A webinar is a presenter-led online event, usually designed to teach or inform an audience. Attendees watch and listen, and may participate through host-enabled features such as Q&A, chat, or polls. Unlike a typical video meeting, a webinar is generally organized around a presentation rather than an open conversation among everyone attending.
How does a webinar work?
The host sets up an event, decides whether people must register and what controls attendees will have, then shares an invitation or registration link. The presenter or panelists deliver the session live using audio, video, or shared materials. Attendees join from a supported desktop or mobile device and use whatever interaction options the host has enabled. Depending on the platform and setup, the host may also review event reports or provide a recording afterward.

- Get the invitation. Follow the event link. If registration is required, submit the requested information and use the joining instructions provided.
- Join at the scheduled time. Open the link on a supported device with an internet connection.
- Watch and listen. The host or panelists present the session, which may include spoken explanation, video, or shared materials.
- Participate if you want to. Use the available Q&A, chat, or poll controls. The host determines which features are enabled.
- Use the replay if one is offered. Recording and later access depend on the platform and the host’s event settings.
How is a webinar different from an online meeting?
A meeting is commonly a group conversation in which participants can speak and interact with one another. A webinar is commonly a presentation to an audience, with participation managed by the host. Attendees may have limited microphone or camera permissions while still being able to submit questions, chat, or answer polls.
This is a useful distinction, not a strict technical rule. Platforms let hosts configure event roles and controls, so a webinar can allow more discussion, and a meeting can be run as a presentation. Check the event invitation and available controls rather than assuming every event uses the same format. Webex, Zoom, and Microsoft Teams materials describe registration, engagement, and audience controls as configurable capabilities (Cisco Webex; Zoom; Microsoft Teams).

Do I have to attend a webinar live?
No. A host may share a recording or provide on-demand access, but availability depends on the host’s choices and the platform’s features and settings. For example, Zoom documents an on-demand setup that requires registration and automatic cloud recording for a scheduled webinar. Its documentation says the feature requires a licensed user with the Webinars add-on; eligibility and settings should be checked in Zoom’s current on-demand webinar guidance.
Zoom also documents a product-specific simulive option: a recorded session is presented while hosts or panelists can still interact with attendees through live chat and Q&A. That is not a capability to assume across all webinar services; see Zoom’s simulive comparison.

What do you need to attend or present?
As an attendee
You generally need the event link, a supported desktop or mobile device, and an internet connection. A dedicated webcam or microphone is not a universal attendee requirement: many webinar formats let attendees watch and use text-based interaction without turning on a camera or speaking.

As a presenter
Presenters typically use a microphone for audio and may use a camera for video. They may also share presentation materials. The exact equipment and controls depend on how the host configures the event and what the chosen platform supports. Zoom describes a connected web camera and microphone as typical presenter inputs in its webinar overview.

What should a host check when choosing a webinar format?
Before scheduling an event, consider the attendee experience as well as the presentation itself. Product features and access rules can depend on the service, plan, region, and event configuration, so confirm current provider documentation for the specific event.
- Registration and access: Decide whether people need to register and how they will receive joining instructions.
- Roles and audience controls: Check what hosts, panelists, and attendees can do, including whether attendee microphones and cameras are restricted.
- Interaction: Confirm whether moderated Q&A, chat, or polls are available and enabled.
- Recording and replay: Establish whether the event will be recorded and how attendees can access it later.
- Plan and configuration: Verify whether the needed features depend on a paid plan, add-on, region, or particular settings.
