Which Mac Automation Tools Are Best for Everyday Tasks?

Start with Shortcuts for multi-step jobs, Hazel for file rules, Keyboard Maestro for trigger-based macros, or BetterTouchTool for custom input actions.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For most everyday workflows that combine several steps or apps, start with Apple Shortcuts. Choose Hazel for rules that continuously organize files in selected folders, Keyboard Maestro for macros that respond to different triggers across apps, and BetterTouchTool for custom gestures and input shortcuts. Keep Automator for simple sequential workflows or existing automations, and turn to AppleScript or JavaScript for Automation when the logic becomes complex enough to warrant scripting.

These tools solve different kinds of repetition; there is no single best choice for every Mac task.

Apple Shortcuts Multi-step workflows involving apps, content, or internet services Run a shortcut in supported contexts, or set up an automation; the guide also covers variables, conditions, repeats, and command-line execution Available apps, services, and guide content vary by region and installed macOS version. Start with Shortcuts for everyday multi-step workflows

Shortcuts is the most sensible first stop when a repeated job can be expressed as a sequence of available actions. Apple describes a shortcut as “a quick way to get one or more tasks done with your apps” in its Shortcuts User Guide for Mac, whose displayed guide version is macOS 27.

The guide covers actions that work with apps, content, and internet services, along with variables, If and Repeat actions, automations, and several ways to run a shortcut. It also documents command-line execution. That range lets you begin with a basic sequence and add logic when the workflow needs it, without choosing a separate macro utility at the outset. Whether a needed action exists depends on your installed macOS version and the apps and services available to you; Apple notes that availability varies by country or region.

#1 Best Overall
Apple Magic Keyboard with Touch ID
  • Magic Keyboard is now available with Touch ID, providing fast, easy, and secure authentication for logins and purchases
  • Magic Keyboard with Touch ID delivers a remarkably comfortable and precise typing experience
  • It’s also wireless and rechargeable, with an incredibly long-lasting internal battery that will power your keyboard for about a month or more between charges
  • It pairs automatically with your Mac, so you can get to work right away
  • It features a USB-C port and includes a woven USB-C Charge Cable that lets you pair and charge by connecting to a USB-C port on your Mac

Keep Automator for simple workflows and existing work

Automator remains relevant if you already rely on its workflows or want to assemble a straightforward sequence of actions. Apple says its Automator User Guide explains how to create workflows without knowing a programming or scripting language, and specifically documents importing Automator workflows into Shortcuts: Automator User Guide for Mac.

Apple’s older developer guidance draws a useful conceptual line: prebuilt actions and linear workflows suit simpler jobs, while scripting is a better fit for advanced, branching, or complex tasks. That distinction appears in an archived Mac Automation Scripting Guide, updated June 13, 2016. It is a way to think about workflow complexity, not a current compatibility commitment or evidence that Automator has been discontinued.

Use Hazel when the task is about files in folders

Hazel’s defining role is to watch folders you choose and apply rules to files. The vendor describes rules that can sort or move files based on attributes such as name, date, type, or source, as well as rename, tag, archive, upload, or process them. It also describes pattern matching, trash cleanup, and finding support files left by removed apps. See the Hazel product page for the vendor’s current description.

Choose this category when the trigger is essentially “a file arrived or changed in this folder, so apply my rule.” It is more focused on file organization and cleanup than on controlling a general sequence of actions across apps. These are vendor-described capabilities, not independently tested results.

Use Keyboard Maestro for macros with varied triggers

Keyboard Maestro is a candidate when one macro system needs to respond to different events and perform a broad range of actions. The cited Keyboard Maestro 3 feature documentation describes triggers including hot keys, application events, and time, plus actions for interface control, simulated clicks and keystrokes, clipboard operations, text insertion, AppleScript or Unix scripts, and Automator workflows.

The documentation is specifically for version 3, so it does not establish the features, compatibility, or pricing of a current release. Check the vendor’s current product information before relying on a particular feature or deciding whether it suits your macOS version.

Use BetterTouchTool when your input devices are the starting point

BetterTouchTool is oriented around customizing how you use input devices and then connecting those triggers to actions. Its vendor page describes customization for trackpad gestures, mice, keyboard shortcuts, the menu bar, and Stream Deck, with actions that can be chained. The same page advertises hundreds of triggers and built-in actions and says it is ready for macOS 27; treat those as current vendor statements rather than independent evaluation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This is the more natural category when you want a gesture, button, or shortcut to start an action chain. For an automation that mainly watches files or runs a multi-app workflow independent of custom input, consider the tools built around those jobs instead.

Move to scripting when the logic needs more control

Apple’s archived Mac Automation Scripting Guide identifies AppleScript and JavaScript as primary Mac automation scripting languages and describes scripting as a better choice for advanced, branching, or complex tasks. AppleScript is also described there as a mature, object-oriented language. Read this as guidance about when scripted logic can be useful, not assurance that every app exposes scriptable commands or that the archived guide reflects current OS behavior.

Scripting is worth considering when a workflow’s conditions and decisions no longer fit comfortably into available visual actions. If the job is still a simple sequence, a visual workflow may be easier to build and maintain.

What about Raycast?

Raycast may be worth investigating separately, but the official Raycast product page does not provide enough specific evidence here to compare its automation features with the tools above. No relative ranking or detailed capability claim is established on that basis.
