Turn a Simple Task List Into a Mini Excel Dashboard

Turn a two-column Excel task list into a simple dashboard with checkbox statuses, automatic counts, and a completion percentage.

Yes—you can turn a two-column Excel list into a lightweight task dashboard that counts completed and pending tasks and shows progress. The setup uses an Excel table, in-cell checkboxes, and a few formulas. Tony Phillips’s How-To Geek article estimates the build at 10 minutes; that is an estimate, not a guaranteed time for every workbook or Excel version.

What this Excel task tracker does—and what it leaves out

The tracker pairs task names with checkbox statuses, then displays the total, completed, pending, and completion percentage. It is useful when you want a live count without adding a separate task-management system. Phillips frames the motivation as: “Lots of task-tracking software is costly and comes with more features than you need.” That is the author’s framing, not a general price comparison.

This design does not include due dates, reminders, task owners, recurring tasks, or categories. If you need those, a two-column checklist may not be enough.

Check whether your Excel version supports in-cell checkboxes

Microsoft’s checkbox documentation lists Excel for Microsoft 365 and Excel for Microsoft 365 for Mac. Availability can depend on the app and its current version, so check your own Excel interface before following the checkbox steps. Microsoft says a checked checkbox has the value TRUE and an unchecked checkbox has the value FALSE; those values let formulas count statuses directly.

Build the task table

  1. Open a blank worksheet. Enter Task Name in D4 and Status in E4.

  2. Type one task per row beneath the headers, leaving the Status cells beside the tasks.

  3. Select the header and task range, then use Insert > Table. Confirm that the table has headers.

  4. Give the table the name T_Tasks. In Excel, select a cell in the table and use the table-name field on the Table Design tab to set the name.

  5. Select the cells in the table’s Status column and insert checkboxes using Excel’s checkbox command, if it is available in your edition.

The table name and column headers matter: the formulas below refer to T_Tasks, Task Name, and Status. Microsoft explains that structured references use table and column names and adjust as table data is added or removed: Using structured references with Excel tables.

Add the dashboard counts and progress

Put dashboard labels in convenient cells outside the table, such as Total, Completed, Pending, and Progress. Enter the corresponding formulas in nearby cells. These formulas assume the table name and headers match the setup above:

  • Total tasks: =ROWS(T_Tasks)

  • Completed: =COUNTIFS(T_Tasks[Status],TRUE)

  • Pending: =COUNTIFS(T_Tasks[Status],FALSE)

  • Progress: divide the completed count by the total count—for example, if those dashboard values are in B2 and B1, use =B2/B1.

Format the progress cell as a percentage. Because progress divides by the total number of table rows, deleting completed tasks removes them from both the total and the percentage calculation. If you want a record of completed work, leave those rows in the table and clear or archive them separately rather than deleting them.

If you may remove every task row, prevent a division-by-zero result by using a guarded formula such as =IF(B1=0,0,B2/B1), where B1 contains the total and B2 contains the completed count. Change those references to match your dashboard cells.

Mark completed task names

Use conditional formatting on the Task Name cells so a row looks completed when its Status checkbox is TRUE. Set the format to gray text with strikethrough. This makes the checklist easier to scan without removing completed work from the table.

Show progress as a data bar

Apply conditional formatting with a data bar to the progress cell. Set its minimum to 0 and maximum to 1 so the bar represents the full range from zero to 100 percent.

Clear worksheet gridlines

Turn off gridlines from Excel’s View tab to give the list and dashboard a cleaner, app-like appearance.

Check the tracker as you use it

  • Toggle a Status checkbox and confirm the completed and pending counts change.

  • Add a task as a new table row and confirm the total updates.

  • Check that the progress percentage and data bar respond to status changes.

Structured references are designed to adjust as table rows change, but check that your formulas reference the intended table and columns if the counts do not respond.
