Before choosing restaurant inventory and purchasing software, ask vendors to demonstrate your real workflow: place an order, receive a short or substituted delivery, record the discrepancy, and complete a physical count. Then verify that your actual suppliers, POS setup, locations, reports, support needs, and full costs fit the quoted plan. A feature list is not proof that a system works with your operation.
Start with the workflow: can it show what was ordered, received, and counted?
These are three different facts. An order records what the restaurant requested; receiving records what arrived; a physical count records what is actually on hand. POS sales data or invoice capture on its own does not establish the shelf quantity.

Ask the vendor to demonstrate the whole sequence with one of your ingredients and a realistic delivery discrepancy. LineNow describes purchase orders, partial receipts, and inventory counts; Fourth describes mobile receiving and matching invoices with purchase orders and goods-received notes. These are vendor-described capabilities, so confirm that each step is included in the specific product tier being quoted.
- Build an order for an ingredient you buy regularly, using your supplier and purchase unit.
- Record a partial delivery or a changed item, then show how the system updates stock and flags the difference.
- Show who can review or approve the discrepancy and how that action is recorded.
- Complete a physical count and show how the count affects on-hand quantities and the next purchasing decision.
Ask how the system handles shortages, substitutions, credits, and invoice mismatches. A useful demo should make it clear which records are updated, which require staff action, and who is responsible.

Does it work with your actual suppliers and ordering channels?
Bring a current supplier list to the demo. Ask which of your vendors connect directly, whether each connection includes the product catalog and current prices, and how orders are transmitted. Clarify whether confirmations, substitutions, backorders, and credits return to the software or must be entered manually.
Fourth says its MacromatiX product has more than 30 supplier integrations and describes catalog pricing and several order formats. That vendor statement does not establish that your suppliers, ordering arrangements, or contract are covered. Ask the vendor to identify the connection for each supplier you rely on, not just to provide a total integration count.
What does the POS integration actually do?
“POS integration” can refer to different data flows. Ask which sales, menu, recipe, and inventory information syncs, whether the connection is one-way or two-way, how often it updates, and who fixes mapping errors. Confirm support for your POS version, configuration, and software plan.

- Toast xtraCHEF: Toast describes inventory tools that combine with Toast POS sales data, as well as invoice automation, recipe costing, vendor management, ordering, and product catalogs. Toast also says counts can be done on phones or mobile devices, including without Wi-Fi. These are Toast’s product descriptions, not evidence of compatibility with other POS brands or every setup.
- Square Restaurant Inventory by MarketMan: Square describes syncing Square POS data to calculate theoretical usage, track variances, and update recipe costs. Ask whether those functions apply to your Square setup and the specific add-on plan.
In the demo, ask the vendor to show a sale flowing into the inventory calculation and explain how the system treats a missing or incorrectly mapped menu item.
Can managers see the right information at each location?
For a restaurant group, test both site-level control and central visibility. Ask to see a location-level count, a purchasing view for headquarters, an inventory transfer if your operation uses transfers, and a report that can separate locations and roll them up. Confirm how permissions work and whether transfers have a record of who initiated and received them.
Square describes centralized visibility and location-specific reporting; LineNow describes location-level inventory and supplier workflows. Treat those descriptions as starting points: have the vendor show the controls and reports included in your proposed plan.

How does it represent quantities, costs, and discrepancies?
Ask the vendor to work through one ingredient from supplier invoice to recipe. Purchase units and recipe units may differ, so the demonstration should show pack sizes and unit conversions, invoice prices, recipe costs, waste, substitutions, and physical counts.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Then change the invoice price and record a delivery discrepancy for that same ingredient. Ask what updates automatically, what remains an estimate, and which costs managers can review. Toast describes invoice automation and recipe costing. LineNow highlights supplier prices and pack sizes and says recipe costs estimate dish costs rather than replace receiving or stock counts. Ask the vendor to make that distinction visible in the product.
Are the reports and data access right for your managers?
List the reports your team needs before comparing systems: purchasing, count variance, food cost, and site comparisons are common decision points for this evaluation. Ask whether users can filter, customize, and export them, and whether the quoted plan includes the fields and reporting flexibility you need.

Also ask how you can retrieve your data if you leave the service. A 2021 restaurant systems guide hosted by Oracle recommends checking reporting flexibility, custom reports, training, and support, and verifying provider claims with existing customers where possible. It is general buying guidance, not a current ranking of inventory products.

Compare candidates against the same questions
Use a shared scorecard and ask each vendor to demonstrate the same tasks. The criteria below organize the issues to compare; they are not a product ranking or independent evaluation.
| Area | Questions to ask |
|---|---|
| Workflow coverage | Does the demo show ordering, receiving, discrepancy handling, counting, and replenishment? |
| Supplier fit | Are your actual suppliers, order channels, catalogs, and price updates supported? |
| POS and finance integration | What data syncs, in which direction, how often, and with which versions or configurations? |
| Inventory and recipe detail | Are case sizes, recipe units, invoices, waste, counts, and cost calculations represented correctly? |
| Multi-location control | Can sites manage their own stock and suppliers while headquarters sees consolidated reporting? |
| Reporting and data access | Can users filter, customize, and export the reports they need, and retrieve data if they leave? |
| Adoption and support | What setup, training, troubleshooting, and ongoing support are included? |
| Total cost | What is charged per location, what subscriptions are required, and what extra implementation or hardware costs apply? |
What the vendor examples do—and do not—establish
Toast xtraCHEF, Fourth/MacromatiX, Square Restaurant Inventory by MarketMan, and LineNow illustrate different vendor-described workflows and integration claims. They are not a ranked shortlist. The available information does not establish comparative performance, implementation success, customer outcomes, or universal compatibility. Evaluate each against your own suppliers, items, case sizes, recipes, POS configuration, and staff workflow.
