Time Tracking for Salesforce: Choosing an App and Workflow

Salesforce time tracking can mean timers, batch entry, weekly timesheets, approvals, project planning, or PTO workflows. Compare three AppExchange listings and learn what to verify before installing.

To track employee time in Salesforce, choose an app that matches how your team records work, which Salesforce records receive hours, and whether you need timesheet approvals, project planning, invoicing, PTO, or attendance. AppExchange listings range from focused time-entry tools to broader project-operations products; compare their stated features and verify them in your Salesforce environment before committing.

What Salesforce time tracking can include

“Time tracking” is not one workflow. A team might start and stop a timer while working, enter hours later in a timesheet, or record several entries at once. It may then allocate those hours to Salesforce records and report on them. Other teams need approvals, project staffing, billing, or leave management as well.

The three AppExchange listings below describe different scopes. Their feature descriptions come from the vendors, and similarly named features should not be assumed to work the same way across apps.

C323 Time Tracking: flexible entry and allocations

The C323 Time Tracking listing describes stopwatch, calendar, and batch-entry options, plus reporting and allocations. Compare it against your actual need to assign hours to Salesforce records and review capacity; the listing alone does not establish how well a particular workflow fits your org.

PK4 Time Tracker: time capture alongside project operations

The PK4 Time Tracker listing describes a broader professional-services workflow, including project and resource planning, timesheets, approvals, expenses, PTO, and invoice generation. If your goal is only to capture hours, assess whether these additional functions are useful rather than assuming they are required.

How to choose a workflow

Start with the work your team needs to capture, then map that need to the app’s documented behavior. Use these questions in a short requirements checklist:

This smart attendance clock auto-calculates work hours accurately, reduces manual errors, ensures fair payroll, and lowers daily admin costs.

All saved data syncs automatically once the internet is restored, ensuring zero data loss at all times.
  • Paperless Time Clock: No more paper time cards, ink, or regular replacement supplies required. All attendance records are securely stored digitally in the system, making payroll processing faster and simpler for your team. It creates a cleaner, greener workplace for your business.
  • Entry: Do employees need a stopwatch, manual entries, calendar entry, batch entry, or a mix?
  • Allocation: Which Salesforce records should receive time, and can the app associate entries with the records your team actually uses?
  • Cadence and approvals: Are entries submitted daily, weekly, or on another schedule? Who reviews them, and what happens when a timesheet is rejected?
  • Time categories: Can users distinguish billable from non-billable work or record the categories your reporting requires?
  • Adjacent operations: Do you need project planning, resource capacity, invoicing, payroll-related exports, PTO, attendance, or leave requests? Confirm the specific workflow rather than relying on feature names.
  • Access and cost: Is mobile support needed? What Salesforce product and edition are required, and what will the total cost be for your team?

For example, a team that mainly needs hours against Salesforce records and reports can focus its evaluation on entry methods, record allocation, and reporting. A services team that also plans project staffing or invoices may need to assess the broader project workflow. A team centered on weekly submissions and leave administration should verify those specific timesheet and PTO processes. These are evaluation paths, not independent product rankings.

Verify requirements before installing

Compatibility is a practical constraint: an app may require a particular Salesforce product, edition, or feature. Salesforce Trailhead identifies compatibility as a technical consideration. Review Trailhead’s AppExchange strategy guidance and check the app’s current listing requirements against your org.

  1. Check the listing requirements. Confirm the Salesforce product and edition, prerequisites, and any other stated requirements for the app.
  2. Test in a sandbox. Set up representative users, Salesforce records, entry methods, approval routes, and reports. Verify the result against your actual process before production use.
  3. Confirm workflow details with the vendor. Ask about behavior the listing does not make clear, including your required record types, billable categories, approval rules, exports, and mobile needs.
  4. Review the full cost and operating fit. Confirm current pricing and limits, then consider whether the app’s scope is appropriate for the users who will maintain and use it.

Salesforce’s AppExchange FAQ advises buyers to verify listing requirements and test functionality before installing an app into a production Salesforce instance. A sandbox evaluation can reveal whether the stated features support your own records and approval process; the listings do not establish independent security audit results, implementation effort, usability, or integration quality.
