Professional services automation (PSA) is software that connects the delivery of client projects with the operational work around them: staffing, time and expenses, billing, and project financial performance. Unlike a task-focused project management tool, PSA helps a services firm see how delivery, capacity, and economics fit together.
What professional services automation software does
A PSA platform brings project-based client work and its supporting business workflows into a shared system. Depending on the product and setup, it can connect early estimates and proposals to delivery, then link approved time and expenses to billing and financial reporting. Not every PSA product includes every capability.

Projects and delivery
Teams may use PSA to plan projects, schedules, milestones, and budgets, then monitor progress and costs as work proceeds. This gives managers a view of delivery alongside the commercial assumptions behind a project.

Resource management features help assign staff based on availability, skills, and demand. Instead of looking only at a project’s task list, managers can consider whether the right people are available across current and upcoming work.

Time, expenses, and billing
PSA systems can capture time and expenses, route them for approval, and connect billable entries to invoices. Some products also support different pricing and billing arrangements, such as fixed-fee, subscription, or milestone-based work; the available options vary by platform.
Project financials and reporting
Reporting may cover budget use, revenue, costs, utilization, project health, and profitability. PSA can also exchange information with CRM or ERP systems, connecting client or pipeline data and project financials with other company records.
How PSA differs from project management and ERP
| Software category | Main focus | Relationship to PSA |
|---|---|---|
| Project management | Tasks, milestones, schedules, and execution | PSA may include project management, then connect delivery to staffing, billable time, invoicing, and project financials. |
| Professional services automation | Project-based service delivery and its operating workflows | Connects project execution with resourcing, time and expenses, billing, and performance information. |
| Enterprise resource planning (ERP) | Wider organization-wide operations, such as finance, procurement, and HR | Can integrate with PSA to connect service delivery and project financial data to broader business information. |
The categories can overlap, and one does not automatically replace another. Project management is narrower in scope; ERP addresses broader company operations; PSA centers on delivering and managing project-based services. SAP’s overview discusses PSA’s role in service delivery and its relationship to ERP at SAP.
Which organizations may benefit from PSA
PSA is intended for organizations whose work is delivered through client projects or retainers. Examples include consulting and IT services, engineering, architecture, legal and accounting practices, and marketing agencies. It is especially relevant when managers need to coordinate people, delivery, time capture, billing, and project economics across multiple workflows. A small firm with simple projects may not need a dedicated PSA system.
Rank #3
Accelo’s glossary relays a finding from Service Performance Insight’s 2022 benchmark report: organizations using PSA software had an 11% relative increase in billable utilization, from 68.1% to 75.3%. Accelo also reports that 83% of high-performing professional services firms had PSA integrated with core financial management systems. These are figures attributed to the 2022 SPI benchmark as reported by Accelo, not a guarantee of results for an individual firm; see Accelo’s PSA glossary.
What to assess when choosing a PSA platform
PSA products differ in feature scope, so compare the workflows your organization needs rather than relying on the category label alone. Check whether a platform can:
Rank #4
- Connect project delivery data with budgets, costs, revenue, and other financial information.
- Plan resources using skills, availability, capacity, and demand.
- Capture and approve time and expenses, and carry eligible entries through to invoicing.
- Support the pricing and billing models used by your engagements.
- Provide useful reporting on utilization, revenue, costs, margins, and project health.
- Integrate with the ERP and CRM systems your organization already uses.
- Accommodate the firm’s current and expected scale, service lines, regions, and engagement types.

Microsoft Dynamics 365 Project Service Automation lifecycle
PSA is also the name of a specific legacy Microsoft application: Dynamics 365 Project Service Automation. Microsoft Learn states that it is no longer supported in commercial cloud as of March 31, 2025, and says the product evolved into Dynamics 365 Project Operations. Microsoft’s lifecycle page also says sales of new PSA licenses stopped on October 31, 2020. The commercial-cloud status does not apply to the sovereign cloud environments identified on the page, including GCC, GCC High, and DoD. Organizations using the legacy application should check Microsoft’s current transition guidance and confirm how their deployment is affected. Details are in Microsoft Learn’s Dynamics 365 Project Service Automation documentation.
