How to Give Clients the Right Kind of Access in TeamGantt

TeamGantt offers four practical ways to share a project with a client: invite them as a collaborator, send a view-only link, set up a Client Portal, or export a PDF. Choose based on whether they need to participate, how much of the project they should see, and whether they need a live schedule or a fixed copy.

Choose a sharing method that fits the client’s role

Method Best for Access and plan details
Collaborator invitation A client who needs to comment or contribute to assigned work The client becomes a user on your account and can participate in projects they are invited to. Collaborators cannot change task dates or task attributes. See TeamGantt’s permissions guide.
View-only URL A client who needs to monitor a live chart without editing it Available on a paid plan or during a premium trial, according to TeamGantt’s external-sharing guide.
Client Portal A curated client-facing view of schedule details and shared updates Available on Builder and Enterprise plans. Managers choose which project information clients can see. Clients do not need a TeamGantt account.
PDF export A meeting handout, email attachment, or offline record A static snapshot, not a live schedule. Filters and display settings can tailor what appears in the PDF.

For a client who only needs an overview, start with a view-only link or Client Portal. Use a collaborator invitation when the client needs to take part in assigned work. Choose PDF when a fixed point-in-time version is more useful than ongoing access.

Share a live chart with a view-only link

A view-only URL lets a client follow the chart without receiving collaborator editing access. TeamGantt documents two ways to create one:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the project and select Menu > Embed/Share link.
  2. Alternatively, select Share > Copy Link to Chart at the bottom of the browser window.
  3. Send the copied URL to the client.

To make one view-only URL for several projects, open the projects in Gantt view, select Menu > Embed, choose the projects to include, and copy the URL. The option is documented for paid-plan users and during a premium trial; check the current account for availability and menu labels. Details are in TeamGantt’s sharing instructions.

Set up a Client Portal for a curated client view

The Client Portal is a manager-configured view, so it is useful when clients should see selected schedule information rather than the full project. A manager can share groups, milestones, both groups and milestones, or the entire project. Portal access is listed for Builder and Enterprise plans.

  1. Open the project’s Client Portal tab and select Invite clients.
  2. Choose whether to invite the client by email or share a link.
  3. Select the visibility level: Groups only, Milestones only, Groups and milestones, or Entire project.
  4. Send the invitation or link. To change what a client can see later, use Accesses.

The client does not need a TeamGantt account. An invited client authenticates their email; someone opening a shared link first enters a name and email. Portal views offer list and calendar options, and may include updates, photos, and messages when the manager shares them. Collaborators cannot configure or send portals. See the manager access guide and the client access guide.

Invite a client as a collaborator when they need to participate

A collaborator is an account user, not a read-only viewer. TeamGantt’s documentation says collaborators can access only projects they have been invited into. The project owner can reach the People page using any of these routes:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Share > Invite People
  • The project’s People tab
  • Menu > Manage People and Labels

Invite or create the person, then assign Collaborator permission. Depending on project access and assigned work, collaborators can update progress on assigned tasks, comment, upload or download documents, check checklist items, and track time. They cannot change task dates or edit task attributes. Managers have broader access, including chart changes, inviting or removing users, editing project settings, and deleting projects. Review the invitation guide and the permissions guide before choosing this route.

Export a PDF for a fixed snapshot

For an offline copy or a version to attach to an email, open the project and select Menu > Print/Export PDF. Apply filters and adjust the display so the PDF contains only the information the client needs. Unlike a view-only link or portal, an exported PDF does not update when the project changes. TeamGantt’s sharing guide covers this export path. Its FAQ also lists CSV data export as an available export option.

Check access before sending

  • Use a collaborator invitation only when the client needs account-level participation on assigned work.
  • Use a view-only URL when the client needs to monitor a live chart and the option is available on the account.
  • Use a Client Portal when you need to control which groups, milestones, or project details are visible.
  • Use PDF when the client needs a static copy rather than ongoing access.

TeamGantt’s support pages describe these workflows but do not show publication dates. Plan eligibility, permissions, and menu labels can change, so confirm the current options in your account before sharing.
