Teams Meeting Transfer: Refresh the Meeting and Review Its Settings

An Exchange Online transfer changes calendar ownership, not the associated Teams meeting organizer. The new organizer must update Teams meeting information and review the event’s options.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Transferring a meeting in Exchange Online does not transfer its Teams online-meeting organizer. After an Exchange administrator changes the calendar organizer, the new organizer should update the meeting series with new Teams meeting information, then check the meeting’s options and participant roles. The calendar transfer and Teams meeting update are separate steps.

What changes when an Exchange administrator transfers a meeting?

Microsoft’s Invoke-ChangeMeetingOrganizer documentation warns: “For Teams-enabled meetings, changing the meeting organizer doesn’t update the organizer of the associated Teams online meeting.” The cmdlet transfers calendar ownership; it does not, by itself, update the Teams meeting organizer or refresh the Teams meeting information.

An Exchange administrator can apply the change to a meeting or recurring series beginning with its next occurrence or a specified future date. Earlier instances in a series remain on the original organizer’s calendar. The cmdlet is cloud-only, requires assigned permissions, and may not be enabled in every organization.

How should the new organizer update Teams meeting information?

  1. Confirm the calendar transfer. Ask the Exchange administrator to verify the meeting or series has been transferred and that the intended occurrence is now under the new organizer’s calendar ownership.
  2. Open and update the series. The new calendar organizer should manually update the Teams-enabled series with new Teams meeting information. Microsoft says this is needed so the new organizer can join and manage the online meeting.
  3. Check the invitation and attendee experience. Review the updated meeting details and ensure participants have the current information they need. Do not assume that the previous join link or every Teams meeting asset is preserved by the calendar transfer.
  4. Open the meeting’s options. In Teams, open the event in the calendar, choose View event, then Options. Review the available settings before the next occurrence.

Microsoft’s Outlook support guidance says the Outlook Change organizer feature does not currently support online Teams meetings. That is a separate Outlook feature from the Exchange Online administrative cmdlet: neither statement means that an Exchange calendar transfer automatically changes Teams meeting ownership.

Which Teams settings should the new organizer review?

In the event’s Options panel, check the controls that affect how the meeting will run. Depending on the meeting type, tenant policy, and license, these can include:

  • Who can bypass or manage the lobby.
  • Who can present.
  • Recording and transcription controls.

Microsoft explains that administrators control meeting defaults, while organizers can adjust settings for an individual meeting subject to policy and meeting-type limits. Some recording and transcript access controls require Teams Premium or a Copilot license; some options are not available for particular meeting types. See Microsoft’s Teams meeting settings guidance and meeting options support page for the controls available in your environment.

Can a co-organizer take over instead?

A co-organizer can help manage the meeting and change meeting options, but does not replace the organizer. Microsoft says co-organizers cannot change the organizer’s role, edit invitation information, or send updated invitations. Use co-organizer status for operational help; use the Exchange transfer process when calendar ownership must change.

What if the transfer command or settings are unavailable?

  • The cmdlet is unavailable or permission is denied: Stop and ask the Exchange administrator to confirm that the cloud-only cmdlet is enabled for the organization and that the required permissions are assigned.
  • The expected meeting options do not appear: The available controls can vary with administrator policy, meeting type, and licensing. Ask the Teams administrator to check the applicable policy and eligibility.
  • The new organizer cannot manage the online meeting: Verify that the series was manually updated with new Teams meeting information after the Exchange transfer. Do not treat calendar ownership alone as proof that Teams meeting ownership changed.
