In India, a GST tax invoice must identify the supplier and applicable recipient, describe and value the supply, show the relevant tax amounts, and meet GST numbering and transaction-detail rules. If the invoice is issued through the notified e-invoice process, it must also carry the IRN-embedded QR code returned by an Invoice Registration Portal (IRP). That QR code supplements the invoice particulars; it does not replace them.

This guide covers the Rule 46-oriented particulars and the e-invoice workflow. GST notifications and portal procedures can change; confirm current applicability, exemptions and requirements for your business before relying on a threshold or issuing a covered document.

What details must a GST tax invoice include?

A compliant invoice records who supplied what, to whom, at what value, and which taxes apply. The exact recipient details depend on whether the recipient is registered and, if unregistered, on the invoice value and whether the recipient asks for those details.

Supplier and recipient identity

  • The supplier’s name, address and GSTIN.
  • For a registered recipient, the recipient’s name, address and GSTIN or Unique Identity Number, where applicable.
  • For an unregistered recipient, the name, address, delivery address, state and state code when the invoice value is ₹50,000 or more. Below ₹50,000, include these details when the recipient asks for them.

The ₹50,000 recipient-detail condition appears in Rule 46 guidance from the IRIS IRP / e-Invoice GST portal, accessed in 2026. It concerns recipient particulars; it is not an e-invoicing turnover threshold.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Invoice identity and date

  • The date of issue.
  • A consecutive serial number that is unique for the financial year. GST Network (GSTN) tutorial guidance, accessed in 2026, says an invoice number may be no more than 16 characters and may use letters, numbers, dashes and slashes. It also permits multiple invoice series within a financial year.

Use a documented numbering policy so staff and systems cannot accidentally issue duplicate numbers. If you use multiple series, make their purpose clear internally and preserve uniqueness across the financial year. The invoice issue date should reflect the actual supply-document process. Issuance deadlines and time-of-supply rules vary by supply type, so confirm the applicable GST provision rather than applying one general deadline to every invoice.

Supply description and value

  • HSN code for goods or services, as applicable, and a description of the goods or services supplied.
  • For goods, quantity and unit or Unique Quantity Code.
  • Total value of the supply.
  • Taxable value after any discount or abatement.
  • The applicable tax rate and tax amount for each relevant component: central tax, state tax, integrated tax, Union territory tax or cess.

Showing both total value and taxable value makes the calculation traceable when a discount or abatement changes the amount on which tax is calculated. Do not treat the HSN or service classification as a substitute for a useful description of the actual supply.

Place, delivery and tax responsibility

  • For interstate trade or commerce, show the place of supply and the state name.
  • Show the delivery address if it differs from the place of supply.
  • State whether tax is payable under reverse charge.

These fields help distinguish the supply’s tax treatment from the physical destination of goods. Capture the place of supply and any different delivery address as separate facts rather than assuming one address answers both questions.

Signature and electronic treatment

The supplier or an authorised representative signs or digitally signs the invoice, subject to the treatment applicable to e-invoices. For invoices issued under the prescribed Rule 48(4) e-invoice process, include the QR code embedding the IRN. The QR code is an additional requirement for that process, not a replacement for the other particulars above.

How should a business check an invoice before sending it?

Use a field-by-field check against the transaction, not just a visual glance at the printed page. A billing system can produce a polished-looking invoice while still omitting a recipient condition, tax component or e-invoice code.

  1. Confirm the parties. Match the supplier name, address and GSTIN to the business issuing the invoice. Determine whether the recipient is registered; then record the applicable recipient identification details.
  2. Check numbering and date. Ensure the invoice number follows the business’s documented series, is consecutive and is not duplicated for the financial year. Confirm the issue date reflects the transaction’s document process.
  3. Describe and classify the supply. Enter the HSN or relevant service classification, a meaningful description, and—when supplying goods—the quantity and unit or Unique Quantity Code.
  4. Reconcile the values. Check total supply value, taxable value after discounts or abatements, each applicable tax rate and each tax amount. Verify that the tax components shown match the transaction’s treatment.
  5. Complete transaction-specific fields. For interstate supplies, enter place of supply and state name. Record a different delivery address where there is one, and indicate reverse-charge liability where applicable.
  6. Apply the right signature and e-invoice handling. Include the supplier’s or authorised representative’s signature or digital signature when required. If the document must go through the notified e-invoice process, complete that workflow and place the returned QR code on the invoice.

Keep validation rules in the billing or ERP system aligned with the fields above. Useful controls include duplicate-number checks, GSTIN checks, tax-rate logic, and a check that the expected QR code is present before a covered invoice is released. These are operational safeguards; they do not change which particulars the invoice must contain.

What changes when e-invoicing applies?

E-invoicing is the reporting of specified GST document details to a Government-notified Invoice Registration Portal (IRP) and obtaining an Invoice Reference Number (IRN). GSTN’s glossary, dated 17 August 2023, describes the process in those terms. The business prepares its invoice in its own billing or ERP system; the IRP reporting and IRN are an additional step.

  1. Prepare the document. Create the invoice in the business’s billing or ERP system with the transaction and tax data needed for the covered document.
  2. Report it to an authorised IRP. Send the specified document data to an authorised portal for validation.
  3. Receive the result. After portal validation, retrieve the IRN and signed QR code.
  4. Complete the recipient-facing invoice. Include the returned QR code on the invoice shared with the recipient, while retaining the underlying invoice particulars.

The e-invoice process does not mean that the government portal creates the underlying commercial invoice for the supplier. The supplier prepares it in its own system and reports the specified data to the IRP. Nor does obtaining an IRN remove the need to show the Rule 46 particulars applicable to the invoice.

The portal guidance identifies supplier invoices, credit notes and debit notes as documents reported through the e-invoice system. It distinguishes bills of supply and delivery challans from documents reported in that workflow. Do not assume every GST-related document uses the same reporting path.

Does every GST invoice need an IRN and QR code?

No. The IRN-embedded QR code is required for an invoice issued under the applicable Rule 48(4) e-invoice process; it is not a universal field on every GST invoice. Notification No. 72/2020-Central Tax inserted the QR-code requirement into Rule 46 for invoices issued under that process.

Whether a particular business or transaction is covered depends on current notifications and portal rules. The available cited guidance does not establish one current, universal turnover threshold or an exhaustive exemption list for October 2026. Check the current GST or e-invoice notification and the portal checker for the relevant business and document before deciding that e-invoicing does—or does not—apply.

How should businesses choose an invoicing workflow?

The right workflow depends on applicability, transaction volume and how reliably the system can carry data from invoice creation through IRP reporting. Manual preparation may suit low volume, while recurring covered B2B transactions can make integrated billing or ERP reporting more practical; whichever method is used, the compliance fields still need to be complete.

Decision point What to verify
Applicability Is this an ordinary tax invoice, or a transaction and document subject to the notified e-invoice process? Check current notifications and portal guidance.
Data completeness Can the system capture every applicable Rule 46 field, including recipient-specific particulars and transaction-dependent details?
Integration Can billing or ERP data be exported for IRP reporting, and can the system retrieve the IRN and QR code and support the relevant GSTR-1 data flow?
Validation Does it check for duplicate invoice numbers, validate GSTIN entries, apply tax-rate logic and verify QR-code output where required?
Operational fit Can staff follow the process consistently at the business’s transaction volume, including reporting and attaching the IRP response when required?

Evaluate the whole document path, not only invoice design: data entry, validation, portal submission, retrieval of the IRN and QR code, and delivery to the recipient. A system that only prints a tax invoice may not handle the reporting and return-data steps needed for a covered e-invoice.

What are the most common invoice-compliance mistakes?

  • Using a QR code as a substitute for invoice content. The IRP code does not replace the applicable supplier, recipient, supply, value and tax particulars.
  • Applying the ₹50,000 condition to the wrong question. That figure in the cited Rule 46 guidance concerns details for an unregistered recipient; it does not tell a business whether e-invoicing applies.
  • Reusing a number across series. Multiple series are permitted, but the invoice number must remain unique for the financial year and follow the serial-number rules.
  • Combining place of supply and delivery address. Record the delivery address separately when it differs; the physical destination does not by itself answer the place-of-supply field.
  • Assuming every document follows the same IRP workflow. The cited portal guidance separates bills of supply and delivery challans from the supplier invoices, credit notes and debit notes reported through e-invoicing.
  • Using an outdated applicability assumption. Thresholds, covered classes, exemptions, schemas and portal procedures may change. Confirm the current rule for the transaction rather than relying on a remembered threshold.

Frequently Asked Questions

Are credit notes and debit notes reported through e-invoicing?

The portal guidance identifies supplier invoices, credit notes and debit notes as documents reported in the e-invoice system. Whether a particular document must be reported depends on the applicable current rules for the supplier and transaction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do bills of supply and delivery challans use the same IRP process?

The cited portal guidance distinguishes bills of supply and delivery challans from the documents reported through the e-invoice workflow. Confirm the current treatment of a specific document rather than assuming the invoice workflow applies to all GST paperwork.

Where can I check whether my business must use e-invoicing?

Check the current GST or e-invoice notification and the e-invoice portal checker for your business and document type. Applicability can depend on changing notifications, covered classes and exemptions, so an old threshold reference may not settle the question.
