process every meeting a user joins.
- Admin and host settings: organization policies or meeting configuration can affect whether capture and AI features are available. Confirm settings with the account administrator rather than assuming a feature shown in product documentation is active.
- Language support: Google lists supported languages for its meeting-note capability. Check whether the language used in your meetings is supported before treating the output as dependable.
- Connector permission and approval: confirm that the assistant can reach the destination and whether a person must approve each action.
- Regional availability: Zoom notes that features may vary by region, so check local availability.
For important commitments, use a human review step before assigning work or creating external records. Compare the item with its surrounding conversation, confirm the owner and timing, and correct or discard it if it overstates what participants agreed to do. The official product descriptions present suggestions and approval controls; they do not promise perfect interpretation of every conversational commitment, and no independent precision or recall statistic is established in the documentation summarized here.
How do you choose the right workflow?
Choose based on where meetings happen, how much context a reviewer needs, and where the completed work should go—not simply on whether a product advertises AI notes.
Best Value
- List your meeting services. If meetings regularly cross Zoom, Teams, and Meet, check whether a cross-platform capture workflow fits. If most work stays in one suite, start by evaluating its native recap and notes.
- Name the destination. Decide whether follow-up should remain in a task view, become a Jira ticket, appear in a document, or be prepared as an email draft. Verify that the product supports that specific route.
- Decide what evidence reviewers need. If reviewers must confirm an item against what was said, conversation-linked context such as Otter’s link to the relevant moment can help.
- Set the human checkpoint. Specify who confirms an item, its owner, and any due date before a connector creates or routes work.
- Test account constraints. Check licensing, host and organization boundaries, admin controls, language, region, and approvals in the actual environment where the team meets.
- Keep an exception path. If a task is ambiguous, the meeting is outside supported boundaries, or approval is unavailable, leave it for manual review instead of treating the proposed automation as completed work.
The most useful assistant is the one that makes follow-up easier to verify and complete. A transcript or suggested task can reduce the effort of finding commitments; source context, confirmed ownership, and a deliberate handoff determine whether that suggestion becomes reliable work.
Frequently Asked Questions
Can Zoom tell me whether a date was actually agreed in the meeting?
Zoom documents an AI Companion prompt that lets you ask whether a date was agreed. Treat the answer as a way to locate or interpret meeting content, then verify the relevant discussion before recording a deadline as a firm commitment.
Does AI action-item extraction have a published accuracy score?
The official product documentation summarized here does not provide an independent precision or recall statistic for extracting action items. A vendor’s feature description should not be read as a measured guarantee that every task or commitment will be detected correctly.
Can a meeting assistant work when I join a meeting hosted by another organization?
Not always. Microsoft states that Teams Copilot will not work in meetings hosted outside the participant’s organization, so check the specific meeting and account boundary rather than assuming access follows the attendee.
Can I use meeting insights to build a custom workflow?
Microsoft documents a Graph API for structured meeting insights for licensed Copilot users. That provides a downstream integration path, but the workflow still depends on the applicable license and access configuration.
