A CSV export can succeed even when Excel displays the result incorrectly. The file stores plain text values; Excel then interprets those values using its import settings. The right fix depends on what looks wrong: columns, characters, identifiers, or missing workbook features. The exact cause in this case is unknown, so use the symptom to narrow it down.
First identify what “didn’t work” means
Different symptoms point to different causes. Check the CSV for the specific problem you saw:

- Everything appears in one column, or fields split in unexpected places: check the delimiter and text qualifier.
- Letters or symbols look garbled: check the file’s encoding and how it was opened.
- Leading zeros disappeared, long digit strings changed, or text became dates: Excel may have interpreted identifiers as numbers or dates.
- Formatting, graphics, or other workbook features are gone: that is a limitation of CSV, not necessarily a failed export.
The file’s source application, contents, regional settings, and Excel version are not known here, so no single cause can be assigned to the incident from the title alone.

Why a CSV can look different in Excel
CSV is a plain-text format for data, not a full-fidelity Excel workbook. Microsoft says CSV saves “only the text and values as they are displayed in cells of the active worksheet.” Formatting, graphics, and other workbook contents are not preserved. If those features matter, keep or save a copy in an Excel workbook format such as .xlsx. Microsoft’s format comparison describes what CSV retains.

Even when the file’s text is intact, opening it directly gives Excel room to apply default data-format settings. Importing the file instead gives you more control over how it is split and interpreted. Interface labels and available options can vary across Excel versions and platforms.
If the columns are in the wrong places
Import the CSV and inspect the preview before loading it. In Excel, use Data > Get Data > From Text/CSV. Choose the delimiter that matches the file—such as a comma, tab, or semicolon—and verify that the preview shows the intended columns. The delimiter used by a CSV can be affected by regional and list-separator settings; a comma is not guaranteed in every configuration.

Fields enclosed in quotation marks may contain delimiter characters as ordinary text. For example, a quoted field containing a comma should remain one field rather than split at that comma. Check the text qualifier setting and preview to confirm Excel keeps those characters inside the field. Microsoft documents the import options in its text and CSV import/export guidance.

The CSV may be encoded in a way Excel did not recognize when you opened it directly. Microsoft says a UTF-8 CSV opens normally when it was saved with a byte order mark (BOM). If it has no BOM, import it through Power Query or Excel’s text/CSV import flow instead of relying on a direct open. Microsoft’s UTF-8 instructions explain the distinction.
If digits, codes, or dates changed
Excel may convert text-like values to numbers or dates when it loads a CSV. This can remove leading zeros from postal codes or account codes, change date-like strings, or display long digit strings in scientific notation. During import, select the relevant column and set its data type to Text before loading when exact characters matter.
This is particularly important for long numeric identifiers. Microsoft documents that Excel retains only 15 significant digits for numeric values; digits beyond that precision can be lost during conversion. Changing a cell’s display format afterward does not restore digits already truncated. Keep IDs, phone numbers, product codes, and similar values as text if they are labels rather than quantities used for arithmetic. See Microsoft’s guidance on leading zeros and large numbers.

Choose direct opening or controlled import

A practical recovery sequence
- Keep the original CSV unchanged. Work from a copy if you need to test different import settings.
- Open the import preview: go to Data > Get Data > From Text/CSV and select the file.
- Correct the split: choose the matching delimiter and text qualifier, then check that the preview columns line up with the data.
- Protect exact strings: set identifier columns to Text before loading, especially where leading zeros or more than 15 significant digits matter.
- If characters are garbled: use the text/CSV import route for UTF-8 files that do not open correctly, rather than assuming the export itself failed.
- If workbook features are missing: reopen the original workbook, if available, and save it in an Excel workbook format when those features must remain.
Excel also documents import/export capacity limits of 1,048,576 rows and 16,384 columns. Those limits matter for unusually large files; they are not an explanation for ordinary column, encoding, or formatting differences. Microsoft’s import/export documentation lists the limits.
