On YouTube, the practical difference is what the text communicates: subtitles usually show spoken dialogue, often translated; captions can also convey meaningful audio such as speaker changes, laughter, music, or sound effects. YouTube’s creator tools do not enforce a strict split between two products: the workflow is called “Subtitles,” while the player uses “Subtitles/CC.” Choose and edit a track according to the information your viewers need.
Subtitles vs. captions: the useful distinction
Use “subtitles” when you mean dialogue text, especially dialogue translated into another language. Use “captions” when the text represents the audio more fully: spoken words plus relevant non-speech sounds and, when useful, who is speaking. That extra information can help viewers who are deaf or hard of hearing understand the program.

The terms are not universal. In some countries, “subtitles” is also used for captions. YouTube reflects that variation: its player says “Subtitles/CC,” and YouTube Studio groups the creator workflow under “Subtitles.” Look at the contents of a track rather than assuming its label tells you whether it is translated or includes sound cues. W3C’s explanation of captions describes the distinction in terms of dialogue and equivalent information for non-dialogue audio.

| Decision | Subtitles | Captions |
|---|---|---|
| Information carried | Usually spoken dialogue | Dialogue and meaningful audio cues, such as speaker identity, laughter, music, or sound effects |
| Language | Often translated dialogue for viewers who speak another language | Often in the video’s spoken language; can also help non-native speakers |
| Who may benefit | Viewers who understand the translated language | Deaf or hard-of-hearing viewers, non-native speakers, and people watching where listening is difficult |
| Delivery | Either can be a selectable YouTube track; text burned into the video is always visible and cannot be turned off | |
These are useful conventions, not rigid rules. A same-language dialogue-only track may be called subtitles in one context and captions in another. For accessibility, include audio details that matter to understanding—not every incidental noise. YouTube’s manual-caption guidance gives applause and thunder as examples of cues to include when relevant.

How to add subtitles or captions in YouTube Studio
- Open the video’s subtitle settings. In YouTube Studio, choose the video, open its subtitle controls, and add the language for the track. YouTube’s documented creator workflow is titled “Add subtitles & captions.”
- Choose how to create the track. Upload a caption file, auto-sync transcript text, type the text manually, or review automatic captions when YouTube has generated them.
- Check wording and timing. Edit the text and adjust its timing in the editor. For captions, add meaningful cues that cannot be inferred from dialogue alone, including relevant speaker identification or sound information.
- Save and check playback. Review the finished track against the video, including the start and end of cues and any moments with overlapping speakers, then save it.
Exact interface labels can change, but YouTube’s help pages describe these four ways to add a track and editing its text and timing. See YouTube Help: Add subtitles & captions.
Upload a caption file: SRT and SBV basics
For a straightforward file upload, YouTube identifies SubRip (.srt) and SubViewer (.sbv) as beginner-friendly options. A caption file pairs text with timing; other supported formats may also contain position or style information.

- Dual wall insulated: keeps beverages hot or cold

- SRT: Use plain UTF-8 text. YouTube’s basic supported SRT version does not retain style markup, so do not rely on formatting in the file to carry meaning.
- SBV: SubViewer is another beginner-friendly option identified by YouTube for basic captioning.
- Before uploading: Confirm the selected language, spelling, cue order, and synchronization with the video. Check that caption cues include meaningful audio information where needed.
For YouTube’s file-format details, see YouTube Help: caption file formats.
Automatic captions need human review
YouTube creates automatic captions with speech recognition, and accuracy varies. Its guidance says to review and edit the result rather than treating it as a finished transcript. Mispronunciations, accents, dialects, and background noise can lead to errors. Captions may also be delayed or unavailable because of processing, an unsupported language, long video duration, poor audio, long silence at the start, overlapping speakers, or multiple languages spoken at once. YouTube Help: automatic captions explains these limitations.

- funny date night and chill, beer gift, bingeworthy, just one more episode, favorite show, fans, hearing impaired, deaf, captions, snide comment, shagteescaptions

When checking a generated track, compare it with the video and pay particular attention to:
- Names and technical terms that speech recognition may not know.
- Numbers, dates, and negations, where one mistaken word can change the meaning.
- Speaker changes and overlapping dialogue.
- Meaningful sounds that automatic speech recognition may not include, such as laughter or a relevant sound effect.
This is a practical review checklist based on the failure factors YouTube identifies; it is not a guarantee that every error will be caught. For important or specialized material, a carefully reviewed human-authored track may be preferable.

Accessibility, translation, and audience reach
Same-language captions can help deaf and hard-of-hearing viewers, non-native speakers, and people watching in noisy environments. Translated subtitles can make dialogue accessible to viewers who speak another language; YouTube also says translated metadata and subtitles can help those viewers find and watch videos. Adding a track does not by itself guarantee discoverability or a particular audience outcome. See YouTube Help on translating videos and captions.

When to use a captioning or translation service
If you need professional captioning or translation, YouTube lists outside providers, including 3Play Media, Amara, and Amberscript. YouTube says these are third parties; it does not guarantee their quality or imply a formal relationship with them. Check a provider’s current services, language coverage, pricing, and terms directly before choosing one. See YouTube Help on adding subtitles and captions.
Common caption problems and fixes
- The track is missing or still processing: Allow time for processing and check again. YouTube lists processing delay, language support, and video characteristics among reasons automatic captions may be delayed or unavailable.
- Words are wrong: Edit the track against the audio, especially names, technical terms, numbers, and short words that alter meaning. Background noise, accents, dialects, and mispronunciations can affect recognition.
- Captions fall out of sync: Adjust cue timing in the Studio editor or correct the timestamps in the source file, then review playback from the beginning through the end.
- Sounds are not represented: Add concise descriptions of meaningful non-speech audio when manually authoring or correcting captions.
- Viewers cannot turn the text off: The words may be burned into the video as open captions. Use a selectable YouTube track when viewers should be able to switch captions on or off.
Or let it run in the cloud
Captions and subtitles make a video easier to follow; they do not keep a YouTube livestream running. If your channel also needs a prerecorded video to play continuously, StreamNeo runs that stream from the cloud: upload the video or build a playlist, add your YouTube stream key, and go live. Nothing has to stay on at home; videos stream as uploaded at any quality up to 4K 60fps for one price per slot, and StreamNeo automatically recovers if YouTube drops the stream. The first day is free with no card. Monthly billing is $9.99 per month. Start your free StreamNeo day.
