Gusto is usually the better fit when payroll, onboarding, benefits, and HR are the main priorities; QuickBooks Payroll is usually the better fit when your books already run in QuickBooks and you want payroll closely connected to accounting, time tracking, and job costing. The choice is not strictly either-or: Gusto can sync payroll journal entries with QuickBooks Online, so a business can keep its preferred HR workflow while using QuickBooks for its books. Prices and features vary by plan and can change, so compare the features you need—not just the starting prices.

What is the difference between Gusto and QuickBooks Payroll?

Gusto is a payroll, HR, benefits, and compliance platform aimed at small businesses. QuickBooks Payroll—also presented within the QuickBooks Workforce experience—is payroll that sits closer to QuickBooks accounting, with particular relevance for businesses that want payroll data tied to their books, time tracking, and job-costing workflows.

That difference in emphasis matters more than the product names. Gusto starts from employee and payroll workflows and can connect to accounting products, including QuickBooks Online. QuickBooks Payroll starts from the accounting ecosystem and adds payroll and workforce tools. Neither is automatically better for every small business; the right fit depends on whether HR administration or accounting integration is the more important organizing system.

Decision point Gusto QuickBooks Payroll / Workforce
Primary emphasis Payroll, HR, benefits, and compliance Payroll connected to QuickBooks accounting
Accounting workflow Can sync payroll journal entries to QuickBooks Online; Desktop users can export an IIF file Payroll posts directly into QuickBooks accounting
HR approach Emphasizes onboarding, offer letters, document and e-sign workflows, PTO, benefits, and compliance Includes employee and HR tools; more advanced capabilities are concentrated in higher tiers
Time and project workflows Time tracking and scheduling are listed for Plus and Premium Time tracking, scheduling, GPS/geofencing, and project scheduling are in higher tiers or add-ons
Best starting point A business choosing payroll and HR as a dedicated system A business already managing its books in QuickBooks

Which is better for payroll at a small business?

Both products cover core payroll administration, including payroll processing, tax calculations and filing, W-2 and 1099 support, and direct deposit. The practical difference is how each vendor presents those capabilities and which related workflows it emphasizes.

Tax filing and pay timing

Gusto emphasizes automatic federal, state, and local tax filing. Its published plan information lists next-day pay on Plus and same-day or instant pay on Premium. QuickBooks’ official comparison emphasizes same-day direct deposit on Premium and Elite, and tax-penalty protection on Elite. These are plan-specific vendor descriptions, not a guarantee that every employer, worker, or payment will qualify; check the current terms for the plan and locations you need.

Do not compare a payroll feature by name alone. Confirm the filing responsibilities covered, the timing available to your employees, and any eligibility conditions in the live plan terms. The available comparison information does not establish that one provider has fewer payroll errors, pays employees more reliably in practice, or saves a particular amount of time.

Handling more than one state

Gusto Plus and Premium are listed as supporting multi-state payroll. QuickBooks’ treatment of additional states varies by tier. Before choosing either service, verify what state registration and local-tax support applies to every location where your employees work; the general feature labels do not settle those location-specific requirements.

Workers, contractors, and pay types

Both products’ comparison descriptions include W-2 and 1099 support, but your buying decision should still account for the mix of workers you pay. Ask whether the intended plan handles your employee and contractor records, payment schedules, and tax forms in the way your accountant expects. If workers are spread across states, confirm each jurisdiction rather than assuming that support for one state automatically covers another.

How do Gusto and QuickBooks connect to accounting?

QuickBooks Payroll has the more direct ledger workflow: payroll can post into QuickBooks accounting. That can reduce friction for a business that already keeps its books there and wants payroll, accounting, and job-costing information in one ecosystem.

Gusto can also fit a QuickBooks-based business. It integrates with QuickBooks Online and creates a detailed journal entry each time payroll runs. For QuickBooks Desktop, the described route is to export an IIF file. Gusto also supports connections to accounting products such as Xero and FreshBooks, which can matter if the business does not want payroll tied to one accounting system.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The distinction is therefore not “accounting integration” versus “no accounting integration.” It is whether you prefer payroll to be native to the accounting workflow or to operate as a separate HR/payroll system that passes payroll data to the books. If your business uses QuickBooks Online, either arrangement may be possible; decide whether the convenience of direct posting outweighs the value of Gusto’s payroll-first HR workflow.

Questions for your bookkeeper

Before selecting an integration, ask how payroll liabilities, taxes, benefits, reimbursements, and employer costs should appear in the chart of accounts. With Gusto, the detailed journal entry produced after each payroll run may be useful when your bookkeeper wants payroll broken into recognizable categories. With QuickBooks Payroll, direct posting may be preferable when the accounting team wants fewer systems and a single login. For QuickBooks Desktop, confirm how an IIF export will be reviewed and imported and whether that process matches your existing controls.

Also decide who owns reconciliation. A payroll administrator may run payroll while a bookkeeper reviews the resulting journal entry. Establishing that handoff before implementation helps prevent duplicate entries or unexplained payroll balances, regardless of which product you select.

Which product has stronger HR and employee tools?

Gusto puts more of its product emphasis on a connected HR process: onboarding, offer letters, document and e-sign workflows, PTO, benefits, and compliance. That is the more natural direction for a business that wants one place to manage payroll alongside common employee-administration tasks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

QuickBooks also includes employee and HR tools, but its more advanced capabilities are concentrated in Premium and Elite tiers. A business considering QuickBooks should check whether the specific HR functions it needs are included in its intended tier rather than assuming that every workforce feature comes with the base payroll option.

Time tools are a meaningful distinction within that broader comparison. Gusto lists time tracking and scheduling in Plus and Premium. QuickBooks places time tracking, scheduling, GPS/geofencing, and project scheduling in higher tiers or add-ons. For a team that needs those functions, compare the exact tier or add-on cost and capability rather than treating “time tracking” as an identical feature across products.

Benefits and employee self-service

Gusto’s comparison materials say it offers access to more than 9,000 health insurance plans. That is a Gusto-published claim, not an independent count, and available choices depend on location and business eligibility. Request the current options for your employees and confirm how premiums, deductions, and employer contributions flow into payroll and accounting.

For either product, list the employee-facing tasks you want to remove from email and spreadsheets: completing onboarding documents, signing an offer letter, reviewing PTO, accessing pay information, or updating personal details. Then verify that the chosen tier includes those workflows. A broad “HR tools” label does not tell you which employee actions are covered.

How much does Gusto cost compared with QuickBooks Payroll?

Gusto’s published 2026 prices are listed below as a monthly base fee plus a per-person fee. The QuickBooks figure is a starting comparison price from Gusto’s comparison page, using data collected in July 2025; it is older and should not be treated as a verified current QuickBooks quote.

Product or plan Published price Attribution and date
Gusto Simple $49/month + $6 per person Gusto, 2026
Gusto Plus $80/month + $12 per person Gusto, 2026
Gusto Premium $180/month + $22 per person Gusto, 2026
QuickBooks Payroll comparison starting price Starting at $50/month + $6.50 per user Gusto comparison page; data collected July 2025

These figures do not establish an apples-to-apples total for the functions a particular employer needs. The QuickBooks figure is a starting comparison price, not a current quote for a specified tier, and the listed Gusto prices do not by themselves answer whether a plan includes every desired feature. Verify current pricing and included services with each vendor before making a budget or buying decision.

Illustrative arithmetic, not a quote

Using the published Gusto rates only as arithmetic examples, a 10-person team would have a Simple subtotal of $109 per month ($49 plus 10 times $6), a Plus subtotal of $200 ($80 plus 10 times $12), and a Premium subtotal of $400 ($180 plus 10 times $22). The comparison-page QuickBooks starting figure would calculate to $115 for 10 users ($50 plus 10 times $6.50). These examples exclude taxes, add-ons, benefits, workers’ compensation, state charges, and any discounts, and they do not indicate that the plans are equivalent. Their purpose is to show why the per-person fee can matter as much as the base fee.

Build a like-for-like monthly cost

Use a worksheet that captures the costs tied to your actual requirements. A low base price can become a poor comparison if the plan omits a feature you need or an add-on is required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Base fee and worker fee: Record the monthly base price and the amount charged per person or user for the plan you are comparing.
  • States and local taxes: Confirm any additional-state charges and whether registration or local-tax support for your locations is included.
  • Time and scheduling: Add the cost of any time-tracking, scheduling, GPS/geofencing, or project-scheduling capability your team actually needs.
  • Benefits and workers’ compensation: Ask how the services you plan to use are priced and what is included in the quoted plan.
  • Payment timing: Compare the plan that provides the deposit speed you need, not merely the lowest tier shown.
  • Accounting software: If you are not already paying for QuickBooks, include the cost of the accounting subscription needed for the workflow you want.
  • Migration and administration: Budget internal time for collecting employee data, configuring tax jurisdictions, mapping accounts, and reviewing the first journal entries.

Use current vendor quotes for the final calculation. Feature availability, plan names, payment timing, and fees can change, and the available published figures do not establish every add-on or location-specific charge.

Which workflow is better for different small-business situations?

A service firm with a growing HR workload

If onboarding, offer letters, PTO, benefits, and compliance tasks are becoming a recurring administrative burden, Gusto’s payroll-first design may be the more natural starting point. Confirm that the plan you select includes the employee workflows you actually intend to use and that your accounting system can receive the resulting journal entry.

A contractor or project-based business

If labor must be assigned to customers, projects, or jobs, QuickBooks’ connection to time tracking and job costing may carry more weight. Check which tier or add-on supplies project scheduling, GPS/geofencing, and related time features. Do not assume that a basic payroll subscription includes every project control.

A business changing accounting systems

If you are undecided about the accounting platform, Gusto’s stated connections to QuickBooks Online, Xero, and FreshBooks provide more flexibility than selecting payroll solely because it is bundled with one ledger. Map the accounting destination you expect to use over the next few years and verify the export or synchronization method before signing up.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A multi-state employer

Start with a location list: employer registration states, employee work states, and any local jurisdictions. Compare the exact multi-state and local-tax terms for each location. Gusto Plus and Premium are listed as supporting multi-state payroll, while QuickBooks’ additional-state treatment varies by tier; neither broad statement replaces a location-specific confirmation.

Should you choose Gusto or QuickBooks Payroll?

Choose Gusto if payroll and HR are the priority

  • You want payroll, onboarding, benefits, and employee-administration tools in a payroll-first product.
  • You value a choice of accounting connection, including the ability to pair payroll with QuickBooks Online, Xero, FreshBooks, or another accounting product.
  • You are evaluating multi-state growth and want to consider Gusto Plus or Premium, while still checking the state-specific terms for your locations.
  • You want time tracking and scheduling in a plan where Gusto lists those capabilities, such as Plus or Premium.

Choose QuickBooks Payroll if the books are already in QuickBooks

  • Your accounting records already live in QuickBooks and you want payroll posted directly into that accounting workflow.
  • Job costing and connected time or project workflows matter more than having a deeper built-in HR emphasis.
  • You are comfortable comparing higher tiers or add-ons to obtain the particular time-tracking, scheduling, GPS/geofencing, or project-scheduling features you need.

Consider combining Gusto with QuickBooks

A business does not have to choose between Gusto’s HR-oriented workflow and QuickBooks Online bookkeeping. Gusto’s integration can create a detailed payroll journal entry after each payroll run. This arrangement may suit an employer that wants a dedicated payroll/HR product while keeping accounting in QuickBooks; confirm the integration setup and whether its journal-entry workflow fits your bookkeeping process.

Common comparison mistakes and implementation pitfalls

  • Comparing starting prices instead of required tiers: Same-day pay, multi-state support, time tools, or advanced HR may require a higher plan.
  • Treating vendor claims as independent tests: Comparison pages explain each vendor’s positioning. They do not prove superior user experience, fewer errors, or a particular savings amount.
  • Ignoring local jurisdictions: State support does not automatically answer city, county, or other local-tax requirements.
  • Forgetting the accounting destination: Decide whether you need direct posting, a detailed journal entry, or an IIF export, and have your bookkeeper review that choice.
  • Assuming names stay fixed: Product names, plan packaging, prices, integrations, and partner terms can change. Recheck the live plan pages at purchase time.
  • Overlooking payment-speed eligibility: A plan may advertise next-day, same-day, or instant pay while specific employees, banks, or payroll schedules remain subject to terms.

What should you verify before signing up?

Because comparison pages and prices can change, check the current plan details for the actual business you are buying for. In particular, verify the following before relying on a feature label or a headline price:

  • The exact plan name and monthly pricing, including the per-person or per-user charge.
  • Which payroll tax filings and direct-deposit timing are available in the plan and for your employees.
  • Whether all of your states and local tax jurisdictions are supported, and what registration is required.
  • Whether time tracking, scheduling, job costing, GPS/geofencing, and project scheduling are included or require a higher tier or add-on.
  • Which HR, benefits, PTO, onboarding, and document workflows are included in the tier you intend to use.
  • How payroll data reaches your accounting system, including the format and workflow if you use QuickBooks Desktop.
  • How benefits, workers’ compensation, and other optional services are priced.
  • What data you can export if you later change payroll providers.

Vendor comparison pages are useful for identifying what each company highlights, but they are not independent testing. In particular, a customer testimonial published on Gusto’s comparison page is a vendor-reproduced opinion, not an independent product assessment; it cannot establish overall user experience or superiority.

Is QuickBooks Payroll the same thing as QuickBooks Workforce?

The product is described as QuickBooks Payroll within the broader QuickBooks Workforce experience, so you may see both names when researching payroll and employee tools. Check the current product and plan labels during signup because names and packaging can change.

Which is better for a business already using QuickBooks Online?

QuickBooks Payroll offers the most direct payroll-to-ledger workflow. Gusto can still be suitable if you prefer its HR and payroll process because it integrates with QuickBooks Online and creates a detailed journal entry after each payroll run. Compare the bookkeeping workflow and required HR features.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can Gusto and QuickBooks be used together?

Yes. Gusto can connect with QuickBooks Online and send a detailed journal entry after each payroll run. Confirm account mapping and the review process with your bookkeeper. QuickBooks Desktop uses the described IIF-export route instead.

Does QuickBooks Payroll include job costing?

QuickBooks’ comparison positioning emphasizes job-costing advantages and connected time or project workflows. Verify the exact tier or add-on, because time tracking, scheduling, GPS/geofencing, and project scheduling are concentrated in higher tiers or add-ons.

Which Gusto plan supports multi-state payroll?

Gusto Plus and Premium are listed as supporting multi-state payroll. Confirm current state-registration and local-tax terms for every jurisdiction where employees work before choosing a plan.

Is the QuickBooks price in this comparison current?

The $50-per-month plus $6.50-per-user figure is a starting comparison price from Gusto’s page using data collected in July 2025. It is not a current quote for a specified QuickBooks tier, so verify live pricing directly with QuickBooks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Are Gusto’s prices guaranteed through 2026?

The listed Gusto Simple, Plus, and Premium prices are published 2026 figures, but software prices and included features can change. Check the live plan pages and obtain a quote that reflects your workers, states, and add-ons.

Does either product guarantee fewer payroll errors?

No. The available comparison information does not establish independent payroll-error rates, reliability, or time savings for either provider. Treat tax filing, direct-deposit, and penalty-protection descriptions as plan-specific vendor claims and review the current terms.

The Bottom Line

Bottom line: Choose Gusto when payroll, HR, benefits, onboarding, and flexibility across accounting platforms lead the decision. Choose QuickBooks Payroll when your books already live in QuickBooks and direct ledger, time-tracking, and job-costing connections matter most. A Gusto–QuickBooks Online combination can also work. Price the exact tier, states, users, add-ons, and payment timing you need before committing.
