Choose based on whether you need a central web-accessible cloud or only device-to-device sync, whether you are willing to operate a server, how the mobile clients behave, and who will handle storage, backups, sharing controls, and recovery. If you rely on Microsoft Office collaboration or account-linked sharing, check those workflows separately rather than assuming a replacement will reproduce them.

What “free” means for a cloud replacement
Free software is not necessarily free storage
Nextcloud provides self-hosted server software and also points users to providers. With self-hosting, you supply the server environment and storage and handle configuration, updates, administration, and backups. With a provider, the provider runs the service, but storage limits, availability, geography, prices, and terms depend on that provider. Nextcloud’s product page describes the software and provider route, but does not establish unlimited free hosted storage: Nextcloud Files.

Self-hosting has real operating requirements
The Nextcloud 36 administration manual lists supported server operating systems, databases, web servers, PHP versions, and memory guidance. It gives 128 MB RAM per process as a minimum and recommends 512 MB per process; these are per-process figures, not a complete server sizing recommendation. Actual memory needs vary with the number of users, apps, files, and activity. Review the Nextcloud system requirements before choosing hardware or a hosting environment.

ownCloud illustrates the same distinction: its pricing page labels Community “Basic & free” and describes it as self-managed and on-premises, while enterprise support and hosted ownCloud.online packages are distinct paths. For Seafile, verify current plan details directly; current limits and terms are not established here.
What Nextcloud can replace—and where it differs
Desktop and mobile access
The Nextcloud 36 user manual recommends its sync client for Windows, macOS, and Linux. Files in a synced local directory synchronize with the server and other desktop clients. The manual also points to Android and iOS clients, but notes that bidirectional sync has not yet been fully implemented in the Android client. If two-way mobile syncing is essential, test that behavior with your own devices before moving your main files.

Sharing controls
Nextcloud documents sharing with public links, users, groups, circles, Talk conversations, and users or groups on federated Nextcloud servers. Public links can be read-only or allow upload and editing, and can have password protection and expiration dates. File Drop lets recipients upload into a folder without seeing the files already there. These are available product capabilities, not a guarantee that every server administrator has enabled each option. See the Nextcloud sharing manual.

Collaboration and Microsoft integrations
Nextcloud describes collaboration features and integrations with Microsoft environments, including Office Online-related options. Treat these as integration capabilities: they do not establish that a free Nextcloud setup duplicates every Microsoft 365 feature, or that integrations need no additional licensing or configuration. Confirm the specific editing and collaboration workflow you depend on.

When Syncthing is the better choice
Syncthing is a continuous file synchronization program for two or more computers. Its project site says data remains on participating computers rather than being stored on a central server, and describes communication protected by TLS and device identification using cryptographic certificates. It is open source and supports desktop systems including Windows, macOS, and Linux.
That model suits people who want selected folders kept in sync across their own computers or trusted peers and can keep those devices available. It is not a direct substitute for a hosted OneDrive account: it does not offer the same central browser file portal or ordinary public-link sharing workflow. Choose it for peer-to-peer folder sync, not because you expect a OneDrive-style cloud service.

How to switch without risking your files
Official product documentation describes features and supported environments; it does not guarantee that a move transfers every OneDrive version, permission, shared link, or Microsoft-specific behavior. Treat a replacement as a workflow change to validate, not a promise of a lossless migration.

- Inventory your use. List devices, shared folders, files you need offline, and any account-linked sharing or Office collaboration workflows.
- Choose the service model. Decide between self-hosting, which makes you responsible for operation and backups, and a provider-hosted service, whose limits and terms you should review.
- Trial a representative subset. Copy a small mix of files and folders, then check filenames, folder structure, sharing behavior, and access from your desktop and mobile devices.
- Set up a separate backup and recovery plan. Synchronization keeps copies aligned; it is not, by itself, a backup strategy.
- Keep the OneDrive copy until checks pass. Do not remove the original until you have verified the new copy and the workflows you depend on.
