An AI coworker with authorized email access can search and read messages, expose sender, recipient and date details, summarize threads, extract action items, look up contacts and draft replies. Depending on the mailbox provider, administrator policies and the permissions you approve, it may also mark messages read or unread, move them between folders, change contacts or send mail. Connecting an assistant does not give it more access than your account already has.
The important distinction is between read access and write access. Reading a message and sending one are separate capabilities, often governed by different OAuth scopes, Microsoft permissions, Google Workspace controls or workspace action settings. Treat every write action as an explicit escalation and verify the mailbox after it occurs.

What “email access” actually gives an AI coworker
An email assistant operates through the provider account you connect. It can only retrieve messages, folders, contacts or mailbox features that your account is allowed to use. If you cannot open a shared mailbox or delegated folder yourself, the assistant should not be able to use it as a workaround.
Access can expose more than the visible message body. A search or summary may include sender and recipient addresses, timestamps, subject lines, folder locations, conversation history, contact records and the full text of matching messages. That makes the assistant useful as a searchable work context, but it also means confidential information can enter the assistant’s processing scope.

That OpenAI statement describes the boundary clearly: the connection uses permissions Microsoft has already assigned to your account. Microsoft similarly says that “Microsoft Copilot Chat respects existing Outlook permissions.”
What an AI coworker can do
Search and retrieve messages
Supported Outlook integrations can search a mailbox and retrieve matching messages. Structured filters such as from:, subject: and date ranges make targeted searches possible instead of asking the assistant to inspect everything. The result can include message text and practical metadata such as who sent it, who received it and when it was sent.
For example, a request such as Find messages from finance about the March close between March 1 and March 15 can be narrowed with the provider’s supported search syntax. Search results are still a retrieval aid, not proof that every relevant message was found; confirm the mailbox search yourself when completeness matters.
Summarize conversations
The assistant can turn a long thread into a short account of the decision, unresolved questions, commitments and latest status. This is particularly useful for handovers and project updates, where the newest message may depend on earlier replies.

Ask for a summary with a defined scope, such as Summarize this thread, list decisions in date order, and identify anything still waiting on me. A bounded request reduces the chance that an unrelated message is mixed into the result.
Extract action items and deadlines
Because the assistant can read the thread text, it can identify requests, owners, due dates and dependencies. It can present those as a checklist or table, but the extracted task remains an interpretation of the message. Verify names, dates and responsibility before adding the item to a task system or calendar.
Draft replies
Drafting is normally safer than sending because it leaves the final decision with you. The assistant can use the thread’s context to propose a reply, change the tone, shorten a response or answer several questions in one draft. Tell it what it must not promise, which facts to include and whether the draft is internal or external.
A draft can still contain a wrong date, an unintended recipient or confidential material copied from an earlier message. Review the To, Cc, Bcc, subject, attachments and quoted text in the provider’s compose window before sending.
Perform mailbox actions when enabled
Write operations are conditional. In supported Outlook shared or delegated mailbox scenarios, documented actions include marking messages read or unread, moving messages between folders and sending plain-text mail from or on behalf of the mailbox. Contact-folder actions may also be available when enabled.

Those actions require the relevant Microsoft permissions and workspace settings. A product may support an action in one mailbox context but not another. Deleting mail, sending from a personal account, changing contacts or handling attachments should never be assumed merely because the assistant can read a message.

How Outlook implementations behave
Personal and primary Outlook mailboxes
The OpenAI Outlook Email app documents mailbox search and retrieval, full message text, structured filters, people and contact lookup, and practical requests for finding messages, summarizing updates, drafting replies and extracting action items. The exact actions available to your organization depend on the app configuration and the permissions granted to your account.
Reading a message does not automatically allow the assistant to alter it. Moving, marking, sending or changing contact information requires the corresponding permission and an enabled action. If an action is unavailable, ask for a draft or a list of messages to handle manually rather than attempting the same command repeatedly.
Shared and delegated mailboxes
For supported shared or delegated Outlook mailboxes, OpenAI documents reading messages, browsing folders, marking messages read or unread, moving messages and sending plain-text mail from or on behalf of the mailbox when Microsoft permissions and workspace settings allow those operations.
Attachments in shared or delegated mailboxes are currently limited. A summary that mentions an attachment may therefore reflect only the message text and not the file’s contents. Open the original message and inspect the attachment directly before relying on extracted figures, instructions or approvals.

Microsoft’s shared-mailbox Copilot guidance likewise says that existing mailbox and folder permissions determine access. Some shared-mailbox actions are unavailable or planned rather than generally supported, so availability can differ by product, tenant configuration and rollout stage.
How Gmail and Gemini access is governed
Administrator and content-owner controls
Google Workspace administrators can disable Gemini or block its access to Workspace data, including Gmail messages. Content-owner permissions also constrain what can be accessed. A user’s ability to open a message is therefore necessary but not always sufficient if an administrator has restricted the feature.
Google’s Workspace guidance says: “An administrator can use security settings to restrict” Gemini access to Workspace data, including Gmail messages. If Gemini cannot see a message that you can open, the cause may be an organizational policy rather than a mailbox error.
OAuth scopes and high-risk actions
Google administrators can restrict third-party apps and specifically limit high-risk Gmail scopes. Google gives sending mail as an example of a high-risk scope. This creates a useful separation: an organization can allow an assistant to read or search mail while blocking the ability to send it.

Check whether the requested scope includes sending, deleting or other write operations, and ask an administrator to narrow it when the provider supports that choice.
Workspace data handling
Google states that Workspace data used with Gemini remains under the user’s control and is not used to train or improve the underlying generative AI and large language models that power Gemini, Search and other systems outside Workspace without permission. That statement describes Google’s Workspace policy; it does not remove the need to review your organization’s retention, access and administrator rules.

- Identify the mailbox context. Decide whether you are connecting a personal mailbox, a primary work mailbox, a shared mailbox or a delegated folder. Shared and delegated access can have different action and attachment limits.
- Start with the minimum useful scope. If your goal is search, summaries or drafts, begin with read access. Do not enable sending, moving, marking or contact changes unless the workflow requires them.
- Review the consent and admin controls. Look for the provider’s requested mail and contact scopes, your organization’s blocked-app policy, high-risk Gmail scope restrictions, Microsoft permissions and any enabled action toggles.
- Check sensitivity exclusions. OpenAI documents workspace safety controls that can exclude Outlook messages carrying selected sensitivity labels. Confirm which labels are excluded before assuming the assistant has a complete mailbox view.
- Run a narrow test search. Use a known sender, subject and date range. Compare the assistant’s result with the mailbox’s own search and confirm that it selected the intended account.
- Use drafts before sends. Ask for a draft and review recipients, claims, tone, quoted text and attachments in the normal compose interface.
- Enable one write action at a time. If your organization permits it, test a low-impact operation such as marking one known message read. Do not turn on every action at once.
- Verify consequential changes in the mailbox. Check the folder, read state, Sent Items and From address after any move or send. If the result is missing or ambiguous, investigate before repeating the command.
- Document the operating boundary. Tell colleagues whether the assistant may draft only, send on your behalf, manage a shared mailbox or access contacts. This prevents an apparently routine prompt from being treated as authorization for a new action.
Common failure modes and what to do
The assistant returns no messages
- Confirm that the correct account or mailbox is connected.
- Remove an overly narrow sender, subject or date filter and test a known message.
- Check whether an administrator blocked the app or Gemini access to Workspace data.
- For Outlook, check whether sensitivity-label exclusions or folder permissions limit the result.
A shared mailbox result is incomplete
Shared and delegated support can differ from primary-mailbox support, and attachments are currently limited in the documented Outlook scenario. Open the message in Outlook, inspect the folder and download or review the attachment directly. Do not infer that an absent attachment means the sender omitted it.
Sending is refused
A refusal usually indicates that the send scope, Microsoft permission, Google high-risk scope or workspace action setting is missing. Ask for a draft instead. An administrator must decide whether sending is appropriate; repeatedly retrying the same command will not create permission.

The wrong messages were moved or marked
Stop and inspect the mailbox before issuing another command. Compare the assistant’s selection with the original search, then use a smaller filter or handle the messages manually. Broad natural-language requests can describe intent without uniquely identifying a set of messages.
The assistant claims an action succeeded but the mailbox disagrees
Trust the mailbox state, not the conversational confirmation. Refresh the folder, check Sent Items or the message’s read state and review any provider activity record available to you. Treat an ambiguous result as incomplete until verified.
Practical prompts that keep control with you
Specific prompts make the assistant’s boundary easier to inspect:
Find unread messages from the procurement team received this week. Do not change their status.Summarize this thread in five bullets. Separate confirmed decisions from open questions.List action items assigned to me, with the exact due date quoted from the message. Do not create tasks.Draft a reply asking for the missing invoice number. Do not send it.Show the messages you would move to the Project Archive folder, but wait for confirmation.Prepare a plain-text reply from the permitted shared-mailbox address and show me the full recipient list before sending.
The last example should be used only where the mailbox, Microsoft permissions and workspace settings explicitly permit sending from or on behalf of that shared mailbox.
Questions to settle before deployment

What an AI coworker cannot safely be assumed to do
- It cannot bypass Microsoft sharing, delegation or folder permissions.
- It cannot send mail merely because it can read mail.
- It cannot guarantee that a broad search found every relevant message.
- It cannot be assumed to read attachments in every shared or delegated mailbox context.
- It cannot turn an unavailable or planned provider feature into a supported one.
- It should not be treated as the final authority for a deadline, recipient, approval or compliance decision.
Bottom line
An AI coworker can make an authorized mailbox searchable and turn threads into summaries, drafts and action lists. The safe operating model is read first, write later: grant only the scopes needed, keep administrator and sensitivity controls in force, review drafts, and verify every move or send in the mailbox. Outlook and Gmail implementations differ by account type, provider permissions and rollout status, so capability must be checked in the exact work context rather than inferred from the product name.
