What Google Gemini Gems Can and Cannot Automate

Gemini Gems make recurring requests more consistent, but they do not automate every task. Learn what Connected Apps can do, what they cannot, and how the move to skills affects users.

Google Gemini Gems can automate the repetition in your prompts: save instructions and preferences so Gemini can tailor recurring answers without you restating the same context. A Gem is not, by itself, an unattended agent that can carry out any task on your computer. For selected actions in Google services, you also need a supported Connected App, the right account access and permissions, and an action Google allows.

What a Gem automates: repeatable instructions

Google describes Gems as customized versions of Gemini for repetitive tasks or deeper expertise. A Gem can store goals, preferences, constraints, and a preferred way of responding. Google says, “With Gems, you can create specific and repeatable instructions for Gemini to follow.” That makes a Gem a reusable set of directions—not a guarantee that Gemini will achieve a particular result.

For example, you could specify workout plans that account for physical limitations and available time, recipes that match dietary preferences, or gardening advice tailored to your climate and light conditions. Gemini can use those details to shape its answers without requiring the same background prompt each time. It does not follow from these examples that a Gem can do the workout, cook the meal, or tend the garden for you. Google’s Gems guide explains how to create and use them.

When a Gem can take action in another Google service

To do more than generate a response, Gemini needs access to a relevant Connected App—and the specific operation must be supported. A Gem’s instructions do not grant account access or expand what an app connection is permitted to do. For Workspace services, Google documents Gemini finding, summarizing, and answering questions about information in Gmail, Docs, and Drive; creating, editing, and retrieving Tasks; creating and retrieving Keep notes and lists; and creating or managing Calendar events.

Examples include asking, “What dates did Erik propose in the email about the team offsite?”, “What’s on my calendar today?”, or asking Gemini to find a named resume in Drive and summarize it. These examples illustrate selected operations, not a general ability to manage every file or message. Connected-app availability can differ by account type, Workspace edition, location, language, device, app, and administrator settings. For work or school accounts, the documented integrations include Gmail, Calendar, Chat, Docs, Drive, Keep, Tasks, and Classroom, subject to those conditions. Google’s Connected Apps guide for work and school accounts lists current availability and examples.

In a new conversation, explicitly ask Gemini to use the relevant app or service, or select it with @. Follow-up requests in that same chat do not need the app instruction repeated. For a personal Workspace connection, Gemini and Workspace must use the same Google account and Keep Activity must be on. Work and school users may need an administrator to enable connections; Gmail Smart features may also need to be enabled. Setup and availability can change, so check Google’s current connection guidance for your account.

What the documented Workspace connection cannot do

Google’s Connected Apps documentation sets specific limits. In the documented Workspace integrations, Gemini cannot:

  • Create a Gmail draft or delete a Gmail message.
  • Access comments or images in Gmail or Docs, or photos and videos in Drive. The Drive limitation covers media that is not inside a document, spreadsheet, presentation, or PDF.
  • Create Drive folders, move Drive content, or count Gmail or Drive items and report storage totals.
  • Create, draft, or delete Docs, Sheets, Slides, or PDF files through the connection.
  • In Classroom, enter grades or private feedback, delete or archive assignments or announcements, post assignments or announcements, or create rubrics.

Generating text that you could later copy or export is not the same as Gemini carrying out one of these connected-app actions. Google notes that some excluded outcomes may be possible through other Gemini features, such as exporting a response to Workspace; the available route depends on the feature and account. Consult Google’s service-by-service list of Connected Apps capabilities and limits before relying on a particular action.

How to use connected actions carefully

Connected Apps can return useful information, but Google cautions that Gemini may hallucinate or provide outdated results—for example, it might surface an older email when a newer one exists. Inspect the sources shown with Gemini’s response and open the underlying message, document, or event before acting on a consequential summary. Google’s Connected Apps guidance describes this limitation.

Gems are scheduled to transition to skills

As of Google’s transition notice accessed October 3, 2026, the announced schedule is staged by account type:

Account type Announced transition
Personal Google accounts November 2026
Workspace business, enterprise, and nonprofit accounts March 2027
Workspace education accounts June 2027

Google says existing Gems and supported files will transition automatically. For a manual move, its guidance says to copy a Gem’s name, description, and instructions into a skill. Because these dates and product details are time-sensitive, check Google’s Gems-to-skills transition notice for the status that applies to your account.

Do not assume a migrated skill will behave exactly like the Gem it replaces. Google says skills currently work with some Connected Apps, but not Canvas or Deep Research. Its notice also lists Create video, Create music, Canvas, Deep Research, and Guided learning among default Gem tools that do not work with skills for now. Compatibility may change; Google’s transition guidance is the relevant current reference.
