Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →File conversion changes how information is encoded and represented so it fits a different format. The result may retain the words or images you care about while changing layout, formatting, metadata, embedded features, or even how some characters appear. What survives depends on the source and target formats, the converter and its settings, and the contents of the particular file. Keep the original and check the properties that matter before relying on the converted copy.
Why a converted file can differ from its source
Formats are not interchangeable containers with identical capabilities. Each defines what kinds of content and features it can represent. If the target format has no equivalent for a source feature, a converter may omit it, approximate it, or represent it differently. The result can still be useful, but it is not necessarily a complete replica.

For example, Microsoft says that saving a Word document as plain text removes formatting. It also notes that PDF conversion can move page breaks and that formatting may be lost in some OpenDocument Text (ODT) workflows. Those are examples tied to particular formats and workflows, not a prediction for every file or converter. See Microsoft’s file format reference.
What can change during conversion
Formatting, layout, and pagination
Styles, page dimensions, spacing, headers, and pagination may not map neatly from one format to another. A document can contain the same wording but break across pages differently, or lose formatting entirely when saved to a format that does not support it. If the output must match a printed or approved layout, inspect every page rather than assuming visual fidelity.

Character encoding and text
Text is stored using numeric values that software maps to visible characters. If a program opens or saves text using an incompatible character encoding, letters, punctuation, and symbols can appear incorrectly. If the target encoding cannot represent a character, it may substitute or lose it. Microsoft recommends Unicode in general and explains these compatibility issues in its guidance on choosing text encoding. Check names, multilingual passages, symbols, and punctuation in the converted file.
Metadata and technical properties
Metadata—such as a document’s author field—may not carry over. Technical properties can matter too: an image’s dimensions or an audio file’s duration might be essential even if the file opens successfully. The UK National Archives recommends comparing relevant properties before and after conversion, including dimensions, audio length, and embedded metadata. Its guidance is in Stage 3: Assess and manage risks to digital continuity.

Embedded media and other features
A file may contain more than its most visible content. Library and Archives Canada describes moving-image formats as containers that can hold video, associated audio, and metadata. A converted video that appears to play correctly may still warrant separate checks for its sound and descriptive information. Similar care applies to other embedded objects or interactive features: do not assume they survived just because the main document opens.

- Visual fidelity: Must the layout and pagination match, or is readable content enough?
- Editability: Will the recipient need to revise the file, and does their software support the target format?
- Text coverage and search: Must all characters remain intact, and should text be searchable or selectable?
- Images and media: Do dimensions, audio duration, video, or embedded objects need to remain?
- Metadata: Which author, date, or other embedded fields must be retained?
- Accessibility: Does the file need accessible structure and tagging?
- Preservation: Is the aim a stable long-term copy, and what features does the chosen profile permit?
- Validation: Can you check the important properties and keep the source until the output is accepted?
PDF profiles illustrate why the purpose matters. The Library of Congress describes PDF/A-1 as a long-term preservation profile with standardized metadata and restrictions that exclude audio and video. That makes it unsuitable when those media must remain embedded. The Library of Congress’s PDF/A-1 overview explains the profile. Its broader Recommended Formats Statement identifies preservation-relevant PDF characteristics such as searchable text, embedded fonts, tagging, and image handling.
Accessibility is a separate concern from preservation. RFC Editor RFC 7995 discusses PDF/A-3 with Unicode mapping for RFCs and identifies PDF/UA for accessibility; those recommendations are specific to RFC publication, not universal directions for every document. See RFC 7995, PDF Format for RFCs.

A practical conversion and verification workflow
- Keep a copy of the source. Retain the original for a defined period if it is important or difficult to recreate. The National Archives recommends keeping originals to guard against accidental loss of information or functionality.
- List what must survive. Write down the requirements for this file, such as wording, headings, hyperlinks, formulas, editability, dimensions, audio duration, author metadata, searchable text, accessibility structure, or embedded media.
- Choose the target for its intended use. A fixed-layout copy, an editable working document, an accessible file, and an archival file are not the same goal. Check what the target format and any selected profile support.
- Convert a representative copy and inspect the output. Review pages and formatting; search or copy multilingual text; check relevant images, media, and metadata. Compare specific properties rather than relying only on whether the file opens.
- Keep both versions until the checks pass. Do not discard the source until you have confirmed the converted file is fit for its intended use.
What conversion does not guarantee
Conversion alone does not guarantee identical appearance, complete metadata, preservation of every embedded feature, or compatibility with every recipient’s software. Nor is every conversion necessarily lossy: some workflows can preserve the properties a particular reader needs. There is no converter-independent ranking that can establish the best choice for all files. Test the actual source-to-target workflow and verify the relevant properties before treating the new file as a replacement.
