When an AI service closes, your data may be exported, become inaccessible, or be deleted on a schedule set by that provider. There is no industry-wide rule. Treat the shutdown notice as a deadline document: identify the last day you can sign in, the export method, the data included, and when deletion begins. Download important material before access ends, verify the archive, and keep a copy under your control.
The immediate answer: shutdown, access loss and deletion are different events
A provider can stop serving an app while retaining account data for a period of time. Conversely, it can offer a final download window and then permanently delete associated data. Losing the ability to open an app does not tell you whether database records, backups, files or logs have already been erased.

- Service end: the website, app or API stops accepting requests on a stated date.
- Account access end: sign-in or normal features may stop before stored data is deleted.
- Export window: the provider may keep a download route available for a limited period, or may not offer one.
- Deletion date: data is removed according to the shutdown notice, a general retention policy, a contract or applicable law.
Read each date together with its qualification. A notice might cover consumer accounts but not managed workspaces, or a web product but not its API. Do not assume that an export contains every internal record, annotation, safety event, billing item or model-derived artifact.
What a real shutdown timetable can look like
OpenAI’s Sora discontinuation notice is a concrete example, not a rule for other services. It stated that the Sora web and app experiences would end on April 26, 2026, while the API was scheduled to end on September 24, 2026. The notice directed users to export content promptly and said that data associated with Sora use would be permanently deleted after discontinuation and after any final export window, if one could be offered.

The important lesson is the structure: one product can have several end dates and a deletion statement conditional on a final export period. Check whether your provider’s notice uses the same distinctions or sets different ones.

Can you download your chats before an AI service closes?
Often, but only if the provider exposes an export function for your account type and you act before the stated cutoff. In OpenAI’s ChatGPT help material, eligible accounts can request an export from account settings or through the Privacy Portal. Certain managed workspaces do not have self-service export, so a personal-account procedure cannot be assumed to work for an employer or school workspace.

Use the official export route
- Open the provider’s shutdown notice and record the service end date, API or workspace-specific dates, export deadline and any final-download period.
- While signed in, open the account’s privacy or data-controls area and choose the official export command. If the notice sends you to a Privacy Portal, use that portal rather than a third-party downloader.
- Choose the account or workspace covered by the request and submit it before the deadline. Keep the confirmation message or request number.
- Download the archive from the provider’s authenticated link. Do not assume that a request submission means the file has been created.
- Open the archive on a computer, inspect its folders and files, and confirm that representative conversations, attachments and generated media are present where expected.
- Make a second copy in a location you control. An encrypted portable external SSD is one option; choose capacity, encryption and compatibility appropriate to the archive and your threat model.
OpenAI’s export guidance says to contact support if an export has not arrived after seven days. That is a support instruction, not a promise that every archive will be delivered within seven days, especially during a closure when requests may surge.
What an export includes—and what it may leave out
Export labels are not standardized. One service may provide readable HTML or JSON conversations; another may bundle files, metadata or account settings in separate directories. Before relying on an archive, look for the categories named in the notice:
- Conversation text, titles, timestamps and conversation identifiers.
- Uploaded documents, images, audio or other attachments.
- Generated images, video, audio or project files, if the product stores them as downloadable assets.
- Custom instructions, saved preferences, agents, projects or workspace configuration, when specifically listed.
- Account, subscription, billing or audit information, which may be subject to separate retention rules.
A self-service archive is not proof that every internal copy has been supplied. It may omit moderation annotations, security logs, temporary processing files, encrypted backups, model-training records or data belonging to another workspace member. If a business needs a complete record, compare the export description with the contract, data-processing terms and administrator retention policy, then ask the provider to identify excluded categories in writing.

Will conversations be deleted when the app shuts down?
Only the provider’s stated policy can answer that for a particular service. OpenAI’s consumer retention guidance says saved ChatGPT chats generally remain until the user deletes them or a workspace retention policy removes them. When a user deletes a chat, it is scheduled for permanent deletion within 30 days, subject to exceptions such as legal or security obligations and cases where data has already been de-identified.

A closure notice may set a shorter or longer schedule, preserve data for legal compliance, or promise deletion only after a final export window. “Permanently deleted” can also be qualified by the provider’s need to retain information in backups or records required for safety, fraud prevention or law enforcement. Look for those exceptions in the notice and privacy policy that govern your account.
What changes for API users and businesses?
API data handling is endpoint-specific. OpenAI’s developer documentation describes different retention and deletion controls by endpoint and configuration, so a rule for one API cannot be extended to every request, file store or consumer product. Before an API shutdown, inventory the services and endpoints your application actually uses.

- Identify the organization, project and endpoint associated with each dataset.
- Check whether prompts, responses, uploaded files, fine-tuning material, logs and abuse-monitoring records have different retention periods.
- Read the applicable contract, data-processing terms, workspace policy and shutdown notice together.
- Export or re-create application records from your own systems; do not rely on the provider as the only copy of prompts, outputs or customer instructions.
- Ask administrators to preserve audit evidence and revoke API keys after migration or closure.
Enterprise contracts can change the answer from the consumer documentation. A managed workspace may have no self-service export, a negotiated retention period or an administrator-controlled legal hold.
Can you move an AI chat history to another service?
Portability is possible only when the receiving service can interpret the exported format and the provider supplies the needed content. A JSON or HTML archive may be excellent for reading and records management but unusable as an import file. Conversation context can also depend on hidden system instructions, tool calls, file indexes, embeddings, model versions or account settings that are not included in a user download.

In the European Union, GDPR Article 20 provides a right to receive certain personal data in a structured, commonly used and machine-readable format, and to have it transmitted directly to another controller where technically feasible. The right applies to personal data the person provided, when processing is automated and based on consent or contract. It is not a guarantee that every generated artifact, internal annotation or service feature will be exportable, nor that another AI provider must accept the archive. GDPR Article 17 provides erasure rights under specified conditions, with exceptions. The law and the facts of your situation determine whether either right applies.

A shutdown preparation checklist
- Find the primary notice. Use the provider’s official help or status page, and save a copy showing the publication date and scope.
- Map your accounts. List personal accounts, team workspaces, API organizations, shared projects and services that use the same login.
- Write down every deadline. Separate web, mobile, API and workspace dates. Note the last sign-in date and the last export-request date.
- Request the export early. Submit separate requests where accounts or workspaces are separate, and retain confirmation emails.
- Validate the archive. Test that it opens, search several conversations, play or view representative media, and check that filenames and timestamps are usable.
- Preserve two copies. Keep one copy offline or on a separate account, protect both with access controls and encryption, and document who can restore them.
- Capture missing material manually. If an export excludes a critical screen, prompt, project setting or media item, save it through the official interface before access expires, subject to your organization’s policy.
- Handle regulated or contractual data. Ask your privacy contact or counsel whether a preservation request, deletion request, legal hold or data-transfer assessment is required.
- Clean up access. After migration, rotate or revoke API keys, remove browser sessions and update applications that still call the retired service.
How to compare two providers’ shutdown notices
Use the same questions for each service, but record “not stated” when the notice does not answer one. The available public examples do not support ranking providers overall; they show why the details must be compared directly.

Common failure points and what to do
The export button is missing
Check whether you are in a managed workspace, a restricted region or an account type excluded from self-service export. Contact the administrator or use the provider’s privacy-request process while the account is still active.
The archive arrives but appears empty
Confirm that you downloaded the completed archive rather than an email link to a pending request. Re-download from the authenticated portal, inspect the file size and try a current browser or decompression utility. Preserve the original file before modifying it.
Some conversations or files are absent
Compare the missing items with the export’s category description and with separate workspaces or projects. A provider may exclude deleted material, shared content owned by another user, temporary files or data governed by a different endpoint policy. Ask support for a written explanation instead of assuming the items will appear later.
The provider closes before the request completes
Use the shutdown contact address or privacy portal named in the notice, include your request identifier, and state the date you submitted it. For business records, notify your administrator and preserve local copies of data your application already stored.
The practical rule
Assume that access can disappear before you have a usable archive. Export early, verify what the archive actually contains, keep an independent copy, and treat retention, deletion and legal portability as separate questions. The provider’s dated notice and the terms for your account—not a general expectation about AI services—determine what happens next.
