ChatGPT is not a private vault. The safest rule is to assume that anything you type, upload, record, or connect could be stored, reviewed under limited operational processes, exposed to your organization’s administrators, or used for model improvement unless your account and settings say otherwise. Personal Free, Plus, and Pro workspaces share conversations for model improvement by default; managed business products and the API do not by default. You can reduce exposure by minimizing sensitive inputs, turning off Improve the model for everyone, using Temporary Chat for suitable short-lived work, deleting chats and separately stored files, reviewing Memory and connected apps, and securing your account.
What should I avoid putting into ChatGPT?
Do not paste information whose disclosure would create a serious personal, legal, financial, medical, employment, or security problem. ChatGPT’s safeguards reduce risk, but they cannot make an accidental disclosure reversible.

If you need help with a sensitive document, remove names, account numbers, direct identifiers, and unnecessary details first. Replace them with consistent labels such as Customer A or Project North, and confirm that your employer has approved the account, retention period, and processing basis before uploading anything regulated.
Does ChatGPT store conversations or use them for training?
It depends on the account type and the setting. On personal Free, Plus, and Pro workspaces, sharing for model improvement is enabled by default. In Settings, open Data controls and switch off Improve the model for everyone when new conversations should not be used to train OpenAI models.

OpenAI says that when this setting is off, “your new conversations won’t be used to train OpenAI models.” The change is forward-looking: existing chats remain in your history until you delete them. It is also separate from Memory, personalization, and deletion, so disabling one does not automatically disable or erase the others.

OpenAI describes model development as using publicly available information, partner data, and information supplied or generated by users, trainers, and researchers, with filtering and other safeguards. That statement is why input minimization matters even when a particular chat is excluded from future training.
How do I turn off model improvement on a personal account?
The control is available in ChatGPT’s settings and affects new conversations, not old ones.
- Open ChatGPT and select your account menu.
- Choose Settings, then Data controls.
- Turn off Improve the model for everyone.
- For older sensitive chats, return to the conversation list and delete them separately.
Do not confuse this switch with the Memory control. Memory governs information ChatGPT may retain for personalization; the model-improvement switch governs whether new conversations are used for training. A privacy-conscious setup reviews both settings and checks them again after changing accounts, browsers, or workspace profiles.
Is Temporary Chat genuinely private?
Temporary Chat is more private than an ordinary saved conversation, but it is not an instant-erasure guarantee. Temporary chats do not appear in history, do not create memories, and are not used to improve models. OpenAI may retain a copy for up to 30 days for safety monitoring and related obligations.

Use it for transient brainstorming or questions that should not remain in your normal history, provided the content is otherwise appropriate to share. Do not use the temporary label as permission to paste passwords, regulated records, or secrets: safety retention and operational access can still apply.
What happens when I delete a ChatGPT conversation?
Deleting a regular chat removes it from your visible history and schedules it for permanent deletion within 30 days, according to OpenAI’s retention guidance. The 30-day period is a target for scheduled removal, not a promise that every copy disappears immediately.
Legal, security, fraud, abuse, and other policy exceptions can extend retention. De-identification or backups may also mean that deletion is not equivalent to an instantaneous, universal wipe. Archived chats are still retained; archiving is an organization action, not deletion.
Why deleting the chat may not delete the file
Uploaded material can exist separately in a Library, project, or custom GPT knowledge store. Delete the related file or knowledge item in that location as well as deleting the conversation. Check shared links and connected services, because a recipient or an external service may have its own copy outside ChatGPT’s deletion process.
Can my employer see my ChatGPT chats?
Assume that a work account is organizational data, not a private diary. In ChatGPT Business, administrators can view, access, export, and delete end-user conversations. Enterprise and other managed workspaces can impose retention, Memory, connected-app, and sharing rules that you cannot override as an individual user.

Before using a work workspace, read your employer’s data-classification policy and learn who the workspace administrators are. Keep personal matters in a separately managed personal account, and never use a company workspace to bypass a restriction on confidential or regulated information. OpenAI states that “your workspace admins control how long your data is retained.”
OpenAI also says that authorized employees and specialized contractors may access stored conversations for engineering support, abuse investigation, legal compliance, or other stated operational purposes. That access is limited by policy, but it is another reason to share only the minimum necessary content.
How do Memory, connected apps, and shared links increase risk?
Each feature creates a separate path for information to persist or leave the chat interface. Review them individually rather than treating one global privacy switch as sufficient.
Memory and personalization
Memory can retain useful preferences across conversations. If a remembered fact is sensitive, inspect and remove it using the Memory controls, then decide whether Memory should remain enabled. Turning Memory off does not erase saved chats, disable model-improvement sharing, or remove information already stored in a file or project.

Connected apps and plugins
Grant the least access needed, remove integrations you no longer use, and understand what an app can read or write before authorizing it. An app with access to email, cloud files, calendars, or repositories can expose more information than the prompt you typed. Recheck permissions after an app changes scope or your organization changes its policy.

Shared links and media
A shared conversation link can expose the context included in that conversation to anyone who receives it. Voice, video, images, and documents deserve the same scrutiny as typed text because they may contain faces, screens, metadata, signatures, or background conversations. Revoke links you no longer need and remove sensitive media from separately stored locations.
How is ChatGPT data protected, and what does encryption not protect?
OpenAI states that business data is encrypted at rest with AES-256 and in transit with TLS 1.2 or higher. It also describes monitoring, security testing, and advanced account-security controls. OpenAI says, “Your data is encrypted at rest and in transit between you and OpenAI, and between OpenAI and its service providers.”
Encryption protects data while it is stored or transmitted; it does not prevent an authorized administrator from accessing a managed workspace, stop you from sharing a conversation, or guarantee that a compromised account is harmless. Use a unique password, enable the strongest available multi-factor or other account-security option, keep recovery methods current, and investigate unfamiliar sessions or activity promptly.

Yes. ChatGPT may produce an incorrect name, contact detail, biography, legal claim, medical statement, or financial assertion. OpenAI says, “ChatGPT is designed to reject requests for private or sensitive information about individuals. Do not use a generated answer as the sole basis for a hiring decision, medical action, legal filing, payment, identity check, or disclosure about another person. If an output contains inaccurate or inappropriate personal information about you, use OpenAI’s privacy-request process and preserve enough context to explain what appeared and where.
What is the safest practical setup?
Apply the controls that match the sensitivity of the work, then review them whenever you change accounts or connect a new service.
- Minimize inputs; redact identifiers and never paste secrets.
- On personal accounts, turn off Improve the model for everyone when appropriate.
- Use Temporary Chat for suitable transient work, while remembering its possible safety retention.
- Delete ordinary chats you no longer need and separately remove files from Library, projects, or custom GPT knowledge.
- Inspect Memory, shared links, connected apps, plugins, and media permissions.
- Use an approved managed workspace for confidential organizational work, and follow its administrator and retention rules.
- Secure the account with a unique password, strong sign-in protection, and current recovery details.
- Verify generated facts and personal information before acting on or sharing them.
What should I do if I pasted sensitive information by mistake?
- Stop sharing the conversation and revoke any shared link immediately.
- Delete the chat, then remove related files from Library, projects, or custom GPT knowledge.
- Revoke exposed API keys, passwords, tokens, or connected-app permissions and rotate them from a trusted device.
- Notify your security, privacy, legal, or compliance team if the information belonged to an employer, customer, patient, or client.
- Review Memory and account sessions, sign out of unfamiliar devices, and enable stronger sign-in protection.
- Submit a privacy request if personal information remains in an output or requires formal review.
Deletion starts a scheduled process; it cannot undo screenshots, downloads, copied text, or records retained by another service. Treat the event as a potential disclosure and follow the applicable incident-response policy.

Is it safe to use ChatGPT for work documents?
Only when the workspace and processing are approved for that document’s classification. Redact unnecessary identifiers, use the organization’s managed account when required, and confirm its retention and administrator-access rules before uploading.
Does turning off Memory remove what ChatGPT already learned about me?
No. Memory settings are separate from conversation history, model-improvement controls, and files stored in projects or a Library. Review and delete remembered items and other copies individually.
Can a shared ChatGPT link expose more than one answer?
Yes. Anyone with the link may see the conversation context included in that share, not just the sentence you intended to show. Revoke old links and avoid sharing chats that contain private prompts, uploads, or personal details.
