Short answer: Workday AI agents are software agents that can answer questions and complete multistep tasks. Their risk and behavior depend on the agent’s identity, permissions, execution mode, data connections, approval rules, and tenant entitlement. Workday describes controls including encryption, role-based and scoped access, audit logs, isolated runtimes, and configurable privacy settings. Those controls must be configured and verified by each customer; they do not mean every action receives human review or that every agent is available in every tenant.
What are Workday AI agents?
Workday describes an AI agent as software that can respond to questions and carry out a sequence of tasks rather than merely generate a single answer. A task might involve interpreting a request, retrieving information that the agent is allowed to see, calling an approved tool or API, and completing an action subject to the rules configured for that agent.

That makes an agent different from a conventional search box or chatbot. A chatbot may return text; an agent can potentially change records, start a workflow, or perform another business operation. The practical boundary is set by the agent’s skills, identity, security groups, connected data, and approval requirements. Administrators should therefore evaluate an agent as an automated worker with a defined authority, not as an unrestricted general-purpose AI.

Workday’s administrator guidance distinguishes two execution models. The distinction determines whose permissions are applied when the agent accesses data or performs an operation.

- [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.
Ambient execution
In ambient execution, the agent acts as itself. It has an agent identity and uses the permissions assigned to that identity. This model makes the agent’s authority independent of the individual who launches a request. It can be useful for a narrowly scoped service that performs the same approved function for many users, but the agent identity must be governed as carefully as any other privileged account.
Delegate execution
In delegate execution, the agent acts on behalf of a person and uses that worker’s permissions. Two workers can therefore receive different results from the same agent if their access differs. Delegate execution can preserve a user’s existing data boundaries, but it also means the outcome depends on the requesting worker’s security configuration and on how the agent handles delegated actions.
Questions to answer before enabling an agent
- Is the business task supported by the agent’s documented skills?
- Will the agent run with its own identity or a worker’s delegated authority?
- Which security groups, APIs, records, and fields can it read or change?
- Which operations require an approval, and who can provide it?
- What events are written to an audit trail, and who reviews them?
- Which release, license, and tenant entitlement apply?
What is the Agent System of Record (ASOR)?
Workday describes Agent System of Record, or ASOR, as the central framework for registering, configuring, monitoring, governing, and auditing agents. It is intended to provide an inventory and control point for an organization’s digital workforce rather than leaving each agent as an isolated integration.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →For administrators, an ASOR review should establish a consistent record for every agent: its owner, purpose, execution mode, permissions, supported skills, connected tools, approval thresholds, release status, and activity history. Registration alone is not a security approval. The agent still needs a least-privilege design, testing in the relevant tenant, and a process for reviewing changes and audit events.
Workday’s public Agent System of Record material includes a testimonial from Bharath Srinivas, CTO of Accenture Workday Business Group, describing ASOR as providing governance and analytics for managing a digital workforce at scale. That is a customer or partner statement, not an independent measurement of ASOR’s effectiveness.

What privacy and security controls does Workday describe?
Workday says its AI services provide configurable privacy controls, encryption, role-based access, scoped permissions, and audit logs. These are control categories, not a guarantee that a particular tenant is configured safely. The effective protection depends on the product, agent type, security groups, connected systems, execution mode, and settings selected by the customer.
Encryption
Encryption is listed by Workday as part of its AI security approach. Confirm which data is encrypted, where encryption applies, and how keys and administrative access are handled under the terms and architecture for the specific Workday service you use. A general statement about encryption does not by itself describe every data path or integration.
Recommended Free Tools
Role-based and scoped access
Role-based access limits capabilities according to security groups or roles. Scoped permissions narrow those capabilities to the records, fields, actions, or systems needed for a task. Least privilege means starting with the smallest scope that can complete the business process and expanding it only when a documented requirement exists.
Audit logs
Audit trails let administrators examine agent activity and investigate whether an agent accessed data or attempted an operation. Determine which events are recorded, how long records are retained, who can view them, and how alerts or periodic reviews are handled in your tenant. An audit log supports accountability after an event; it does not prevent an unsafe permission from being granted in the first place.
Workday’s model-training statement
On its Responsible AI page, Workday states: “We never share customer data to train third-party public models.” This is Workday’s own statement, not a finding from an independent auditor. Organizations should verify the applicable product terms, data-processing provisions, tenant settings, subprocessors, and integration behavior before treating the statement as their complete privacy assessment.

How does Agent Harness limit access?
Workday describes Agent Harness as using isolated runtime environments and the user’s access limits. Isolation is intended to constrain the environment in which an agent runs, while access limits restrict what the agent can reach through the user or agent identity. The exact control surface varies with the agent and its configuration.
Ask administrators to document the boundary rather than relying on the product name alone. A useful review records the runtime or environment isolation, the identity presented to Workday, external APIs or tools that can be called, data objects and fields in scope, and the conditions under which an action is blocked or escalated. Test both an allowed request and a deliberately out-of-scope request using representative security groups.
Does a human approve every AI-agent action?
No. Workday describes human approval when an action exceeds applicable guardrails, alongside permission checks, scoped execution, agent identities, and auditability. That wording does not establish that every action receives a person’s review.
Approval should be designed around consequence. Reading a low-sensitivity record may be permitted automatically, while changing compensation data, sending an external communication, or committing an irreversible transaction may require a named approver. The approval rule, approver group, expiration behavior, and evidence retained after approval should be written into the operating procedure.
Oversight controls to verify
- Identity: confirm whether the agent uses ambient or delegate execution and which identity appears in logs.
- Least privilege: remove unused security groups, tools, fields, and write permissions.
- Guardrails: define blocked actions, approval thresholds, and escalation paths.
- Monitoring: schedule reviews of successful, denied, failed, and escalated actions.
- Change control: re-test permissions after agent, workflow, integration, or Workday-release changes.
- Incident response: know how to disable the agent or revoke a connected permission while an investigation proceeds.
Ambient versus delegate execution: which should you choose?
| Decision area | Ambient execution | Delegate execution |
|---|---|---|
| Authority | The agent’s own permissions | The requesting worker’s permissions |
| Consistency | More consistent across users when the agent identity is fixed | Results vary with each worker’s access |
| Primary governance task | Secure and review the agent identity | Secure the agent and every relevant worker role |
| Audit question | What did the agent identity do? | What did the agent do for which worker? |
| Typical risk to examine | Overly broad standing permissions | Unexpected access inherited from a worker |
Neither mode is automatically safer. Choose based on the business process, data sensitivity, required skills, approval design, and ability to monitor activity. Record the decision in ASOR and validate it with negative tests, such as a user who should not be able to view or change a target record.

How should an administrator evaluate an agent before production?
- Define the task. State the business outcome, inputs, systems, records, and actions in plain language. Separate read-only assistance from write or transactional work.
- Inventory the authority. Record the execution mode, agent or worker identity, security groups, API scopes, data objects, fields, and connected tools.
- Set guardrails. Identify actions that are prohibited, actions that need approval, and actions that may run automatically. Assign accountable owners and approvers.
- Configure the minimum scope. Remove permissions and skills that are not necessary for the defined task. Avoid treating broad administrator access as a shortcut.
- Test normal and abnormal paths. Use representative users and data to verify allowed requests, denied requests, approval prompts, failures, and attempts to reach data outside scope.
- Inspect the evidence. Confirm that identity, request, tool call, result, approval, denial, and error information appears in the expected audit records.
- Document in ASOR. Register the owner, purpose, execution mode, permissions, release, dependencies, review schedule, and disablement procedure.
- Operate and review. Monitor activity after launch and repeat the review whenever permissions, workflows, integrations, or Workday releases change.
Which Workday AI agents are available?
Availability is product-specific and tenant-specific. Workday’s public pages do not provide a complete entitlement matrix covering every agent, edition, region, license, and tenant. Public marketing status should therefore be treated as an indication to verify access, not as proof that an agent is enabled for your organization.
Developer Agent status
Workday’s Developer AI Agent page labels Developer Agent as Early Access and says General Availability is targeted for 2026R2+. A target is not confirmation that general availability has occurred. Release timing can change, and an agent can remain unavailable to a particular tenant even after a broader release.
How to verify entitlement
- Check the current Workday release notes and the agent’s product documentation.
- Ask the Workday account team which release, license, region, and tenant configuration are required.
- Confirm whether Early Access requires enrollment, an agreement, or designated administrators.
- Look for the feature and its security configuration in the target tenant, not only in a demonstration environment.
- Obtain written confirmation of dependencies, limits, and the path from Early Access to General Availability.
What information should be compared when selecting an agent configuration?
| Comparison axis | What to document | Why it matters |
|---|---|---|
| Business task and skills | Supported questions, workflows, tools, and write operations | Prevents an agent from being approved for work it cannot reliably or safely perform |
| Authority model | Ambient or delegate execution; identity and role mapping | Determines whose permissions govern access |
| Data and API permissions | Objects, fields, systems, scopes, and external connections | Defines the information and actions available to the agent |
| Approvals and audit | Approval thresholds, approvers, logged events, retention, and review owner | Sets human oversight and accountability |
| Privacy and model terms | Applicable Workday terms, settings, processing disclosures, and integrations | Prevents a broad privacy claim from being applied to the wrong product |
| Release and entitlement | Release, Early Access or General Availability status, license, and tenant eligibility | Separates a public roadmap statement from actual access |
Common failure modes and corrective actions
The agent can see too much
Review whether ambient permissions are broader than the task requires or whether delegate users inherit an unexpectedly powerful role. Narrow security groups, records, fields, or API scopes, then repeat tests with both authorized and unauthorized users.
An expected action is blocked
Check the execution mode, worker security group, agent skill, connected tool, approval rule, and release entitlement. A denial may be an intentional guardrail rather than a product failure. Change only the missing permission that the documented task requires, and record the change.
An approval never arrives
Verify the approver group, notification route, escalation or expiration behavior, and whether the action is actually configured to require approval. Inspect audit records for a denied, failed, or out-of-scope request before retrying.
Best Value
The feature is absent from the tenant
Do not infer that a public page means the feature is enabled. Confirm release level, Early Access enrollment, license, region, and account-team eligibility. For Developer Agent in particular, distinguish the published 2026R2+ General Availability target from confirmed access.
The audit trail is insufficient for an investigation
Determine which event types are retained and who can view them. If the records do not show the identity, request, action, or approval needed for accountability, pause expansion and work with the tenant administrator or Workday support contact to establish the supported logging configuration.
What is established—and what is not?
Workday’s published material establishes the company’s described architecture and commitments: ASOR for agent governance, ambient and delegate execution models, configurable privacy and security controls, Agent Harness isolation and access limits, approval guardrails, and the statement about not sharing customer data to train third-party public models. It does not provide a single public statistic measuring AI-agent privacy, oversight quality, accuracy, or performance.
It also does not establish a universal availability date for every agent and tenant. Treat Developer Agent’s Early Access label and 2026R2+ General Availability target as release information to verify, not as a promise of access. The authoritative answer for a production decision is the combination of current release documentation, your tenant configuration, applicable terms, and confirmation from Workday.
