What Happens When AR Automation Meets Your ERP?

ERP-connected AR automation can help process invoices, match payments, apply cash and support collections—but integration scope, write-back and exception handling depend on the product and setup.

When accounts receivable (AR) automation connects to an enterprise resource planning (ERP) system, it uses receivables data—such as customer records, open invoices and payments—to handle parts of the invoice-to-cash workflow. Depending on the product and setup, it can match remittances to invoices, apply cash, support collections and send results back to the ERP. The ERP remains the accounting context; unmatched or unclear items still need a defined review process.

How does AR automation integrate with an ERP?

Think of the integration as a loop: the ERP supplies receivables context, automation processes work against it, and outcomes may be synchronized or written back. The exact data flow depends on the ERP, its release and deployment, the automation product, available interfaces, configuration and licensing. A product described as “connected” is not necessarily real-time or bidirectional.

  1. Load receivables context. The automation needs information such as customer records, invoices, open items and payment details to act on the right accounts. Rex describes its integration as reading invoice, customer and payment data through an API or supported integration; that is the vendor’s description of its own product, not independent validation. Rex integration overview.
  2. Process invoice-to-cash tasks. Depending on the solution, work may include invoice delivery, payment collection, remittance matching, cash application and collections follow-up. Flywire describes these functions as part of its invoice-to-cash platform. Flywire B2B platform.
  3. Return outcomes where supported. An integration may send applied-cash results or updated balances back to ERP records. Confirm which records are written, in what direction and on what schedule for the specific product and configuration; synchronization should not be assumed from the word “integration.” Rex and Flywire describe ERP data exchange for their respective offerings. Rex integration overview; Flywire B2B platform.
  4. Route unresolved items. In SAP’s documented contract-account example, payments that cannot be posted automatically become clarification cases. SAP Cash Application analyzes remittance notes and offers proposals with confidence ratings; configuration determines whether a proposal is reviewed, followed up or used to clear a receivable automatically. SAP Cash Application documentation.

Which receivables tasks can be automated?

Automation can reduce manual handling where the necessary data and rules are available. The scope is product- and configuration-specific; these functions should be treated as possibilities to verify, not as a guarantee that every connected system supports them.

  • Invoice handling: deliver invoices or support the related invoice-to-cash workflow.
  • Payment and remittance matching: compare receipts and remittance details with open receivables.
  • Cash application: propose or perform application of payments to invoices, subject to the configured rules and review thresholds.
  • Collections follow-up: support follow-up on outstanding receivables where the ERP connection and product scope allow it.

ERP receivables records provide the accounting context for this work. Microsoft Dynamics 365 documentation describes AR functions for tracking customer invoices and payments, including multiple payment forms and centralized payments across legal entities. The details apply to Dynamics 365 Finance and should not be generalized to every ERP. Microsoft Dynamics 365 accounts receivable documentation.

Why do exceptions still need people?

Matching depends on evidence such as payment references and remittance details. If those details do not identify an invoice clearly, or the payment does not fit the configured clearing logic, the system may need a person to investigate rather than post automatically. SAP’s documented contract-account flow states: “For payments that cannot automatically be posted to a contract account, the system creates clarification cases and adopts them into a clarification worklist.” That is a specific SAP product flow, not a universal description of every AR platform. SAP Cash Application documentation.

When assessing a system, find out how it handles low-confidence matches, short or overpayments, missing remittance information and failed data transfers. Establish which cases are held for review, who resolves them, what actions can post automatically and how the decision is recorded. Confidence ratings or automation claims alone do not tell you where the operational handoff occurs.

What should you check before choosing an integration?

Ask the provider to answer these questions for your exact ERP product, deployment and release. SAP documentation illustrates why: some connections to non-SAP or older SAP systems have functional constraints, two-system master-data replication can require Customer/Vendor Integration and asynchronous distribution, and receivables functions depend on specific interfaces. • Compatibility: Which exact ERP product, deployment type and release are supported? Are any features unavailable for older or external systems?
  • Data coverage and direction: Does the connection include customer and invoice records, open items, payment and remittance details, disputes, and posting outcomes? Which information is read, and which is written back?
  • Timing and failure handling: Is data exchanged continuously, on a schedule or by user action? How are failed transfers surfaced, retried and reconciled?
  • Matching controls: How are confidence levels used? Which thresholds trigger review, clearing or write-offs? What audit trail records the proposal, decision and posting?
  • Master data and entities: How are customer identifiers and other fields mapped? Does the setup support the required legal entities and centralized-payment arrangements?
  • Dependencies and ownership: Which APIs or interfaces, permissions, configuration and licenses are required? Who monitors the connection and corrects exceptions?

For example, SAP’s Cash Application add-on requires a separate license, and its receivables API catalog lists interfaces such as bank-statement posting and dispute management. Confirm the interface, configuration and commercial scope for the edition you intend to use rather than assuming a capability is included. SAP Cash Application documentation; SAP receivables APIs.
