Expense tracking software converts receipts, card transactions, mileage and employee claims into categorized records that can be reviewed, approved, reimbursed and posted to your accounting system. The right system is not simply the one with the best receipt scanner: it must fit your capture habits, accounting and card connections, spending policies, approval chain, reporting needs, tax jurisdiction and budget. A small business can begin with receipt capture, mileage, bank feeds and basic reports; a growing team usually needs policy enforcement, role-based approvals, reimbursements, audit history and a direct ledger connection.

Software improves the completeness and timeliness of your records, but it cannot decide whether an expense is deductible. You still need a business purpose, supporting evidence and a review process that matches the tax rules where you operate.

What does expense tracking software do?

Expense tracking software creates a controlled workflow from the moment money is spent to the moment a verified transaction reaches your books. Instead of keeping loose receipts and re-keying statements, the system stores the evidence with the transaction and records who submitted, reviewed, approved or changed it.

The end-to-end workflow

  1. Capture: A user photographs a receipt, forwards it by email, uploads a file, relies on a bank or card feed, records mileage, or enters the expense manually.
  2. Extract: Optical character recognition (OCR) reads details such as merchant, date, amount and sometimes tax or currency. The submitter checks the extracted values before sending anything for approval.
  3. Categorize: The expense is assigned an account category and, where relevant, a project, customer, location, tax code, cost center or reimbursable status.
  4. Validate: Rules check required receipts, spending limits, duplicate claims, restricted merchants, missing fields and unusual patterns.
  5. Report: Related transactions are grouped into an expense report, often by employee, trip, project or accounting period.
  6. Approve or return: A manager or finance reviewer approves the report or sends it back with a reason for correction.
  7. Reimburse and post: Approved employee claims are paid through the configured method, while company-paid transactions are posted or exported to the accounting ledger. Mileage and per-diem calculations can be included before posting.

Microsoft’s Expense Agent documentation describes this sequence, including web, mobile and email intake, review, submission, approval or send-back, and ledger posting. Other systems use the same broad pattern, even when labels and screens differ.

Which features matter when you choose a system?

Start with the controls your business needs, not a feature count. A tool that captures receipts well but cannot reconcile card feeds or enforce approvals can create more work later.

Capability What to verify Why it affects the decision
Receipt and data capture Camera, email, upload, bank/card feed, manual entry, OCR fields and correction flow More intake options improve adoption; inaccurate extraction creates review work.
Mileage and per diem Route or mileage entry, rate tables, date and purpose fields, regional rules Field employees can document travel without separate spreadsheets.
Bank and corporate-card feeds Supported institutions, refresh frequency, matching receipts to transactions and handling declined or refunded charges Reduces duplicate entry and exposes unsubmitted card spend.
Dimensions and tax coding Categories, projects, customers, departments, cost centers, tax or VAT codes and currencies Determines whether reports are useful for job profitability and tax preparation.
Policy controls Receipt thresholds, merchant restrictions, duplicate detection, exception reasons and approval levels Prevents avoidable leakage while giving reviewers an explanation for exceptions.
Reimbursement Payment method, payroll or accounting hand-off, status tracking and treatment of advances Employees need a predictable payment date and finance needs a clear liability record.
Integrations Accounting ledger, payroll, travel, ERP, card issuer and export formats Data should move without repeated re-keying or an uncontrolled spreadsheet bridge.
Reporting and audit trail Dashboards, period and project filters, export, attachment history and an immutable change log Supports close, management decisions and an explanation of who changed a record.
Security and permissions Separate submitter, approver, accountant and administrator roles; retention settings; access reviews Limits exposure of payroll and banking data and reduces unauthorized edits.
Commercial model Per-user, per-transaction or plan pricing; included limits; implementation and integration fees A low sticker price can rise quickly with more employees, cards or transactions.
Geography and tax support Supported countries, currencies, VAT or sales-tax treatment and local reimbursement rules A workflow designed for one jurisdiction may not satisfy another.

How should a small business start?

For a small team, implement the minimum workflow that produces complete records and can grow without a second migration.

  1. Define your accounting vocabulary. List expense categories, projects or clients, reimbursable versus company-paid spending, mileage rates and tax codes. Keep the list short enough that employees can choose correctly.
  2. Set evidence rules. Decide when a receipt is mandatory, what alternative evidence is accepted, and which fields (business purpose, attendees, client or project) are required.
  3. Connect sources. Link the accounting ledger, business bank accounts and corporate cards. Confirm that each feed identifies the right entity and currency.
  4. Test real documents. Run domestic, foreign, itemized, faded and multi-page receipts through OCR. Correct extraction errors and document who is responsible for final verification.
  5. Create a simple approval path. Route employee claims to a manager, then to finance only when a threshold or exception requires it. Avoid sending every low-value purchase through an executive.
  6. Reconcile on a schedule. Compare software totals with bank and card statements at least each accounting period. Investigate missing receipts, duplicate imports, refunds and transactions that remain unsubmitted.
  7. Train and measure adoption. Show employees how to capture a receipt immediately, record mileage and explain an exception. Track submission delays, returned reports and unreconciled items for the first few months.

What changes as the team grows?

Growth adds more spenders, entities, currencies and exceptions. At that point, the useful features are controls and traceability rather than another dashboard.

Approval and policy layers

Use amount-based and category-based thresholds, substitute approvers for leave, and a documented exception reason. Duplicate detection should compare amount, merchant, date and employee, while unusual-merchant alerts should be reviewed rather than treated as automatic proof of fraud.

Role separation

Keep submission, approval, payment and administration separate where practical. An accountant may correct coding without being able to approve their own claim; an administrator can manage settings without changing the underlying accounting entry.

Multi-entity and international handling

Verify legal-entity, currency and tax treatment before enabling a second location. A feed that works for one bank may not support another country, and mileage or per-diem rates may need separate effective dates.

Which products illustrate the available approaches?

No universal “best” product was established. The following examples show how documented capabilities differ; plan limits, pricing and availability can change, so confirm current terms for your region and edition.

Product Documented capabilities Important qualification
Xero expense tools Phone receipt capture, mileage claims, employee reimbursements, project or customer tagging, reports and cash-flow visibility. Xero reported that 88% of customers said they reduced business administration in a survey of 271 U.S. small businesses conducted May–June 2024. That is a vendor survey, not an independent estimate.
Zoho Expense Receipts, mileage and card transactions can become categorized expenses and reports; policy review can flag duplicate claims, risky merchants and unusual spending patterns; links travel, cards, reimbursements and accounting activity. Exact controls and integrations depend on the selected edition and connected services.
Microsoft Dynamics 365 Business Central Expense Agent AI extraction of merchant, amount, date and category; mileage calculation; report grouping; policy evaluation; approval workflows; web, mobile and email intake. Microsoft labels the feature a production-ready preview, so availability and behavior may change.
QuickBooks Online, FreshBooks and Expensify A comparative review by NerdWallet lists mobile receipt scanning, mileage, bank feeds and employee-expense capabilities across these products. Features differ by plan; use the comparison as orientation and verify current plan details.
Paychex Imports card, account, itinerary and scanned-receipt data; supports spending limits, violation flags, one-click approvals, analytics and reimbursement through its payroll environment. Confirm that payroll, accounting and card connections match your legal entities and region.

How do receipts, mileage and card feeds work together?

Each source answers a different question. A card feed proves that a charge occurred, a receipt describes what was bought, and a mileage record explains business travel. Matching them creates a stronger record than relying on any one source.

  • Receipts: Capture them at purchase time, check merchant, date and amount, and add business purpose when the receipt itself cannot show it.
  • Mileage: Record date, origin, destination, distance and purpose. Confirm the rate and currency used by your jurisdiction or company policy.
  • Card feeds: Match imported charges to receipts, split mixed business and personal purchases, and mark refunds or credits so they are not counted as new expenses.
  • Email and mobile intake: Provide a fallback for remote staff, but require the same fields and policy checks as desktop submissions.

What records do you need for taxes?

Tax rules vary by country, state and tax year, so treat software as an organization and evidence tool, not a deduction engine. In the United States, IRS Publication 463 says, “You can’t deduct amounts that you approximate or estimate.” It explains that timely records and documentary evidence should substantiate the amount, date, business purpose and other required elements for travel, gifts and transportation.

IRS Publication 583 describes business expenses as ordinary and necessary, recommends separating business and personal accounts, and explains that records support financial statements, tax returns and deductions. Your system should therefore preserve the transaction, receipt or other supporting document, business purpose, coding, approval history and any correction or reimbursement record. Ask a qualified tax professional which retention period and substantiation exceptions apply to your jurisdiction.

How much does expense tracking software cost?

Published prices were not established for the products in this comparison, and plan terms change. Budget using the vendor’s charging unit—user, transaction, card, entity or plan—then add implementation, accounting integration, payroll connection, support and data-export costs.

Estimate a full-year total for your current headcount and a realistic growth case. Include occasional users, approvers and administrators if they consume licenses. A cheaper plan that omits card feeds or approval rules may cost more in reconciliation time and control failures.

What can go wrong, and how do you fix it?

  • OCR misreads a receipt: Require the submitter to review extracted fields and keep the original image. Route low-confidence or foreign-language documents to manual review.
  • A receipt is missing: Use an exception form that records merchant, date, amount and business purpose, then apply a manager approval threshold. Do not silently substitute an estimate.
  • The same charge appears twice: Compare card-feed imports with manual entries and enforce duplicate checks on amount, date and merchant before approval.
  • Employees delay submissions: Turn on mobile or email capture, send reminders before close and show the reimbursement status employees care about.
  • Bank totals do not reconcile: Check feed start dates, pending versus posted transactions, refunds, foreign-exchange conversions and transactions assigned to the wrong entity.
  • Policies block legitimate spending: Add an exception path with a reason and approver instead of disabling the rule for everyone.
  • Data is locked in the system: Schedule exports that include attachments and audit history, test a restore, and retain them under your organization’s policy.

How do you evaluate a trial or pilot?

Use your own last month of spending rather than a vendor’s sample data. Include ordinary receipts, mileage, a foreign transaction, a split project charge, a duplicate and a missing receipt. Measure capture time, correction rate, approval turnaround, reconciliation effort, export completeness and whether every role can perform only the actions assigned to it.

Before rollout, document who owns categories, policies, integrations, month-end reconciliation and retention. A short pilot with finance and several employees usually reveals more than a feature checklist alone.

Frequently Asked Questions

Can expense software replace a bookkeeping system?

Usually not. It prepares, validates and exports expense data, while the ledger remains the system of record for journals, accounts payable, financial statements and tax reporting. Choose an integration or export that preserves coding and attachments so bookkeeping does not become a second manual process.

Will receipt OCR read handwritten or damaged receipts?

Performance is less predictable for handwriting, glare, folds and low-contrast thermal paper than for clear printed receipts. Keep the original image, require a human check, and provide a manual-entry path instead of accepting uncertain fields automatically.

Do employees need company cards to use an expense system?

No. Employees can submit reimbursable purchases with a receipt and business purpose, while company-card feeds cover charges paid directly by the business. Configure the two paths separately so a reimbursable claim is not paid twice.

How often should expense data be backed up?

Align exports with your close and retention schedule, and make an additional export before changing systems or legal entities. Verify that the export includes receipt attachments, coding and the audit history, then store it where access and retention are controlled.
