The best replacement is not the most popular chatbot. It is the service that performs your app’s main job, accepts the data you can actually export, fits your privacy requirements, and remains affordable at your real usage level. Before comparing replacements, read the shutdown or price-change notice, export everything you may need, verify the files, and keep a second copy.
Start with your data, not a replacement app
A shutdown creates a deadline; a price increase creates a decision. In both cases, protect information and workflows before testing alternatives. A replacement cannot recover data that the original provider has already deleted, and a similar interface does not guarantee that conversations, browser state, projects, prompts, or integrations will move with you.

- Read the provider’s notice carefully. Record the final date, export deadline, data covered by the export, deletion policy, refund rules, and whether subscriptions cancel automatically. Save a local copy of the notice as a PDF or web archive because support pages can change.
- Export early. Use the account, workspace, project, or data-export control rather than waiting for the final day. If the provider offers several formats, take the most complete machine-readable format and a human-readable copy when available.
- Open and inspect the export. Confirm that files download completely, conversation counts look plausible, attachments are present, timestamps are readable, and links do not point only to an expiring cloud location.
- Keep two independent copies. Store one copy locally and another on a separate drive or storage account. A portable external SSD can serve as the second copy, but it does not perform the export or migration for you.
- Document what cannot be exported. Note missing browser tabs, automations, API keys, vector indexes, integrations, permissions, or metadata. Capture screenshots or written settings for anything the export omits.
- Handle billing separately. Check the cancellation date, remaining prepaid period, and refund process. Do not assume a shutdown automatically stops a third-party billing arrangement unless the notice says so.
For example, the Sora discontinuation notice says associated data will be permanently deleted after the final export window. That makes an early, verified export more important than choosing a successor on the first day.
There is no universal “best” AI alternative
AI applications that look similar can solve entirely different problems. Match the departing app’s primary job before comparing model quality or interface polish.

| Primary job | What a suitable replacement must provide | Migration questions |
|---|---|---|
| General chat and writing | Conversation organization, file uploads, usable context limits, export access, and controls for retention and deletion | Can it preserve reference files, custom instructions, and important prompts, or will you rebuild them manually? |
| Research and retrieval | Reliable web access, source links, citation controls, saved projects, and a way to export notes | Are saved sources portable, and can you retain the underlying documents instead of only generated summaries? |
| Coding | Repository access, editor or terminal integration, predictable model limits, and secure handling of private code | Will permissions, environment variables, issue context, and prompt history transfer? |
| Image or video creation | Downloadable originals, metadata or prompt history, commercial-use terms, and predictable generation limits | Can you retrieve source assets and project settings, or only rendered output? |
| Browser actions | Controlled navigation, confirmation before consequential actions, bookmark and tab portability, and clear activity logs | Can bookmarks, open tabs, cookies, saved sessions, and site permissions be moved safely? |
| Meeting capture | Recording and transcript export, speaker labels, search, retention controls, and calendar integration | Are audio files, transcripts, summaries, and sharing permissions all included? |
| Workflow automation | Trigger and action coverage, retries, logs, secrets management, and an exportable workflow definition | Can you recreate integrations without re-entering every credential and mapping? |
A general assistant may replace the conversation portion of a specialist product while leaving its stored history, browser state, automation, or media projects behind. Treat those as separate migration projects.
How to compare candidate replacements
Use the same checklist for a shutdown and a price increase. Score each candidate against your actual workload rather than its free tier or headline model name.
1. Core-job fit
Write one sentence describing the work you need done, such as “summarize customer calls into searchable notes” or “generate short videos from a script while retaining source clips.” Reject a candidate that cannot perform that sentence without a chain of unrelated manual steps. Test your three most common tasks and one difficult edge case before committing.
2. Data portability
Ask exactly what can be exported, in which format, and whether the export includes attachments, metadata, permissions, prompts, indexes, and deletion records. An export that produces readable text but omits files or timestamps may be useful for reference but insufficient for operational continuity. Look for an import function in the new service; if none exists, plan a manual rebuild and retain the original files locally.
3. Privacy and control
Compare whether processing occurs in the cloud, how long inputs and outputs are retained, whether account deletion is complete, and whether business or personal data can be excluded from model training. Self-hosting can increase control, but you become responsible for updates, backups, authentication, monitoring, hardware, and security patches. A hosted service reduces maintenance while leaving you dependent on its policy and availability.

4. Total ongoing cost
Calculate the plan you would actually need, not the advertised entry tier. Include user seats, usage caps, overage or API charges, add-ons, storage, taxes, hosting, and hardware. A free plan may impose limits that make it more expensive in staff time than a paid plan. Recalculate after a trial using a representative month of usage.

What recent shutdown notices teach about migration
Sora: export created content before deletion
OpenAI says the Sora web and app experiences were discontinued on April 26, 2026, and the API on September 24, 2026. Its official notice explains how to export created content and warns that associated data will be permanently deleted after the final export window. If your work depends on generated media, download original files and preserve prompts, settings, and project context separately; a new generator will not recreate the exact history automatically.
Atlas: browser state is different from chat history
The Atlas transition notice scheduled the browser to stop working on August 9, 2026. It says bookmarks and open tabs may not transfer automatically, provides instructions for exporting bookmarks to HTML and importing them into Chrome, and distinguishes Atlas browser data from ChatGPT conversation history. That separation is a warning to inventory every data type: a chat export does not imply that tabs, bookmarks, cookies, extensions, or permissions are included.
Vellum Personal Assistant: hosted assistants and self-hosting have different trade-offs
Vellum’s shutdown notice schedules the platform closure for November 2, 2026. It says cloud-hosted assistants will cease to function and data will be permanently deleted, recommends exporting a workspace backup, describes self-hosting, and states that active subscriptions are to be cancelled with prorated refunds for remaining billing periods. Because the date is upcoming, confirm the current deadline and refund procedure directly with Vellum before relying on them. A self-hosted successor may preserve more control, but it also transfers operations and security work to you. The notice also identifies a rebranded fork called Cadet; treat its availability, features, and support as separate questions rather than assuming continuity.

Klaus: a suggested migration path may not preserve history
Klaus says in its shutdown notice that service ended September 1, 2026, leaving its web app and customer assistants offline. The company describes using an export with OpenClaw, identifies independent KiloClaw as managed hosting, and suggests Anthropic Cowork for readers willing to change assistants. It explicitly says Cowork does not carry Klaus history. These are company-stated suggestions, not guarantees that a suggested service remains available or supports your data, so verify both the export and the destination before deleting anything.
Can you move your history to another AI assistant?
Sometimes, but you should plan as if the answer is no until an import is demonstrated. AI histories often combine proprietary databases, hidden system instructions, file indexes, tool permissions, and account-level metadata. A downloaded transcript may preserve the words while losing attachments, search indexes, feedback, links, and the assistant’s configuration.
When a direct import exists
Export the source in the provider’s recommended format, create the destination workspace with matching access controls, and import a small sample first. Check dates, attachments, speaker or author labels, and search results. Keep the original export untouched so a failed import can be repeated.
When no direct import exists
Build a portable archive with folders for conversations, files, prompts, instructions, workflows, and account settings. Use clear filenames and an index that records the original project, date, participants, and related files. Recreate only the instructions and workflows you still use; importing every old conversation can add cost and clutter without improving results. For important projects, copy the relevant context into a new conversation and verify the output against the original files.
What usually does not transfer automatically
- Conversation history stored in a proprietary database
- Browser tabs, cookies, sessions, extensions, and site permissions
- Embeddings, vector indexes, and retrieval settings
- Connected-app permissions and API credentials
- Fine-tuned behavior, hidden system prompts, and feedback signals
- Team roles, audit logs, billing records, and shared links
What to do when an AI app raises its price
A higher price does not automatically make switching worthwhile. First measure your real usage for a representative billing period: active days, messages or generations, file volume, seats, API calls, and peak workloads. Then compare the annual cost and the disruption of each option.

| Option | When it makes sense | What to check |
|---|---|---|
| Keep the current plan | The workflow is valuable and migration would cost more than the increase | New limits, renewal date, included usage, and cancellation terms |
| Downgrade | Your usage fits a lower tier or occasional access is enough | Which features, history, seats, and retention rules disappear |
| Reduce usage | Automation, oversized context, or unused seats drive the bill | Batching, caching, smaller models, retention cleanup, and seat removal |
| Switch provider | A competitor meets the core job at lower total cost | Export/import effort, privacy, limits, region, and support |
| Run software yourself | Control or predictable marginal cost outweighs maintenance | Hardware, hosting, updates, security, backups, and technical expertise |
Use a simple annual comparison: subscription fees plus usage, storage, hosting, hardware, and staff time for migration and maintenance. A lower invoice can still be a worse deal if it removes an integration that saves hours each week. Conversely, a modest price increase may be cheaper than rebuilding a regulated or deeply integrated workflow.
A practical migration playbook
- Inventory the departing app. List every task, data type, integration, user, device, and automation that depends on it.
- Classify criticality. Mark items as critical, useful, or disposable. Export critical items first and verify them before moving on.
- Define acceptance tests. Write the outputs, latency, privacy, file formats, and integrations the replacement must satisfy. Include one failure case and a recovery step.
- Shortlist two or three candidates. Choose tools that match the job, then compare portability, control, total cost, and continuity. Do not select solely from a general “best AI” list.
- Run a side-by-side pilot. Use the same prompts, source files, and representative workload. Record quality, time, errors, usage consumed, and manual cleanup.
- Rebuild the smallest useful workflow. Move active projects and essential instructions first. Keep the old export available while users validate the new process.
- Secure the new system. Revoke old tokens, recreate least-privilege integrations, configure retention, and confirm who can access imported files.
- Document fallback procedures. Write down how to export, where backups live, how to perform the core task manually, and which second tool can handle an emergency.
- Close the old account only after verification. Confirm that exports open, the new workflow passes acceptance tests, invoices stop, and any refund is received.
How to reduce the risk of the next shutdown
Make portability a routine operating habit. Schedule exports for important work, retain originals rather than only generated summaries, and keep prompts and configuration in ordinary text files. Prefer services that explain deletion, offer self-service exports, publish deprecation notices, and support standard formats. Separate provider-specific conveniences from the underlying work: store source documents, media, code, and meeting recordings outside the AI interface whenever possible.
For teams, assign an owner for each AI-dependent workflow and record its provider, plan, renewal date, data location, export method, and fallback. Review that register quarterly and whenever a provider changes pricing or terms. For individuals, a monthly archive and a second copy before cancellation is usually enough to prevent a rushed, irreversible decision.

How to verify volatile pricing, limits, and availability
Prices, quotas, regional access, supported export formats, and shutdown deadlines can change quickly. Use the provider’s own pricing, support, status, and deprecation pages immediately before subscribing or migrating. For API-dependent workflows, review the OpenAI API deprecations page or the equivalent notice for your provider, then test the replacement endpoint in a non-production environment. Treat third-party roundups as leads, not as the final authority for a current price or feature.
A broader record from the Gravity AI tool and agent shutdown tracker, updated October 10, 2026, logs 39 verified shutdowns from June 2, 2023 through October 10, 2026, plus three products with announced future dates. Among 18 closed products with public launch dates, it reports a 14-month median lifespan. It also reports an export window in 14 of 23 notices that settled that question (61%) and a 48-day median warning when both notice and end dates were public. Those are defined tracker samples, not guarantees about any particular app, but they support a practical rule: export regularly instead of waiting for a final notice.

Choosing by scenario
You mainly need chat, drafting, or brainstorming
Prioritize conversation export, file handling, retention controls, and predictable limits. Recreate your durable instructions in a separate document, and keep source files outside the chat history. Test whether the new assistant can cite and retrieve the files you actually use.
You mainly need research or knowledge retrieval
Prioritize source links, document preservation, search quality, and exportable notes. Save the underlying sources and your final notes independently; a generated answer alone is not a durable research record.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →You mainly need browser automation
Prioritize safe confirmation steps, logs, bookmark export, and clear separation between browser data and chat data. Move bookmarks through an HTML export where supported, recreate permissions deliberately, and avoid copying active sessions or cookies into an untrusted environment.
You mainly need media generation
Download originals, source assets, prompts, settings, and licenses before evaluating a new generator. Compare output rights and resolution limits for your region and plan, not just sample images or videos on a marketing page.
You mainly need a hosted personal assistant
Decide whether you want another managed service or are prepared to self-host. A managed option is simpler to operate; self-hosting offers more control but requires maintenance, backups, monitoring, and a secure update process. In either case, verify that the destination can perform the assistant’s actual actions rather than merely answer questions.
Bottom line
When an AI app shuts down or becomes expensive, the safest sequence is export, verify, back up, define the core job, and then test replacements against portability, privacy, total cost, and continuity. Shutdown notices for Sora, Atlas, Vellum Personal Assistant, and Klaus show that media, browser state, hosted assistants, and conversation history can follow different rules. Choose the tool that preserves the work you need—not merely the interface you recognize—and keep a documented fallback for the next change.
