For a mixed team, the best documentation platform depends on who needs to edit not just the words, but also navigation and structure. Theneo and ReadMe are worth evaluating when API references and visual authoring matter; GitBook is a candidate when non-engineers need broad visual control over site structure; Mintlify suits teams that prefer a developer-led, repository-centered workflow. Those are workflow-based starting points drawn from vendor documentation, not results of hands-on testing.
Start with the workflow your team needs
The central choice is how writers, engineers, product managers, and support staff make and review changes. A visual editor can reduce engineering handoffs, while docs-as-code keeps documentation changes closer to a repository and its review process. Git support alone does not settle the question: check where each kind of change is made and who can approve it.

- Choose for visual structural editing if non-engineers need to change navigation, page organization, or presentation without waiting for a pull request.
- Choose for a repository-centered process if engineers already manage documentation alongside code and review changes through Git.
- Choose for API-specific tooling if generated endpoint references, specification imports, or interactive API exploration are central to the project.
Before committing, test your own contribution pattern: have a writer edit a page, a product manager reorganize a section, and an engineer review a change. Confirm whether those actions happen in a browser, an IDE, a repository, or more than one place.
How the four platforms approach mixed-team authoring
Theneo
Theneo describes a portal for API references, guides, changelogs, and private customer documentation. Its quickstart documents dashboard and CLI routes, imports for API specifications and Markdown, AI-generated endpoint and parameter descriptions, templates, branding, public or private publishing, custom domains, and API Explorer. It also describes real-time co-editing, Markdown and WYSIWYG editing, comments, section-level access, collaborators, and two-way GitHub sync. These are vendor-documented capabilities; confirm which apply to the plan and workflow you would use. Theneo documentation
#1 Best Overall
Theneo says Personal workspaces cannot invite teammates or share private projects, while Corporate is described as included free. Because workspace and plan limits can change, verify the current terms before relying on that distinction. Its homepage also lists SOC 2 Type II, ISO 27001 and 9001, GDPR compliance, EU data residency availability, and self-hosting availability. Treat those as vendor statements and request current evidence for any procurement or security requirement.
ReadMe
ReadMe describes browser-based WYSIWYG authoring alongside Git and IDE workflows, with branches and review or merge steps. Its product materials also describe reusable components, OpenAPI-generated API references, and a visual API Designer for teams without an OpenAPI specification. Other advertised features include an API Explorer, AI Writer, AI linter, proposed documentation updates from code changes, and MCP. Check current plan availability and technical limits rather than assuming every capability is included. ReadMe product information
GitBook
GitBook’s vendor-authored comparison with Mintlify describes a visual editor for content, navigation, structure, and theming, plus bidirectional Git sync that carries editor changes back to the repository. That combination may suit teams where non-engineers need to change information architecture while engineering still wants repository synchronization. The comparison is written by GitBook, not an independent assessment. GitBook’s comparison with Mintlify

Mintlify presents a developer-focused workflow with CLI and local preview, a web editor, components, and features for API documentation, agent and assistant documentation, MCP, and llms.txt. GitBook’s comparison characterizes Mintlify’s web editor as content-focused, with structural and navigation changes handled through repository configuration. That comparison is vendor-authored by GitBook, so validate the editing boundaries against Mintlify’s current documentation and a trial workflow. Mintlify also documents Markdown export. For API documentation, examine the full lifecycle
API-specific features are not interchangeable. A generated reference may save authoring time, but the important question is whether it stays accurate as the API changes and whether readers can use it to understand or try requests.
- Specification coverage: Theneo describes imports for REST/OpenAPI, SOAP, GraphQL, gRPC, AsyncAPI, and Postman or Insomnia collections. ReadMe describes API references generated from OpenAPI and a visual API Designer for teams without an OpenAPI specification.
- Reader interaction: Both vendors describe API Explorer capabilities. In an evaluation, check how authentication is configured and whether a reader can safely try requests against the intended environment.
- Generated content and maintenance: Inspect how endpoint descriptions, examples, parameters, and responses are produced, edited, and regenerated. Confirm what happens when a specification changes and how reviewers see those changes.
- Change synchronization: Ask whether the specification, code, and published reference can drift apart, and who owns resolving discrepancies.
The documented feature lists establish that these tools offer API-focused capabilities, not how well they perform against your particular specification, authentication model, or release process.

Compare the listed prices carefully
The figures below were listed on vendor pricing pages observed in 2026. They are not guaranteed future prices, and the plans do not establish equivalent seat, project, site, feature, or support allowances.

|---|---|---|
| Theneo | Business: $150/month | Pricing page lists up to seven projects and 50 team members alongside AI and branding capabilities. Confirm current billing terms and limits. Theneo pricing |

| GitBook | Essential: $65/site/month; Ultimate: $249/site/month; $12/user/month | These were listed under annual billing. The page also lists a free tier, unlimited published page views, and included AI credits by paid tier. Verify current terms and included usage. GitBook pricing |
| Mintlify | Starter: $0; Pro: $450/month | Starter was listed with five editor seats and features including custom domain, web editor, authentication, MCP server, and API playground. Confirm current plan boundaries and Pro billing cycle. Mintlify pricing |
To estimate comparable cost, price the team’s actual seat count, number of sites or projects, private documentation needs, API usage, AI credits or overages, analytics, and support level. A headline monthly price alone cannot show which platform costs less for your configuration.

Use governance needs as a separate decision gate
Do not assume that collaboration features answer security and compliance questions. If documentation contains private customer or product information, verify requirements directly against current vendor documentation and procurement evidence.
- Ask how private portals and access at the section or project level work for the required plan.
- Confirm SSO, audit trails, data residency, and self-hosting availability if they are mandatory.
- Request current security documentation and clarify which organization, service, and deployment it covers.
- Check whether permissions apply consistently across browser editing, Git synchronization, preview environments, and publication.
Theneo’s homepage makes compliance and deployment claims, including SOC 2 Type II, ISO 27001 and 9001, GDPR, EU data residency availability, and self-hosting availability. Those statements are a reason to request evidence, not a substitute for verification.
A practical shortlist by team shape
- API-focused team with visual editing needs: Start an evaluation with Theneo or ReadMe. Compare the required specification formats, reference generation, interactive exploration, authentication, and update workflow using a representative API.
- Writers or product staff must manage site structure visually: Include GitBook and test navigation and structural edits by non-engineers. Its comparison with Mintlify describes a broader visual structural editing surface.
- Developer-led team that wants repository-centered structure changes: Include Mintlify and test its CLI, local preview, web editor, and configuration workflow with the team’s actual Git review process.
- Mixed needs across all these areas: Run the same small publishing exercise on shortlisted platforms rather than selecting from feature lists. Track who can make each change, where review occurs, how synchronization behaves, and which plan contains the needed features.
These are conditional evaluation paths based on vendor-described workflows, not independent product rankings or tested outcomes.
