Pack for an in-person game preview as if you were spending a day hiking through a crowded airport: wear broken-in shoes, carry water and snacks, keep your phone powered, and save every ticket, map and appointment offline. Add role-specific gear only when it serves a clear purpose. Fans need comfort and room for merchandise; press and creators need credentials, recording equipment and a schedule that survives dead reception; developers need a dependable demo, spare cables and a follow-up system. Read the event’s bag, prop, photography, code-of-conduct and NDA rules before you leave. That preparation prevents the most expensive failures: missed meetings, unusable footage, a dead badge QR code, or a demo that cannot be reset.
What should every attendee bring to a game preview event?
Start with a compact, supportive backpack and a universal day kit. A large tote or suitcase becomes a liability after several kilometres on concrete, while a small bag keeps your hands free in queues and crowded aisles.

- Entry documents: government ID, ticket or badge QR code saved offline, confirmation email and any access instructions. Carry a backup badge holder; official lanyards can break.
- Power: a tested 10,000 mAh or larger power bank, the exact cable your phone uses and a wall charger for the hotel. A 20,000 mAh bank is a practical full-day size, according to Las Vegas Trade (2026). Label cables so they do not disappear into a communal charging pile.
- Comfort: already-broken-in walking shoes, blister plasters, a light jacket or hoodie, deodorant, tissues, hand sanitizer, pain relievers, throat lozenges, mints and any daily medication. Bring a second pair of shoes for a multi-day show.
- Food and drink: a refillable bottle and snacks that will not melt, leak or crumble, such as bars or trail mix. Buy a proper meal rather than attempting to run on caffeine.
- Notes: a small notebook and pen in addition to your phone. Paper still works when the battery or network does not.
- Money: payment cards and a little cash. DezDoes reports that some stalls and tabletop areas switch to cash-only when card terminals fail.
Las Vegas Trade also recommends compression socks, lip balm in dry climates, sunscreen for outdoor walks and SPF when queues leave the building. Take only what you can carry comfortably for a full day.
How do you prepare before leaving home?
Preparation begins when the ticket is confirmed, not on the morning of the show. Complete these checks in order.

- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Verify entry and identity requirements. Buy from the organiser or a named authorised seller, save the confirmation and check whether a photo ID is required at badge pickup. Press and trade visitors should confirm the media or business-badge pickup location and opening hours.
- Book travel and lodging early. Hotels near major conventions sell out quickly. International visitors should keep a passport on their person rather than in a rental car and pack a universal power adapter. Store a photocopy or encrypted digital backup separately.
- Read the current rules. Check prohibited items, bag dimensions, re-entry and late-entry policies, cosplay and prop restrictions, photography and video rules, health guidance and the code of conduct. A closed preview invitation may add an NDA or embargo that overrides public-floor customs.
- Install the official app and export essentials. Download the map and schedule, mark must-see sessions, then screenshot or print tickets, badge QR codes, appointment details and transit information. Do not make venue Wi-Fi your only source of access.
- Set a small goal list. EZE Training suggests choosing a limited set of objectives, such as five useful conversations, three panels and one hands-on session. Nerd Culture recommends two or three must-dos per day; build everything else around those priorities.
- Plan by geography. Cluster appointments in the same hall or nearby buildings. Download or print the floor map and choose a fixed friend-meeting landmark because reception often fails inside exhibition halls.
- Set buffers and alarms. Put each meeting location in the alarm name and set it for 30 minutes early. Saturday crowds can make a short walk take much longer than the map suggests.
What belongs in a fan or public-attendee bag?
Public attendees should optimise for stamina, queues and carrying purchases, not for maximum gadgets.
- Add a foldable tote or extra bag for merchandise and flyers, leaving deliberate empty space from the start.
- Pack headphones if noise or sensory overload is a concern.
- For signings, bring a poster tube, protective sleeves and a marker only if you have a specific signing plan.
- Bring a handheld, dice, cards or character sheets only when you expect to use them. Rare collectibles and irreplaceable cosplay are safer at home.
Queues for popular attractions can last one to two hours, according to Nerd Culture (2026). Carry something small to read or do while waiting, and use hand sanitizer after shared controllers.

Press and trade kits add access and note-taking tools without turning the floor into a mobile office.
- Credentials: press or business badge, government ID and the organiser’s pickup instructions.
- Contact exchange: 50–100 business cards is a practical on-person quantity cited by Las Vegas Trade; keep a QR code as overflow. Save the QR code as a phone favourite, lock-screen image or LinkedIn QR wallpaper so it can be shown in seconds.
- Schedule: a printed appointment list plus the digital calendar. Include booth, hall, contact name and a 30-minute travel buffer.
- Writing device: carry a laptop or tablet only if you will file or present on site. For most floor work, a phone and notebook are lighter; leave the computer at the hotel unless a deadline or demo requires it.
- Interview kit: a small camera, spare batteries, labelled SD cards, a voice recorder and a wireless lavalier microphone for loud halls. A shotgun microphone is harder to use effectively amid expo noise.
- Reference material: a talking-points card with the elevator pitch, two or three features and likely story hooks; an external drive or USB stick for approved press assets.
Use a small footprint. A full cinema rig is difficult to protect in dense aisles unless you have secure storage.
What do content creators need for reliable coverage?
Creators should design for failure: batteries, cards, cables and quiet moments all run out sooner than expected.

- Carry more labelled memory cards than the itinerary appears to require and rotate them instead of filling one card. DezDoes describes losing an interview to a silently full card.
- Bring spare camera batteries and a charging plan. Test camera, phone, headphones, recorder and microphone the night before.
- Use a wireless lav for interviews and keep a voice recorder as an independent backup when camera audio is compromised.
- Leave a full computer behind unless you will edit or publish on the floor. A hotel-base laptop plus a phone for capture is usually easier to secure.
- Arrange lockable storage before bringing expensive equipment. Items that fit in a backpack and cost a few hundred dollars should not sit unattended overnight.
Ask before filming cosplayers, booth staff or other attendees. Follow the event’s restrictions on livestreaming and recording, especially in closed previews.

An exhibitor’s bag must keep a demo running, explain the game quickly and make follow-up painless.
Build a demo that survives the floor
- Bring trusted, fully charged hardware, spare controllers, headphones, HDMI, USB and power cables, plus a short trailer stored on the device.
- Prefer wired controllers at a public booth. Home of Indies warns that unsecured wireless controllers, Bluetooth mice and handheld PCs can walk away.
- Add a power strip or USB hub; Game Developer notes that booths rarely have enough outlets.
- Create an attract-mode trailer, a quick reset path, a crash-recovery shortcut and a way to jump directly to a press highlight. Disable desktop access where practical.
- Keep public play short. One source recommends about 10 minutes; another allows 15–20 minutes at most. Use the shorter target for queues and never let a visitor occupy a station indefinitely.
Make the press kit usable
Host the press kit online without a permission wall and carry printed one-pagers. Include the trailer link, logo, key art, platforms, contact details and a concise description. Promo cards should use punchy blurbs rather than a wall of text. Keep business cards on your person as well as at the booth.
Prepare the team
Wear branded clothing that remains comfortable during long standing shifts. Pack spare shirts, shoes, wet wipes, electrolyte powder and sunscreen when outdoor programming is involved. Buy food off-site when possible; Home of Indies warns that food at Koelnmesse can be expensive and heavily queued.
How do you prevent a dead phone or camera from ruining the day?
Power is the most common single point of failure. UberStrategist’s warning is blunt: “A dead phone is a dead lead.” DezDoes similarly notes that the phone, headphones or camera will fail eventually, not merely possibly.

- What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.
- Choose capacity for the schedule. Pack at least 10,000 mAh; 20,000 mAh is a practical full-day size. Charging stations are crowded, so treat them as an emergency rather than your plan.
- Match the cable. Confirm whether your phone uses USB-C or Lightning, and carry a spare short cable if you have room.
- Test the whole chain. The night before, charge the bank, connect each cable, power the phone and verify that the camera and recorder batteries charge.
- Carry hotel charging gear. A compact 65 W GaN charger can handle a phone and laptop overnight, according to DezDoes. Add a mini power strip when sharing booth power or travelling internationally.
- Protect the gear. Avoid cheap kiosk banks that may overheat, and do not leave phones, tablets or cameras unattended. Keep the bank in carry-on luggage when flying.
Save tickets, maps, schedules and contact details offline before entering the venue. A dead battery is not the only risk; crowded halls commonly have poor Wi-Fi and cellular service.
How should you manage a long floor day?
Think of the show floor as a hike. PC Gamer’s Tim Clark advised treating E3 like a substantial hiking trip, and a 2025 Gamescom account recorded 15 kilometres of walking in one day. The Las Vegas Convention Center covers 4.6 million square feet, and Las Vegas Trade says trade-show attendees often walk 8–15 km on concrete.
- Wear the most comfortable broken-in shoes you own; never debut new footwear at the show.
- Use blister plasters at the first hot spot, not after the skin breaks.
- Drink steadily and eat real food. Magnesium-rich snacks can help with cramps, according to Home of Indies.
- Schedule sitting, bathroom and meal breaks as calendar items. A quiet room may exist, but availability is event-specific; check the current map rather than assuming a particular location.
- Queue only for hands-on experiences or information you cannot watch later. Bring a small activity for unavoidable waits.
- Keep aisles clear, silence phones during panels and ask permission before photographing people or booths.
What rules apply to photos, social posts and NDAs?
There is no universal embargo time for every publisher preview. The invitation or NDA controls the exact date and hour, so do not infer a release time from another event.
- Read the invitation for restrictions on screenshots, statistics, recording, livestreaming and social posts.
- If the status is unclear, do not publish stills, gameplay details or “leaks” until the organiser or publisher confirms that they are allowed.
- Public demos such as Steam Next Fest are different from closed, NDA-bound hands-ons; public availability does not remove restrictions from a separate preview appointment.
- Use official hashtags when permitted, but never post paid or restricted session content. Send complaints to organisers privately rather than escalating them on the show floor.
How much should you budget for the event?
Costs vary by city, access level and how many days you attend. The following figures are reported examples, not universal prices.
| Expense | Reported figure | Qualification |
|---|---|---|
| Gamescom 2026 day ticket | €31.50 Thursday, Friday or Sunday; €41 Saturday | GIFQ listing in early August 2026 |
| Gamescom evening ticket | From €10.50 | GIFQ listing in early August 2026 |
| Typical single-day convention ticket | $40–$150 | Nerd Culture 2026 estimate |
| Typical weekend ticket | $150–$300 | Nerd Culture 2026 estimate |
| VIP ticket | $500–$1,000 | Nerd Culture 2026 estimate |
| Hotel near a major event | $200–$400 per night | Nerd Culture 2026 estimate |
| Food, drink and merchandise | About $200–$500 per day | Nerd Culture 2026 estimate |
Exhibitor and marketing costs can be much higher. A Summer Game Fest trailer placement was reportedly $250,000, while an indie showcase booth at PAX East or PAX West was cited at $2,000–$15,000 before on-site staffing and materials. Those figures are planning context for companies, not a prediction of what an attendee will spend.

How should you plan Gamescom or another large show?
Scale changes the logistics. GIFQ reported 357,000 Gamescom visitors from 128 countries and 1,568 exhibitors in 2025, with about 233,000 square metres of exhibition space. The organisation expected more than 70,000 trade visitors in the 2026 business area. At that size, a map, buffers and a meeting landmark are essential rather than optional.
GIFQ listed the 2026 main fair for 26–30 August at Koelnmesse, gamescom dev for 23–25 August and Opening Night Live for 25 August at 8 p.m. CEST. Thursday and Friday hours were 10:00–20:00, Saturday and Sunday 9:00–20:00, with Wednesday reserved for trade and media. A separate showcase calendar listed different Gamescom Awesome Indies dates, so confirm the live organiser page and the specific showcase before booking travel for the next cycle.
For Gamescom trade visitors, a 2025 guide recommended the south entrance, a printed badge, a LinkedIn QR code as phone wallpaper and comfortable or hiking shoes. It described limited re-entry across Wednesday–Friday; check the current badge terms because access rules can change.

Exhibitors should not wait until arrival to seek meetings. Big Games Machine recommends personalised journalist outreach three to four weeks before a trade show, with 30-minute meeting targets and a shared calendar that shows time zones.
- Build a media list matched to the game, platform and story angle.
- Send a short, personalised invitation with the event, hall, available times and a clear hands-on proposition. A useful subject pattern is “Hands-on preview of [game or product] at [event].”
- Prepare a universal demo script and interview FAQ so every team member gives consistent answers.
- Keep the press kit online, permission-free and current; carry printed one-pagers for contacts who cannot download files on the floor.
- Draft the follow-up email before the event and attach the promised links, review codes or fact sheets only after checking their release restrictions.

What should you do after the preview?
Sort notes while names and conversations are still fresh, using categories such as press, publisher, developer and collaborator. Within 48 hours, send a personalised thank-you that identifies where you met, mentions one specific point discussed and includes the promised press-kit or contact link. EZE Training allows a 48–72-hour window; do not delay beyond that if the conversation has a time-sensitive next step. Developers should also invite interested contacts to an owned mailing list, which is less dependent on a social platform’s algorithm.
What is the simplest reliable packing formula?
Use this final check before leaving: ID and offline badge, broken-in shoes, water, non-messy food, 10,000–20,000 mAh power bank with the right cable, light layer, hygiene and blister care, notebook, medication, and only the role-specific equipment you have tested. Then verify the event rules and NDA one more time. That combination covers the failures that are hardest to fix once the doors open.
Frequently Asked Questions
Can I rely on charging stations at a convention?
Treat them as an emergency. Busy halls make stations crowded, and you may not have time to stand beside a socket between appointments; carry your own charged power bank and cable instead.
Should I bring a laptop to a press preview?
Bring one only when you will file, edit or present on site. Otherwise, keep it at the hotel and use a phone, notebook and printed schedule to reduce weight and theft risk.
How early should I contact journalists about a game demo?
For a developer-led preview, begin personalised outreach roughly three to four weeks before the show. Offer 30-minute slots, include the hall and time zone, and provide a concise reason the meeting fits that journalist.
Are closed preview demos covered by the same rules as public expo booths?
No. A closed appointment may have a separate NDA, embargo date, recording ban or screenshot restriction. The invitation’s terms take precedence, so ask the host before publishing anything.
