A useful project task description tells the assignee what result to produce, why the work matters, what requirements and materials apply, and how someone will confirm it is done. Pair it with an action-first title, one accountable owner, and a due date. Add dependencies, constraints, assumptions, and an estimate when they affect the work.
What belongs in a project task description?
Use the description to make the task actionable without copying the whole project plan into it. A reader should be able to understand the purpose, expected output, relevant boundaries, and completion check before work begins. Keep broader project context in a shared plan and link to the parts that matter.

Start with an action and outcome
Make the title say what someone will do and what result is expected. For example, “Add password-reset confirmation to the sign-in flow” is more informative than “Password reset.” Use the description to explain which part of the product or project is affected and why the work is needed.

Include context and requirements
Briefly state the objective and link to the source request, user story, specification, or decision. Record functional and non-functional requirements, assumptions, constraints, and exclusions only when they change how the task should be done.

Name the deliverable and define done
Say what the assignee is expected to produce, then describe observable acceptance or exit criteria. A criterion should let the assignee and reviewer agree on completion before work starts. The Project Management Institute’s Disciplined Agile task-writing guidance states: “Every task must have an exit criteria so that the developer knows when the task is done.”
Link dependencies and materials
Identify prerequisite tasks, blockers, designs, files, and reviewers that the assignee needs. Attach or link supporting material in a stable location, and make the relevant source easy to find rather than relying on informal messages.

Make ownership and timing visible
Assign one accountable owner and set a due date; add a start date if the work spans multiple days. Add collaborators when they need visibility or input, but keep responsibility clear. Asana’s task-writing guidance frames the useful basics as being able to answer “who’s doing what by when?”

Include an estimate if the team uses estimates, and break the work down enough for an individual or small team to complete it in a manageable period. PMI Disciplined Agile suggests one to several days in its own context; that is guidance for that method, not a universal task-length rule.

A reusable task-description template
Copy the fields that help with this work and omit those that do not:
- Action and outcome: Verb plus a concrete result.
- Context / source: Why the task exists; link to the brief, user story, or decision.
- Requirements: Relevant needs, constraints, assumptions, and exclusions.
- Deliverable: What will be produced.
- Done when: Observable acceptance or exit criteria.
- Dependencies / materials: Prerequisite work, files, links, and reviewers.
- Owner / due date / estimate: Accountable person, timing, and estimate if used.
What should stay in the project plan?
Do not paste a project charter into every task. Overall objectives, total scope, project-wide exclusions, major risks, budgets, milestone schedules, resource plans, and sponsor approvals usually belong in a project plan or shared reference. Link the relevant section from a task when it affects the work. Smartsheet’s project-definition templates treat objectives, tasks, scope, constraints, schedule, risks, and roles as parts of the wider project definition. Asana also recommends making the task the source of truth for its own outcome and splitting distinct deliverables into separate tasks.

Why task detail matters for estimates
A 2021 study of 121 Agile practitioners across 25 countries examined what information they considered useful for effort estimation. Among the 117 respondents who used documentation, the study authors reported that 98% rated documented information moderately to extremely important for estimating effort. The authors also reported that 73% would re-estimate at least half the time if documented information changed before work began. These are survey results from the study’s practitioner sample, not a universal measure of team behavior.

The six information types ranked most useful in that study were functional requirements, user stories, definition of done, UI wireframes, acceptance criteria, and task dependencies. Respondents also reported that useful details could be missing or change, so review task information before relying on an estimate.

How much detail is enough?
Include information that affects execution, coordination, or estimation. A clear, maintained task description matters more than using a particular software tool or filling every possible field. If a task needs a long explanation of unrelated project decisions, keep those details in a shared reference and link only the relevant context. Adapt the fields to the task’s risk and complexity; there is no single mandatory template.
