Dropbox is an online file-storage and synchronization service: save files to your Dropbox account, and you can access them on the web, a computer, or a phone. When you edit a synced file, Dropbox updates it across connected devices after they have internet access. You can also share files and folders with links or collaborators.
How Dropbox works
Cloud storage keeps files on internet-connected servers rather than only on one device. Dropbox connects those online files with its website and apps. Upload a document from one device, for example, and you can open it from another by signing in to the same account.

Synchronization keeps changes aligned across devices. It does not mean every cloud file is automatically downloaded to every computer or phone. For access without an internet connection, select the files or folders you want available offline; changes made offline sync after the device reconnects. - Create or sign in to an account. Use Dropbox on the web or install its desktop or mobile app, then sign in.
- Upload or save a file. Add a file through the website or app, or save it into the Dropbox folder on a computer with the desktop app installed.
- Wait for syncing to finish. Confirm that the upload or sync is complete before relying on the file from another device.
- Open it elsewhere. Sign in to the same account on another device and locate the file. For offline use, mark selected content for offline access in the relevant app.
- Share it if needed. Choose the file or folder’s sharing option, set access appropriately, and send the link or invite collaborators.
How to share files safely
A Dropbox link can let someone access a file or folder even if they do not have a Dropbox account. Dropbox describes sharing controls that include passwords, expiration dates, and folder permissions; the available controls can depend on the plan and interface. See Dropbox’s sharing options.

- Choose the audience and permission level deliberately, especially for sensitive files.
- Use a password or expiration date when the available controls and the content warrant it.
- Review shared access and revoke it when it is no longer needed, where the interface permits.

Basic is a practical way to try Dropbox if 2 GB is enough. For a paid plan, compare the storage you need, how many people need accounts, transfer capacity, file-recovery window, and any team administration or sharing controls you rely on. A larger storage figure alone does not determine which plan is suitable.
Recovery and version history
Dropbox’s Help page, updated August 14, 2026, lists different recovery periods by plan: 30 days for Basic, Plus, and Family; 180 days for Professional, Essentials, Standard, and Business; and 365 days for Advanced, Business Plus, and Enterprise. Confirm the current name and terms of your plan on Dropbox’s version-history overview.

Within the applicable period, version history can help restore an earlier file version, and deleted items may be recoverable. It is a limited safety net, not a complete backup strategy: permanently deleted files cannot be restored through version history, and the feature has limitations for some web-based files, including Google Docs, Sheets, and Slides and Microsoft Office Online files. Upgrading to a longer history window does not extend it retroactively to older changes. Keep a separate backup of files that would be difficult to replace.
Security considerations
Dropbox says it uses 256-bit AES encryption for stored data and SSL/TLS for data in transit, and provides features such as file permissions and recovery tools. These controls do not remove every account or sharing risk, and features can vary by plan. Use a strong, unique password, enable multi-factor authentication where available, and check permissions before sharing a link. Dropbox outlines its security approach at Dropbox security.

Is Dropbox free?
Yes. Dropbox’s Basic plan is listed with 2 GB of storage and a limit of up to three connected devices. That can be enough to test the service or store a modest set of files, but people with larger libraries or more demanding transfer and recovery needs may need to compare paid plans.

When Dropbox is useful—and what to remember
- Use it to reach the same files from multiple devices without relying on email attachments.
- Use shared links or collaborator access when you need to give someone a file or folder.
- Mark selected files or folders for offline access if you need them without a connection.
- Check your plan’s storage, transfer, and recovery terms; do not assume that every file is local or recoverable indefinitely.
