To change a Word document’s paper dimensions in the desktop app, open the Layout tab, select Size, and choose the required paper preset. If you need a custom dimension, choose More Paper Sizes when that command is available, but Microsoft’s documented walkthrough for that route is labelled for older Word versions, so the exact dialog and labels can differ today. Do not confuse page size with margins (writable space), orientation (portrait or landscape), the size of an image or text box, or print-time scaling. Those are separate controls. Word for the web has conflicting Microsoft guidance about editable layout settings; use the desktop app when the required control is missing.

What does “document size” mean in Word?

People usually mean one of five different settings when they ask how to change a document’s size. Identifying the intended setting first prevents a change that solves the wrong problem:

If you want to change… Use this control What changes
The physical page dimensions Layout > Size The paper rectangle Word lays out, such as Letter, Legal, or A4
How much text fits on each page Layout > Margins The blank space between content and the page edges
A wider or taller page Layout > Orientation Portrait or landscape direction
A photograph, drawing, or text box Picture Format or Shape Format The selected object’s height and width, not the page
The physical output from a printer The print dialog and printer settings Paper selection and scaling at print time; it does not necessarily change the Word layout

The title normally refers to the first row: changing the page or paper size. Start there unless your real goal is to fit more words, turn a page sideways, resize an object, or correct a printout.

How do I change the page size in desktop Word?

In Word for Windows or Mac, go to Layout and open Size. Select the paper preset that matches the document you are creating or the paper you will use.

  1. Open the document in the installed desktop Word application.
  2. Select the Layout tab on the ribbon. (Some older releases label this tab Page Layout.)
  3. Click Size in the Page Setup group.
  4. Choose a listed preset, such as Letter, Legal, or A4.

Word applies the selection to the current document section by default. In a document containing section breaks, check the scope before assuming every page changed. Different sections can carry different page setup values.

Changing paper dimensions can reflow paragraphs, move headings, alter page breaks, and shift headers, footers, tables, and images. Review the whole document after the change rather than checking only the page where you made the selection.

What are the common Letter, Legal, and A4 dimensions?

Microsoft’s print guidance identifies these paper specifications:

Paper Dimensions Typical reason to select it
US Letter 8.5 × 11 inches Common US and Canadian office documents
US Legal 8.5 × 14 inches Longer forms and documents designed for legal-size stock
A4 About 8.3 × 11.7 inches Common international office and business documents

These are dimensions, not adoption statistics. Select the format required by your recipient, template, institution, or printer, then use matching physical paper when printing. A document set to A4 does not magically make a Letter sheet the correct size.

How do I change from Letter to A4 without rebuilding the document?

Use Layout > Size > A4; Word will retain the text and formatting while recalculating line wraps and page breaks. Before sending or printing, inspect tables, captions, page numbers, and manual page breaks because the narrower or taller page can change where those elements land.

If only part of the file should use A4, place the cursor in the relevant section and apply the size there. For a reliable mixed-size document, create section breaks first, then set the paper size for each section and verify the section’s headers and footers.

How can I set a custom page size?

Microsoft documents a route through Layout > Size > More Paper Sizes, but the support article that gives that exact sequence is explicitly marked as guidance for older Word versions. Treat it as a useful signpost, not a guarantee that every current Windows or Mac build exposes identical labels or fields.

If More Paper Sizes appears in your desktop installation, open it and look for the paper-size dialog’s width and height fields. Enter the dimensions required by your specification, confirm the unit shown by Word, and apply the setting to the intended section or whole document. The wording and location of the custom fields can vary by release and operating system, so read the dialog’s labels rather than copying a menu path from an older screenshot.

If the command is absent, greyed out, or does not offer the dimensions you need, do not substitute a random preset. Check that you are using the installed desktop app rather than the browser version, and consult the Help search inside your current Word release for paper size or page setup. The examined Microsoft documentation does not establish one current, identical custom-width procedure for both desktop operating systems.

How do I make more room for writing without changing paper size?

Change the margins, not the paper dimensions. Select Layout > Margins > Custom Margins, enter the top, bottom, left, and right values, and choose OK.

  1. Open Layout and select Margins.
  2. Choose a preset, or select Custom Margins.
  3. Type the measurements in the margin fields.
  4. Check the Apply to scope if Word displays one, then confirm with OK.

Microsoft says Word pages normally start with one-inch margins. Smaller margins increase the writable area but may make a document harder to read and can exceed a printer’s non-printable edge. Larger margins reduce the number of words or lines per page without changing the physical sheet.

In a document with multiple sections, Microsoft’s custom-margin guidance says the new margin type applies only to the current section. If later sections still show the old margins, click in each section and repeat the change, or deliberately choose a whole-document scope where your version provides that option.

How do I make a Word page wider or taller?

Use orientation. Select Layout > Orientation, then choose Landscape for a wider page or Portrait for a taller page.

Orientation is independent of paper size. A Letter page can be portrait or landscape, as can an A4 page. Microsoft states: “You do not need to print the document for orientation changes to take effect.” The on-screen layout, pagination, and saved file update immediately.

To rotate only part of a desktop document, select the relevant text and use the orientation command’s application choices, such as Selected text, This point forward, or This section, when offered by your version. Word uses section breaks to separate those layouts. If the entire document changes unexpectedly, undo the action, insert or select the correct section, and apply the orientation again with the narrower scope.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

How do I resize a picture, chart, or text box instead of the page?

Select the object, then use its contextual formatting tab. For a picture, open Picture Format; for a shape or text box, open Shape Format. Enter the required height and width in the Size controls.

Keep the aspect ratio locked when you are resizing a photograph or logo unless you intentionally want to stretch it. Dragging an object’s handles changes the object, not the page’s paper dimensions. If text is being clipped inside a text box, enlarge the box or adjust its internal margins rather than changing Layout > Size.

Can I change page size in Word for the web?

Do not assume that the browser version has the same page-setup controls as desktop Word. Microsoft documentation is inconsistent: one support page supplies custom-margin steps for Word for the web, while another says page margins and orientation are preserved but cannot be edited there. Those statements do not establish a dependable current browser workflow for changing paper size.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the Layout controls you need are missing, open the file in the installed desktop app. After making the change, save the document and reopen it in the browser to check how the web viewer renders the result. Browser editing can also be affected by the file type, permissions, and whether the document is in a compatibility mode.

Why does the document still print at the wrong size?

Word’s page setup and the printer’s output settings are separate. A page can be correctly set to A4 in Word and still print on Letter paper, shrink to fit, or be clipped if the print dialog or printer driver uses another choice.

  1. In Word, confirm the document’s page size under Layout > Size.
  2. Open File > Print and inspect the preview. Look for unexpected scaling, extra pages, or clipped edges.
  3. Confirm that the print dialog’s paper choice matches the document: Letter, Legal, A4, or your custom stock.
  4. Check the printer’s driver for options such as Fit to paper, Scale to fit, or a percentage other than 100 percent. Use the option required by your output specification.
  5. Load the same physical paper size in the printer tray and verify the tray selection if the printer has multiple sources.

Changing the Word page dimensions cannot overcome a printer’s physical limits. Microsoft explains that “The usual reason borders don’t print is something called your ‘printer’s minimum margin setting.’” A border or text close to the edge may therefore disappear even when the Word margins look correct. Check the printer’s specifications and increase the document margin if necessary.

Do not infer Word’s menu options from another application’s print dialog. Microsoft’s paper-size and scaling examples in its Edge print guidance describe printing behavior, not proof of the current Word ribbon or its preset list.

What should I check after changing the size?

  • Pagination: Scan every page for orphaned headings, blank pages, and unexpected manual breaks.
  • Tables: Check for columns that run beyond the new text area. Use table autofit or adjust column widths deliberately.
  • Images and shapes: Confirm that objects remain anchored to the intended paragraph and do not cover text.
  • Headers and footers: Inspect page numbers, logos, and distances from the edge after changing margins or orientation.
  • Sections: Click in several sections to verify that each has the intended size, orientation, and margins.
  • Readability: Extremely narrow margins or tiny scaling can make a document difficult to read even if all content fits.
  • Print preview: Check the actual output path before sending the file to a printer or exporting a PDF.

Which setting should I use for common “make it bigger or smaller” requests?

Request Correct action Why
“Make the page physically larger.” Choose a larger paper preset under Layout > Size, or use a custom size if your current desktop build supports it. Changes the page rectangle and reflows content.
“Fit more text on each page.” Reduce margins under Layout > Margins, or revise paragraph spacing and font settings. Preserves paper dimensions while increasing writable area.
“Make this spreadsheet table fit across the page.” Try Landscape, narrower margins, or a smaller table; changing paper size may also help. Width is the limiting dimension, not necessarily the paper height.
“Make the photo smaller.” Select the photo and edit its dimensions under Picture Format. Only the selected object needs resizing.
“Print this at the same physical dimensions.” Match Word’s page size, printer paper, tray, and print scaling. Print settings can override or scale the document layout.

What is the safest workflow for a document that will be printed?

Decide the final paper before doing detailed formatting. Set the page size, choose portrait or landscape, and establish margins first; then format headings, tables, images, and page breaks. This order reduces rework because later page-size changes can move almost every object.

  1. Confirm the recipient’s required paper standard and whether the output is digital, printed, or both.
  2. Set the paper preset in Layout > Size.
  3. Set Orientation and Margins for the intended section or document.
  4. Format content and check headers, footers, tables, and images.
  5. Save a copy before experimenting with a custom size or mixed sections.
  6. Use File > Print preview and match the printer’s paper and scaling choices.
  7. Print one page or a small proof only when the output is important, then inspect edge clearance and pagination before producing the full run.

If the final file is a PDF, inspect the PDF’s page dimensions in a viewer as well. Exporting preserves the document’s page geometry, but a later print dialog can still scale the PDF.

What are the most common mistakes?

  • Changing margins when the requirement is A4 or Legal: Margins alter the writable area, not the paper standard.
  • Changing paper size to fit one oversized image: Resize or crop the image first; otherwise every page may reflow.
  • Applying landscape to the whole file accidentally: Use a section break and a limited application scope for a single wide page.
  • Assuming the browser has desktop controls: Switch to installed Word when page setup is unavailable or contradictory.
  • Ignoring printer minimum margins: Near-edge borders may not print even when they are visible on screen.
  • Trusting a preset without checking physical paper: A correct electronic setting cannot turn Letter stock into A4 stock.
  • Not reviewing sections: Section-specific settings can make apparently identical pages behave differently.

Quick decision checklist

  • Need different paper dimensions? Layout > Size.
  • Need more or less writing space on the same sheet? Layout > Margins.
  • Need a sideways page? Layout > Orientation > Landscape.
  • Need only a picture or text box changed? Use its contextual Format tab.
  • Need a custom page? Try More Paper Sizes in desktop Word, while allowing for version differences and Microsoft’s older-version caveat.
  • Need the printout to match? Match Word’s page size, the printer’s paper, tray, and scaling, then inspect preview.

Frequently Asked Questions

Will changing page size alter my existing page breaks?

Usually, yes. Word recalculates line wrapping and pagination, so manually inserted breaks, headings near page bottoms, tables, and footnotes may move. Review the document after changing the size and remove breaks that no longer serve a purpose.

Can one Word file contain both portrait and landscape pages?

Yes. Put the pages in separate sections and apply orientation to the selected section or point forward. Section breaks also let different parts of a document use different paper sizes and margins.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why is A4 missing from my Size menu?

The available presets can depend on the Word build, operating system, regional settings, and installed printer drivers. Open the desktop app, check that the ribbon is showing the full Layout controls, and use Word’s in-app Help for paper-size settings if the preset is still absent.

Does changing Word’s page size change the size of an exported PDF?

The PDF normally retains the document’s page geometry at export, but a PDF viewer or printer can later scale it. Check the PDF’s page properties and choose an unscaled or correctly matched paper option when printing.
