Before using an AI note-taking app, check when recording starts, who can access the output, how long audio and notes are retained, which subprocessors receive data, and whether content may be used to train models. Verify each answer for your specific plan and workflow: a vendor privacy page does not show how your account is configured or determine which recording-consent law applies to a meeting.
Start with how recording begins and how people are notified
Find out whether a person must press Record or whether the app can join a scheduled meeting automatically. Check calendar permissions, any automatic-join or recording control, and whether the app captures audio only or also video or screen content. Before a meeting, make sure participants receive a timely, noticeable disclosure and that the host can pause or stop capture and verify it has stopped.

- Notion: Its AI Meeting Notes documentation describes ways to disclose the feature and obtain consent. Those examples do not settle every applicable legal requirement.
These are product descriptions, not a legal determination. Consent rules can depend on jurisdiction, participant location, and context; a banner or setting alone does not guarantee compliance. If the meeting is sensitive or legal exposure matters, establish the applicable rule for your circumstances.

Check who can see, share, and export the results
Treat the recording, transcript, and summary as potentially separate items with separate access controls. Review the defaults and check each of these paths:
- Who can view a conversation by default: only the recorder, invited people, workspace members, or anyone with a link?
- Can collaborators download audio or transcripts, reshare them, or export them to another service?
- Which calendar, conferencing, storage, CRM, or messaging integrations are connected, and what information do they exchange?
- Can vendor personnel access content for support, and what consent or approval is required?
Otter says conversations are private to the user and people selected for sharing, and that it requires explicit customer consent before staff access for troubleshooting. This vendor description is not an audit of your account: check its actual sharing settings and connected integrations.

Set separate retention expectations for audio, transcripts, and summaries
Ask whether original audio remains after transcription and whether the workflow creates temporary processing copies or files on a device. Check the retention and deletion controls for recordings, transcripts, summaries, and derived speaker information separately. Also find out what deletion means in practice: whether items move to Trash, can be recovered, remain subject to workspace rules, or have an automatic deletion schedule.
Notion workflows and controls
Notion documents different handling for browser or app use, mobile capture, and uploaded audio. Live audio may be stored temporarily on the device; uploaded audio may be retained for a limited period to retry processing. The documentation says an uploaded file can be deleted from the AI Meeting Notes block or by deleting its parent page, after which workspace data-retention settings apply. It also describes an automatic transcript-deletion schedule for Enterprise workspaces. Check the current workflow and workspace controls before relying on these behaviors.
Notion says local audio storage is off by default and can be enabled by a workspace owner; only the recorder can download locally saved audio. Workspace owners can also turn off AI Meeting Notes availability.

Otter deletion behavior
Otter says deleted conversations move to Trash and are automatically deleted after 30 days; manually clearing Trash deletes them then. This is Otter’s description of its service behavior. Confirm current retention and account-specific controls before storing sensitive records.
Trace where data goes outside the app
Identify the companies that receive audio or transcripts for transcription, summarization, storage, or support. For each, check what data is sent, whether it is retained and for how long, and whether the route changes for live capture, mobile use, uploads, or integrations. Look for a current subprocessor list and contractual commitments rather than assuming one workflow describes them all.
Notion’s AI Meeting Notes documentation names OpenAI, Anthropic, Fireworks, Baseten Labs, X.AI, and AssemblyAI, and says audio is sent to subprocessors for real-time transcription. Its AI security and privacy guidance says LLM providers retain Customer Data for 30 days or fewer before deletion by default for non-Enterprise workspaces. That statement is limited to the stated plan scope and default; verify the current account and agreement.

Notion also states, “Sub-processors do not store audio.” Read that alongside its descriptions of local and uploaded-audio handling: a statement about subprocessors does not establish that no copy exists anywhere in a particular workflow.

Do not stop at a general “not used for training” claim. Check whether it covers audio, transcripts, summaries, prompts, feedback, and derived data; whether it applies to every external AI provider; and whether it is a default, an opt-out, or a contractual commitment. Look separately for human review for support, safety, annotation, or product improvement, including any consent or opt-in process.
- Otter says its AI service providers do not use customer data to train or improve their models. It also says staff access for troubleshooting requires explicit consent. See its Privacy & Security page.
- Fireflies says meeting content is not used to train AI models and describes a Zero Data Retention policy. See its security page, information-safety guidance, and privacy policy.
These are vendor representations, not independent guarantees for every plan or configuration. Check the current privacy policy, AI terms, and customer agreement for the product you use.

Review workspace and device controls before enabling the feature
- Can a workspace administrator disable the feature for everyone or restrict who can use it?
- Can an administrator set retention or deletion rules, and are those controls available on this plan?
- Is local audio storage enabled, and who can download files saved to a device?
- Which device permissions does the app need, and can you revoke them when it is not in use?
Notion says local audio storage is off by default and that this capability is turned off by default for all plans. A workspace owner can enable local storage, and only the recorder can download locally saved audio. Workspace owners can turn off AI Meeting Notes availability.
Compare apps using the same workflow
“Private” is not a useful single score: an app can say it does not train on meeting content and still retain transcripts, while a local audio copy can exist even if an external transcription provider does not retain audio. Compare the same capture method and account context across services.
