For most web agencies, the best starting point is a white-label reseller platform that gives you one control plane for many client domains, automated DNS authentication, client-scoped access and a predictable mailbox cost. Atriomail has the clearest low-cost per-mailbox offer; TrekMail is built around a branded multi-client console; Greatmail emphasizes private-label infrastructure and APIs. When a client needs retention, eDiscovery or S/MIME, Zoho Mail Enterprise is usually the stronger fit, even if it is less reseller-centric.

The right choice depends on who owns the customer relationship, how much provisioning you want to automate, whether each client must be isolated, and which security or legal controls are mandatory. The comparison below treats those as separate decisions instead of assuming the lowest mailbox price is the best agency option.

What should a web agency expect from an email host?

An agency-grade host must do more than create an inbox. It should let your team onboard domains, apply MX/SPF/DKIM/DMARC records, create and suspend mailboxes, separate client administrators, support migrations and expose enough automation to fit your billing and support workflow. Branding matters because the login page, webmail and password-reset experience often become part of the service your client believes you operate.

Evaluate every candidate against six questions:

  • Who owns the brand? Can clients see your logo and domain on sign-in, webmail, invitations and help surfaces, or are they sent to the provider?
  • How are clients isolated? Look for client-scoped roles, separate administrators and billing visibility that prevents one customer from seeing another customer’s data.
  • What is automated? Domain onboarding, DNS records, mailbox creation, migration tools, audit logs and suspension workflows determine support effort.
  • How is it priced? Compare per-mailbox charges with platform fees, minimum commitments and pooled-storage models.
  • Can it integrate? REST APIs, MCP or CLI access and WHMCS, Blesta or n8n connectors can turn a manual order into a repeatable workflow.
  • What risks are covered? Spam and virus filtering, encryption, retention, eDiscovery, legal hold and clear support ownership may matter more than a small price difference.

Which email-hosting models can an agency use?

There are three practical models. Reselling a branded platform gives the agency the most control over the relationship. Central administration keeps multiple clients in one console but may offer less complete reseller economics. Referring clients to a mainstream suite such as Google Workspace or Microsoft 365 minimizes your operational responsibility, but the provider’s brand, billing and support relationship remain prominent.

Model Agency control Operational burden Best use
White-label reseller Highest: branded login, webmail and invitations can be yours Moderate; you own more onboarding and first-line support Agencies packaging email as a recurring service
Centralized agency console High administration, variable branding and partner controls Moderate; one console reduces repetitive tasks Agencies managing many domains without building a full reseller stack
Client-direct referral Low; vendor owns account and customer experience Lowest; you advise rather than operate mail Projects where email is incidental or compliance requirements are already standardized

What are the strongest agency-focused providers?

The following options serve different agency priorities. Published prices and feature scopes are the providers’ 2026 statements and should be rechecked before signing a client or partner agreement.

Provider Published economics Branding and isolation Automation and controls Best fit
Atriomail $1.39 per mailbox per month, including 15 GB; white-label included at 50 or more paid mailboxes, otherwise $50 per month White-label platform for resellers and agencies; confirm exact client-role behavior Automatic DNS on listed providers and panels, SPF/DKIM/DMARC automation, REST API, WHMCS, Blesta and n8n integrations Agencies seeking a transparent per-mailbox model and provisioning automation
TrekMail $39 per month for white-label; $35.10 with any paid mail plan Client logins show only that client’s mail; dashboard, sign-in, webmail and invitations carry agency branding API and MCP access Agencies that value a branded, client-separated console over a published mailbox rate
Greatmail Usage-based storage is documented; a comparable public mailbox price is not stated Private-label webmail, multiple domains and sub-accounts POP3/IMAP/SMTP, spam and virus protection, APIs and administrator support ISPs, telecom providers and developers wanting private-label infrastructure
Zoho Mail Enterprise Current enterprise pricing is not stated in the supplied provider material; verify plan and region White labeling with an agency-selected logo and login URL S/MIME, large attachments, retention, eDiscovery, resource booking and audit logs Regulated or security-sensitive clients for whom compliance controls outrank reseller margin
Mektup Partner pricing is not stated One account with client-scoped logins and centralized management API, MCP and CLI provisioning; DNS guidance for MX, SPF, DKIM and DMARC Teams wanting a single operational console
Patra Partner plans start at 75 GB; prices are available on request Client branding and one pooled storage model Central console; detailed automation scope should be confirmed Agencies that prefer pooled capacity and negotiated partner terms

Is Atriomail the best low-cost reseller option?

Atriomail is the clearest choice when your spreadsheet starts with mailbox count. Its published 2026 price is $1.39 per mailbox per month with 15 GB included, plus unlimited domains, aliases and forwarders. The offer also lists IMAP, POP3 and SMTP, automatic DNS across supported providers and panels, and automated SPF, DKIM and DMARC setup.

The practical advantage is the integration surface: a REST API plus WHMCS, Blesta and n8n connectors can connect sales orders, billing and provisioning. That can remove repetitive mailbox creation from a designer or account manager’s workload. Verify which DNS providers and control panels are covered before promising one-click onboarding to every client.

White-label branding is included for accounts with at least 50 paid mailboxes. Below that threshold, the published white-label charge is $50 per month. A small agency should therefore calculate the platform fee against its actual active mailbox count rather than multiplying $1.39 by an assumed total. Also confirm whether aliases and forwarders are included in the same operational limits as paid mailboxes.

When does TrekMail make more sense than a per-mailbox platform?

TrekMail is designed around client separation and agency presentation. Its documentation says each client can receive a login that sees only that client’s mail while the agency manages every domain from one place. The dashboard, sign-in page, webmail and invitations carry the agency’s brand.

The published white-label fee is $39 per month, discounted to $35.10 per month when combined with any paid mail plan. Because the public figure is a platform fee rather than a directly comparable mailbox rate, model it against your expected client count, mailbox volume and support hours. API and MCP access may help agencies connect provisioning to an internal portal, but confirm rate limits, available objects and audit events during technical review.

TrekMail is attractive when a branded, client-scoped experience is the product you sell. It is less suitable to judge solely on raw mailbox cost because the published material does not provide the same per-mailbox figure as Atriomail.

What does Greatmail provide for private-label infrastructure?

Greatmail explicitly targets ISPs, telecom providers, web developers and other organizations that need private-label email hosting. Its reseller service includes private-label webmail, multiple domains, web administration, APIs and sub-accounts. The feature documentation lists POP3, IMAP and SMTP, spam and virus protection, usage-based storage and administrator support.

This model can fit an agency that wants infrastructure beneath its own service rather than a tightly packaged mailbox storefront. Usage-based storage may align better with uneven client consumption, but it also makes forecasting less straightforward than a fixed per-mailbox rate. The available provider material does not state a directly comparable public mailbox price, so request a written quote that includes storage, sub-accounts, support, migration and API usage.

When should an agency choose Zoho Mail Enterprise?

Zoho Mail Enterprise deserves consideration when a client’s requirements are driven by governance rather than reseller branding. The enterprise page lists S/MIME, large attachments, email retention, eDiscovery, resource booking, audit logs and white labeling with a logo and login URL selected by the agency.

Those controls can support legal discovery and regulated workflows that a low-cost reseller plan may not provide. They do not, by themselves, establish legal compliance for a particular country or industry; your client still needs a documented retention policy, access controls and an appropriate contract. Confirm the exact enterprise or premium tier, regional availability and current price before presenting it as part of a fixed project quote.

Are centralized consoles such as Mektup or Patra useful?

Centralized consoles reduce the number of separate admin accounts your team must maintain. Mektup documents one account for every client, client-scoped logins, centralized domain and mailbox management, API/MCP/CLI provisioning and instructions for MX, SPF, DKIM and DMARC records.

Patra describes one storage pool, one console, client branding and partner plans beginning at 75 GB, with pricing available on request. A pooled model can be efficient when one client uses little space and another uses more, but write an internal allocation policy so a single mailbox cannot consume capacity intended for other customers. Published partner economics for both services are less complete than Atriomail’s, so treat them as shortlist candidates for a pricing conversation rather than as directly comparable retail plans.

How do I compare reseller pricing fairly?

Normalize every quote to the same unit: active mailboxes, storage consumed, domains, support time and platform fees over a 12-month period. A mailbox-only calculation hides white-label charges, minimums, migration work and the cost of your own support desk.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Count active mailboxes. Separate paid users from aliases, forwarders, shared addresses and dormant accounts.
  2. Add fixed platform fees. For example, include TrekMail’s $39 monthly white-label fee, or $35.10 with a paid mail plan, in every month of the forecast.
  3. Apply thresholds. Atriomail’s 50-mailbox threshold changes whether white-label branding is included or incurs the $50 monthly charge.
  4. Price storage and growth. Include the 15 GB per Atriomail mailbox or a pooled allowance such as Patra’s stated 75 GB starting size, and model growth rather than today’s snapshot.
  5. Include labor. Estimate domain verification, migration, password resets, compromised-account response and offboarding for each client.
  6. Test margin under churn. Recalculate if a large client leaves; fixed platform fees can make a small remaining portfolio unprofitable.

Do not advertise commission percentages or partner payouts unless the provider gives you current written terms. The available provider pages establish product features and some prices, not affiliate economics.

How should an agency onboard multiple client domains?

Use a repeatable runbook and keep DNS ownership explicit. The following sequence works whether you operate a reseller platform or a centralized console.

  1. Inventory the client. Record domains, current host, mailbox and alias counts, storage use, shared addresses, forwarding rules, mobile clients, compliance requirements and the person authorized to change DNS.
  2. Choose the account boundary. Create a separate client tenant or sub-account when the platform supports it. Give the client only the roles needed for password, user and domain administration; keep billing and global provisioning with your agency.
  3. Prepare DNS records. Obtain the host’s exact MX, SPF, DKIM and DMARC values. Lower the existing DNS TTL before migration if possible, and document the previous records so you can roll back.
  4. Verify the domain. Complete the provider’s ownership check before changing MX. Publish a DKIM selector unique to the new service, and ensure SPF has one valid record rather than multiple competing TXT records.
  5. Provision users and aliases. Create mailboxes, groups, catch-all rules and forwarders from the approved inventory. Use the API, WHMCS, Blesta, n8n, MCP or CLI integration where available, then export an audit record.
  6. Migrate historical mail. Use IMAP migration or the provider’s documented tool. Pilot with a small mailbox, compare folders and message counts, and keep the old service accessible until the cutover is verified.
  7. Cut over MX. Change MX records during an agreed window, then send and receive test messages from several external providers. Check DKIM signing, SPF alignment and DMARC reports rather than relying only on a successful test message.
  8. Secure the account. Enforce strong passwords and multifactor authentication where supported, restrict administrator roles and document recovery contacts. For clients requiring S/MIME, issue and manage certificates as a separate project.
  9. Monitor and close. Watch bounces, spam complaints, storage and authentication reports for at least several days. Only then cancel the legacy service, and retain an export according to the client’s retention policy.

What DNS and deliverability mistakes cause the most support tickets?

  • Two SPF records. SPF must be published as one TXT policy. Merge authorized senders and stay within the DNS lookup limit.
  • DKIM selector mismatch. A copied selector or wrong host name causes unsigned or unverifiable mail. Test the exact selector the provider tells you to publish.
  • DMARC set too aggressively. Start with monitoring when the client has unknown senders, then tighten policy after reviewing reports.
  • Forgotten forwarding. Forwarders can create loops and break SPF alignment. List every forwarder during inventory and test it after MX cutover.
  • Mixed old and new MX records. Leaving legacy MX values active can split delivery unpredictably. Remove obsolete records once propagation and rollback timing are understood.
  • Unplanned storage growth. Large attachments and archive mail can exhaust a quota. Set alerts and define who approves upgrades.
  • Shared credentials. A single administrator login makes offboarding and incident investigation difficult. Use individual accounts with scoped roles and retain audit logs.

How should agencies handle migrations, support and offboarding?

Put ownership in the service agreement. Specify whether the agency or the client controls the domain registrar, DNS account, mailbox data, encryption keys, retention settings and final export. State response targets for outages, compromised accounts and abuse complaints, and define what is out of scope.

For migration, schedule a pilot, a freeze window for mailbox changes and a final delta copy. Keep the old provider active long enough to catch delayed mail, but set a dated deletion and export procedure so inactive accounts do not continue billing indefinitely.

At offboarding, remove agency administrators, transfer the client’s tenant or domain control where the platform permits it, export mail and audit data required by contract, rotate credentials and confirm that forwarding and catch-all rules are removed. Document the final DNS state for the client’s records.

Which option is best for a typical web agency?

Choose Atriomail when transparent per-mailbox pricing, 15 GB included storage and broad provisioning integrations are the priority, especially once you can reach its 50-mailbox white-label threshold. Choose TrekMail when a branded login and strict client-scoped visibility are central to your service and a monthly platform fee fits your portfolio. Choose Greatmail when you need private-label infrastructure, sub-accounts and APIs with usage-based storage. Choose Zoho Mail Enterprise when retention, eDiscovery, auditability or S/MIME justify an enterprise suite. Evaluate Mektup or Patra when a centralized console or pooled storage is more useful than a published retail rate.

Before committing, run a pilot with one internal domain and one real client domain. Measure provisioning time, DNS error recovery, migration completeness, role isolation, support response and the exact monthly bill. That evidence will tell you more about agency fit than a headline mailbox price.

Frequently Asked Questions

Can I keep a client’s existing domain registrar when changing email hosts?

Yes. Email hosting and domain registration are separate services, so the client can leave the domain at its current registrar and change only the DNS records. Make sure the registrar account owner approves the MX, SPF, DKIM and DMARC changes and that your agency has a documented recovery path if access is lost.

Should every client have a separate email tenant?

Separate tenants provide the clearest billing, permissions and offboarding boundary, but they can increase administration. A sub-account or client-scoped role inside one agency console can be adequate when the provider logs access and prevents cross-client visibility; confirm that behavior with a test account.

What should a migration acceptance test include?

Test inbound and outbound mail, attachments, folder structure, aliases, forwarding, mobile access, password recovery and authentication headers. Compare a sample of old and new message counts and verify that DKIM passes and DMARC reports show the expected sending sources.

Do white-label features transfer legal responsibility for email?

No. Branding changes the customer experience, not the underlying obligations. Contracts should identify the infrastructure provider, data controller or processor roles, retention instructions, abuse handling and who responds to legal requests.
