Use video meeting software when people usually join individually from their own computers or phones. Consider a dedicated conference-room system when several people regularly meet together and need room-scaled audio and video, shared controls, and a reliable way to join from that space. They are not mutually exclusive: many organizations use meeting apps on laptops while equipping only their busiest rooms with dedicated systems.
What is the difference?
Video meeting software is the service and app people use to host or join calls. A conference-room system is an installed setup for a shared space. It may combine room software with a controller, camera, microphones, speakers, and a display. Zoom describes Zoom Rooms as a software-based room system, illustrating how a room solution can be software-led while still using dedicated hardware (Zoom Rooms setup guide).

Room systems vary by form factor. Google describes all-in-one touchscreen devices for personal or small collaborative spaces, and room kits for conference rooms that connect to a separate display and include a controller, camera, and microphone. Other accessories depend on the kit (Google Meet hardware).
When is meeting software enough?
- People generally join calls from individual laptops or phones.
- Shared rooms are used for calls only occasionally and do not need dedicated controls or managed room peripherals.
- Existing displays, cameras, microphones, or speakerphones meet the room’s real needs.
- You want to avoid purchasing and maintaining room-specific equipment until regular use justifies it.
These are practical decision guidelines, not a guarantee that a software-only setup will suit every organization. The key question is whether people can participate comfortably using the equipment already available.

When should you consider a dedicated room system?
- Several people regularly meet in one room with remote attendees.
- The room needs microphone coverage across the seating area, a camera that frames participants, and one or more displays.
- People would benefit from shared room controls, calendar-linked joining, or organization-wide administration of room devices.
- Your organization can manage purchasing, installation, network configuration, updates, compatibility, and support.
A room system can make joining and participating easier for groups, but it also creates operational work beyond installing an app. Zoom’s setup guidance includes room planning, furniture, power, cabling, network and hardware checks, administrator access, and optional calendar integration (Zoom Rooms setup guide).

| Area | Questions to answer |
|---|---|
| Room and seating | How many people use the room? Where do they sit? Are there secondary seating areas? |
| Audio pickup | Can microphones cover every participant? If multiple microphones are needed, will their coverage overlap appropriately? |
| Camera and displays | Can the camera frame the room? Is one display sufficient, or would separate content and participant displays help? |
| Meeting platform and calendars | Which meeting service is standard? Which calendar system schedules the room? Does the setup support the integrations you need? |
| Interoperability | Which outside meeting services must the room join, and which features work in the particular joining mode? |
| Existing equipment | Can you reuse current displays, cameras, or audio devices, or does the solution require a controller, computer, peripherals, or new screens? |
| Operations | Who owns updates, firmware, room permissions, network readiness, troubleshooting, and user support? |
| Cost over time | Compare license, hardware, installation, support, replacement, and maintenance costs over a common period for the same room configuration. |
How room size and layout affect equipment
Choose equipment for the room’s layout and seating, not just its advertised capacity. Microsoft’s Teams Rooms guidance addresses display arrangements, seating, microphones, speakers, and peripherals. In the configuration described in that guidance, it recommends placing a microphone within 7.5 feet (2.3 meters) of each participant; actual requirements can differ by room and microphone manufacturer. Treat that distance as planning guidance, not a universal specification (Microsoft Teams Rooms deployment guidance).
Recommended Free Tools
For larger Teams Rooms, Microsoft says more microphones and speakers may be needed; glass walls and similar surfaces might call for in-ceiling speakers. Its guidance also discusses single- and dual-display arrangements and overlapping microphone coverage. Follow the applicable manufacturer specifications and room-design requirements.

Google positions all-in-one touchscreen devices for personal or small collaborative spaces and room kits for small through large conference rooms. Kits connect to a separate display and include a controller, camera, and microphone, while other accessories vary by kit (Google Meet hardware).
What certification and interoperability do—and do not—tell you
Certification is not a blanket compatibility guarantee
Microsoft says its Teams Devices Certification Program checks requirements for hardware design and performance, but does not evaluate feature-level or cloud-environment support. In other words, certification alone does not prove that every desired feature or external meeting service will work in your specific setup. Check the certification scope and validate the functions you need (Microsoft Teams Rooms certified systems and peripherals).

Check the specific path into outside meetings
Google says Meet hardware can join Zoom or Cisco Webex meetings and describes built-in Cisco Webex interoperability and Pexip paths for compatible third-party systems. Its overview also describes supported routes for other systems to join Meet calls. Confirm that the exact device, service, and meeting route you plan to use are supported (Google Meet hardware).
Zoom lists native interoperability routes for Zoom Rooms with Microsoft Teams and Google Meet, as well as Conference Room Connector support for SIP/H.323 endpoints. But feature availability depends on the route. For example, Zoom Support says direct wireless sharing from the Zoom desktop app through a Zoom Room is unavailable while that room is in a Google Meet meeting. For Zoom Rooms joining Teams through SIP interoperability, available features vary by Cloud Video Interop provider, and Teams meeting chat does not interoperate in the described route (Zoom Conference Room Connector; Zoom Rooms interoperability with Google Meet; Zoom Rooms interoperability with Microsoft Teams).

Before committing, verify the precise hardware, service, license, meeting features, and third-party dependencies involved. An interoperability label does not necessarily mean that all controls and features behave as they do in a platform’s native room system.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What does a room system cost?
There is no apples-to-apples lifecycle-cost comparison established here for software-only meetings versus dedicated room deployments. Costs depend on the room, region, plan, hardware, installation, support, and procurement terms, so compare complete configurations locally rather than equating one service price with the cost of a room.
As one specifically scoped example, Zoom’s Conference Room Connector page lists $49 per port per month. That is the vendor-listed price for that connector service, not an all-in price for a conference room or a comparable total for Teams Rooms, Meet hardware, or Zoom Rooms. Check current terms before relying on the figure (Zoom Conference Room Connector).

A practical decision
- Start with meeting behavior. If people mostly join individually, begin with meeting software and the equipment they already use.
- Identify rooms with recurring group calls. For each candidate room, map seating, microphone coverage, camera framing, and display needs.
- Check platform requirements. Confirm the meeting service, calendar integration, and any required routes into outside meetings, including limitations on features.
- Plan the deployment. Account for power, cabling, network readiness, administrator access, permissions, hardware checks, updates, and ongoing support.
- Compare like with like. Include licenses, room hardware, installation, support, replacement, and maintenance over the same period and for the same room configuration.
