If OneDrive is full because Windows is syncing your Desktop, Documents, or other protected folders, you can turn off that folder backup and use File History to save personal files to an external or network drive. First decide whether the files should remain in OneDrive, on the PC, or in both places; then confirm they are where you expect before deleting anything.
Check whether OneDrive quota or PC disk space is the problem
Windows Backup can sync selected Desktop, Documents, Pictures, Videos, and Music folders to OneDrive. Those cloud files count against your OneDrive storage. Microsoft lists 5 GB of storage for a free Microsoft account and 1 TB with a Microsoft 365 subscription; these are current allowances shown in Microsoft Support pages checked in 2026, and entitlements can change. See Microsoft’s Windows Backup overview.

Files On-Demand addresses a different issue: a crowded Windows disk. It can keep a smaller placeholder on the PC while the full file remains stored in OneDrive, so it does not free OneDrive cloud quota. If the account quota is the issue, stop syncing the protected folders or make another storage choice rather than relying on Files On-Demand. See Microsoft’s Files On-Demand guidance.
Stop OneDrive folder protection without losing track of files
- Click the OneDrive cloud icon in the taskbar notification area.
- Choose Help & Settings > Settings > Sync and backup > Manage backup.
- Switch off the folders you no longer want backed up, then choose whether to keep the files only in OneDrive or only on the PC when prompted.
- If a folder contains cloud-only files, set them to Always keep on this device and wait for them to download before choosing a PC-only copy.
- Open the intended destination and verify the files are present before deleting any OneDrive copy.
Stopping folder backup does not necessarily remove previously backed-up material from OneDrive. New files added to the local folder will no longer sync automatically after protection is stopped. Microsoft documents the current controls and file-location choices in its OneDrive folder backup instructions.

Set up File History for recurring personal-file copies
File History saves recurring copies of personal files to an external drive or network location and lets you restore earlier versions. It is a file backup, not a complete image of Windows: the cited File History guidance covers personal files and libraries, not a full copy of Windows, installed applications, or all settings.
- Connect an external drive, or make sure the intended network location is reachable.
- Open Control Panel > System and Security > Save backup copies of your files with File History.
- Turn on File History. If Windows has not selected a destination, choose the external drive or network location.
- Check that the folders you need are included. Common folders such as Documents, Pictures, Videos, and Desktop are covered through libraries; add other folders to a library if needed.
The destination must be available for File History to write to it. If an external disk is disconnected, backups cannot be written until it is reconnected; if the destination is a network location, it must be reachable. Microsoft’s setup and troubleshooting details are in the File History guide and its “Reconnect Your File History Drive” troubleshooting page.

Restore an earlier version when you need it
- In File Explorer, open the folder where the file used to be.
- Right-click the file or folder and choose Restore previous versions.
- Select an available version, then choose Restore or Restore to another location.
Restoring over the current file replaces it and cannot be undone. If the current version might still be useful, use Restore to another location instead. Follow Microsoft’s File History restore instructions.

Choose a destination that fits your access and backup habits
| Factor | OneDrive cloud backup | File History to external or network storage |
|---|---|---|
| Access | Convenient access across devices; an internet connection and cloud location are required. | Useful when internet access is unavailable; an external disk must be connected or the network destination reachable for backup and recovery. |
| Storage and cost | Uses OneDrive quota; uploading large or numerous files can take longer and may require more cloud storage. | Requires an external drive or network destination; hardware has a cost, and capacity depends on the storage you choose. |
| What this method covers | Windows Backup can also handle settings and some app-related information, beyond the selected folders. | File History is for personal files and versions, not a complete Windows system image or a replacement for every Windows Backup item. |
These distinctions follow Microsoft’s backup comparison guidance. The cited Windows Support instructions cover Windows 10 and Windows 11; Windows 10 support ended on October 14, 2025, so use Windows 11 as the current starting point.
