There is no single best GST billing and accounting app for every Indian small business. Choose according to your workflow: cloud accounting and multi-GSTIN operations point toward Zoho Books; inventory-heavy wholesale or retail businesses should examine BUSY editions; established desktop or offline-led practices may prefer TallyPrime; and very small shops or mobile-first operators may need a simpler billing app such as Vyapar or myBillBook. These are shortlist directions, not hands-on test results.
Before buying, define whether you need only GST invoices or complete books, how deeply you manage stock, whether staff work from multiple locations, and which GST workflows your business actually performs. The guide below separates those decisions, explains published prices and limitations, and gives a practical selection and implementation checklist.

Start with the business process rather than a feature count. “GST billing software” can mean a tool that prints a tax invoice, while another product also maintains ledgers, reconciles bank transactions, tracks stock across godowns, prepares return data and supports e-invoicing. Those are very different jobs.
Identify your sales workflow
- Retail shop: fast counter billing, barcode scanning, receipt or invoice printing, stock deductions and purchase entry usually matter most.
- Wholesale or distribution: customer credit, price lists, batch or expiry controls, multiple warehouses, purchase workflows and outstanding reports become more important.
- Service business or freelancer: recurring invoices, time or project descriptions, expense capture, payment reminders and accountant access may matter more than warehouse controls.
- Growing small or medium enterprise: role-based users, approvals, audit history, branch or GSTIN separation, backups and reliable reporting are often worth paying for.
Separate the five capability layers
- Invoice creation: GSTINs, HSN or SAC codes, tax rates, place of supply, serial numbering, discounts and payment terms.
- Accounting: ledgers, receivables and payables, journals, profit-and-loss, balance sheet, cash flow and bank reconciliation.
- Inventory: item units, opening stock, reorder levels, batches, serial numbers, expiry dates, purchase orders and multiple locations.
- GST operations: return data export, reconciliation, e-invoice or e-way-bill workflows where applicable, and support for multiple registrations.
- Operations and controls: cloud or offline access, user permissions, backups, migration, integrations, support and renewal terms.
A product can be excellent at the first layer and unsuitable for the others. Confirm each required workflow in the exact edition and plan rather than assuming that a product-level feature list applies everywhere.

Which GST software fits each type of small business?
The following shortlist reflects documented capabilities and category positioning. It is not a ranking from personal testing.
| Product or category | Best initial fit | Documented or commonly cited strengths | Questions to verify |
|---|---|---|---|
| Zoho Books | Cloud-first firms needing accounting plus GST processes | GST return workflows, GSTIN and tax assignment, HSN/SAC, place-of-supply tax calculation, e-way bills, e-invoicing, inventory and multiple GSTIN support are described on its India product information. | Free-plan eligibility, feature limits by plan, number of users and GSTINs, migration, support and current pricing. |
| BUSY | Retail, wholesale and distribution businesses that need accounting and deeper inventory | Its official plan information describes GST e-returns in JSON, direct GSTR-1/IFF upload, automatic e-invoice and e-way-bill generation, return download and reconciliation, POS and batch-wise inventory. | Which edition includes each function, licence term, taxes, simultaneous users, branch or warehouse limits and renewal cost. |
| TallyPrime | Practices that value an established accounting workflow or desktop/offline operation | An independent August 12, 2026 comparison places it in the established-accounting/offline-oriented category. | Current licence and subscription terms, GST integrations, remote access, backup method and the exact functions required by your accountant. |
| Vyapar or myBillBook | Very small shops and mobile-first operators needing straightforward billing | The same comparison places them in the mobile-first billing category. | Depth of ledgers, reconciliation, inventory variants, multi-user controls, export formats and GST return workflow. |
| Invoicing-first tools | Some freelancers and service providers | An invoicing-focused product can be simpler than a full accounting suite when the accountant maintains books elsewhere. | Whether you can export clean data, track expenses and receivables, and hand off records without duplicate entry. |
The independent comparison used here describes categories rather than a controlled product test. Treat its placement as a way to build a shortlist, then validate current vendor documentation and your own sample transactions.
Crashes, No Sound, or Screen Glitches?

Zoho Books is a sensible shortlist candidate when you want browser-based accounting with documented Indian GST workflows. Its India product information says the service can assign GST details to contacts, classify HSN or SAC codes, calculate invoice tax using place of supply, create e-way bills, support e-invoicing, manage inventory and work with multiple GSTINs.
Published plan information
Zoho states that businesses with revenue below ₹25 lakh per annum are eligible for a free plan. That is a vendor eligibility condition, not a GST-registration threshold or a general tax rule. The same India pricing information lists Standard at ₹749 per month when billed annually or ₹899 per month when billed monthly.
Prices, taxes, user counts and included functions can change. Check the live plan page before subscribing, and confirm whether the free plan covers your number of invoices, users, organisations and GST registrations. If your accountant needs advanced reports or reconciliation, test those screens rather than judging from the invoice editor.
Who should shortlist it?
- A service firm that wants owner and accountant access from different locations.
- A business operating more than one GST registration and needing them separated in one system.
- An operator who wants inventory and GST documents without maintaining a local desktop database.
Cloud access also makes internet availability, user security, export procedures and vendor support part of the buying decision. Ask how data is recovered if a user deletes an item or an internet connection is unavailable during billing.
When does BUSY make more sense?
BUSY deserves a closer look for businesses where billing, accounting and stock are inseparable. Its official plan information describes GST e-returns in JSON, direct GSTR-1/IFF upload, automatic e-invoice and e-way-bill generation, return download and reconciliation, point-of-sale functions and batch-wise inventory. The product is sold in separate plans and editions, so those capabilities should not be assumed to exist in the entry-level version.
Rank #2
- You can now print to blank check stock. Customization of the check layout is "not" possible at this time. Check the Help file for additional details.
- Electronic form filing for W-2, 1099-NEC and 1099-MISC is available through a third party service (there is a nominal fee for this service).
- Tax forms for 2022
- Includes tax tables for 2023
- Support for new 1099-NEC form
Published price and edition checks
The BUSY pricing page lists Standard at ₹16,500. The listing does not, by itself, establish whether that amount is a perpetual licence, a particular subscription term, inclusive of taxes, or inclusive of support. Confirm the licence model, applicable taxes, renewal amount, number of users and branch or warehouse limits before comparing it with monthly cloud prices.
Questions for a stock-led business
- Can the selected edition handle your batch, expiry, serial-number and unit-conversion requirements?
- Does reconciliation download data directly, or does it only produce a file for another process?
- Are POS, barcode devices and printers supported on the operating system used at the counter?
- How are backups stored, scheduled and restored after a hardware failure?
BUSY can be a strong fit when your team already understands desktop accounting, but a detailed demonstration using your purchase, sales-return and credit-note scenarios is more useful than a generic feature checklist.
Should an offline-oriented business choose TallyPrime?
TallyPrime belongs on the comparison list for firms that prioritise an established accounting workflow or want desktop-led operation. An independent August 12, 2026 comparison places it in that category, while placing BUSY and Marg ERP in inventory-intensive trade and Vyapar or myBillBook in mobile-first billing.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
That category description does not establish current pricing or every GST capability. Confirm the present licence or subscription model, GST return and e-invoice workflow, remote access, backup process and multi-user permissions with the vendor and your accountant. An offline preference is not the same as “no backup needed”: schedule copies to a separate drive or managed storage and periodically test a restoration.
Are Vyapar, myBillBook or similar mobile apps enough?
Mobile-first billing apps can be appropriate when the immediate job is creating invoices, recording payments and maintaining a modest item list from a phone. They may reduce setup time for a proprietor who does not need a full general ledger.
Before relying on one for statutory records, check whether it supports your HSN/SAC and tax rules, credit and debit notes, purchase entry, stock adjustments, customer balances, export to your accountant’s system and a usable audit trail. Ask specifically whether “GST support” means a compliant invoice layout, a return-ready export, or direct filing; those are different outcomes. A growing business may outgrow a mobile biller once it needs bank reconciliation, multiple users or warehouse controls.
What GST functions should the software actually provide?
Do not treat a GST badge as proof that every compliance obligation is covered. Software capability and legal applicability are separate questions, and current thresholds, exemptions and filing obligations should be checked against official GST guidance or a qualified tax professional.

Invoice data that must be accurate
- Supplier and customer legal names, addresses and GSTINs where applicable.
- Invoice number and date, with a sequence that is controlled and explainable.
- Item description, unit, quantity, price, discount, HSN or SAC and tax rate.
- Place of supply and the correct split between central and state tax or integrated tax for the transaction.
- Reverse-charge indication or other special treatment when it applies to the transaction.
- Payment terms, bank details and a clear record of cancellations, credit notes and revisions.
Return preparation versus filing
A system may calculate tax and export a JSON file without filing a return itself. Another may connect to a government or intermediary service for upload, while reconciliation may still require a person to review mismatches. Ask the vendor to demonstrate the complete path from invoice to return data, including an edited invoice, a purchase mismatch and a credit note.
E-invoicing and e-way bills
These workflows are relevant only when your business falls within the applicable rules. Confirm whether the selected plan creates the document directly, sends data through an integration, or merely stores fields for manual entry. Keep the generated document, acknowledgement details and cancellation history according to your accountant’s retention process.
How much should a small business budget?
Published figures are not directly comparable because one may be a recurring subscription and another may represent a licence listing whose term and taxes require confirmation.
| Product | Published amount | Qualification |
|---|---|---|
| Zoho Books Free | No charge listed | Zoho says businesses below ₹25 lakh annual revenue are eligible; this is a vendor condition, not a statutory GST threshold. Confirm limits and eligibility before relying on it. |
| Zoho Books Standard | ₹749 per month billed annually; ₹899 per month billed monthly | India pricing information accessed in 2026. Recheck taxes, included users, GSTINs, features and current price. |
| BUSY Standard | ₹16,500 | BUSY’s plan listing; confirm whether it is perpetual or subscription pricing, the licence term, taxes, support and renewal conditions. |
| TallyPrime | Not stated here | A ₹22,500 figure appeared in a secondary October 2026 comparison but was not verified against the official price list, so it should not be used for budgeting. |
Add costs that are easy to overlook: data migration, barcode or receipt hardware, implementation time, additional users, extra GST registrations, support contracts, backups, payment-gateway charges and renewal increases. A low first-year price can be poor value if staff must re-enter purchases or an accountant cannot obtain clean exports.

How do cloud, desktop and mobile deployments differ?
Choose the operating model that matches where work happens and how you recover from failure.
| Deployment | Advantages | Trade-offs to plan for |
|---|---|---|
| Cloud | Access from several locations, central updates and easier accountant collaboration. | Internet dependence, recurring fees, account security and the need to understand export and retention policies. |
| Desktop or offline-led | Continues during connectivity outages and suits practices comfortable with local accounting data. | Manual backups, device failure risk, remote access setup and version or licence management. |
| Mobile-first | Fast setup and convenient counter or field invoicing. | Potentially shallower ledgers, limited controls and a harder transition when inventory or reporting grows. |
For any model, assign one person to backups, user access and month-end review. A product is not “secure by default” if everyone shares one password or if no one can restore last month’s data.
How can you choose the right product in one week?
- Write a transaction map. List sales channels, purchase types, returns, credit sales, payment methods, locations, GST registrations and the reports your accountant requests.
- Set non-negotiables. Examples include offline billing, two warehouses, batch expiry, three users, multiple GSTINs, e-invoice integration or a specific export format.
- Build a shortlist by workflow. Start with Zoho Books for cloud accounting, BUSY for inventory-led accounting, TallyPrime for established desktop practice, and a mobile biller for genuinely simple operations.
- Prepare test data. Use one local sale, an interstate sale, a purchase, a sales return, a credit note, a partial payment, a stock adjustment and a month-end bank statement.
- Run the same tests in each product. Record clicks, errors, report output, export quality and whether a second user can perform the task without administrator access.
- Verify the exact plan. Obtain written confirmation of users, GSTINs, branches, inventory features, filing or export functions, support, migration and renewal terms.
- Check hand-off. Ask your accountant to inspect a sample invoice, ledger, tax summary and export before you import all historical data.
- Decide on recovery. Document backups, restore testing, password ownership, staff training and what happens if the service or device is unavailable.
What are the most common implementation mistakes?
Confusing invoice printing with accounting
A beautifully formatted tax invoice does not prove that receivables, expenses, stock valuation or bank balances are correct. Decide who maintains the books and verify that the software produces the reports that person needs.

Choosing a plan before counting users and registrations
Owners often discover that the entry plan limits users, organisations, branches or GSTINs. Count every person who enters, approves, reviews or exports data, including an external accountant.
Importing inaccurate masters
Duplicate customers, incorrect GSTINs, inconsistent item units and wrong opening balances create errors that are harder to find than a clean setup. Clean customer, supplier and item spreadsheets before migration, then reconcile opening balances to your existing books.
Skipping a return-reconciliation rehearsal
Test mismatched invoices, amended documents and credit notes before the first filing cycle. Confirm who reviews exceptions and who authorises corrections.
Ignoring hardware compatibility
Retailers should verify operating-system support, connection type, printer width, drivers, barcode scanner behaviour and the software’s supported print formats. A generic thermal printer is not guaranteed to work with every billing application.
Failing to document access and backups
Keep administrator credentials under business control, give staff only the permissions they need, and maintain a backup or export that can be opened independently of one employee’s phone or laptop. Test restoration on a schedule rather than waiting for a failure.

Bring the accountant into the decision before migration if you have multiple registrations, inter-state sales, reverse-charge transactions, complex input-tax-credit questions, inventory valuation issues or a history of manual books. The accountant can confirm which reports and exports are acceptable for your filing process, while a tax professional can address obligations that software marketing cannot establish.
Even a sole proprietor benefits from a short review of invoice numbering, tax mapping, opening balances and return exports. The goal is not to outsource every entry; it is to prevent a configuration mistake from propagating through months of transactions.

What is the practical recommendation?
For a cloud-first small business that needs accounting, inventory and documented GST workflows, begin with Zoho Books and verify the plan limits. For a stock-heavy retailer or distributor, compare the relevant BUSY edition with your warehouse, batch and POS requirements. For an established practice that prefers desktop or offline-led work, include TallyPrime and test backup and remote-access needs. For very simple mobile billing, evaluate Vyapar or myBillBook, but confirm that your accountant can obtain the records and reports required later.
Make the final decision only after running your own transactions through the exact plan. Current features, prices, taxes and statutory requirements change, so vendor confirmation and professional tax advice remain necessary before deployment.
Frequently Asked Questions
Can I use GST billing software without filing returns through it?
Yes. Many businesses create invoices in one application and give an export or reconciled file to an accountant who files elsewhere. Confirm that the export contains the fields and document status your filing process requires, and retain a clear audit trail of edits and cancellations.
How many GST software users does a small shop really need?
Count everyone who creates bills, records purchases, approves adjustments, checks reports or exports data. A proprietor, cashier and external accountant may already require separate permissions, even if only one person works at the counter at a time.
What should I do if my internet fails during billing?
Decide in advance whether you will use an offline-capable desktop mode, a documented manual invoice process, or a temporary alternate device. Re-entering transactions later requires controlled numbering and a reconciliation check so duplicate invoices are not created.
How do I migrate from spreadsheets or another billing app?
Export and clean customers, suppliers, items, tax mappings, opening balances and outstanding invoices before import. Run a parallel period or sample reconciliation, then have the accountant sign off on opening balances and reports before switching completely.
Does a GST software subscription replace professional tax advice?
No. Software can calculate fields or prepare data, but it cannot decide whether a transaction qualifies for a particular treatment or whether a legal obligation applies to your business. Use current GST authority guidance and a qualified professional for those decisions.
