Windows Search can miss files for several different reasons: the folder may be outside the search index, indexing may not be finished, or Windows may be indexing a document’s properties without indexing its contents. The title’s “half my files” is a complaint, not a measured statistic, and the evidence does not establish that Microsoft fixed the wrong part. Start by checking where the file is and what kind of search you’re doing; rebuild the index only after those checks point to an indexing problem.
First determine what kind of result is missing
A filename search and a search for words inside a document are separate tasks. Windows indexes file names and full paths by default. Searching inside a document requires the relevant file type to be set to index both its properties and contents. If a document’s name appears but a distinctive word inside it does not, check the content-indexing setting before rebuilding the index.

Also distinguish Windows file search from Outlook search. Microsoft documented particular Outlook problems involving the local Windows Search service; those incidents do not show that general file search is broken for everyone.

Check that the file is in the location you are searching
Navigate to the folder in File Explorer or search from This PC to confirm the file exists and establish its location. Searching within a specific folder can help determine whether the problem is the search scope or the index. If the problem began after a Windows upgrade, Microsoft advises checking the file’s location because files may have moved. Microsoft’s guidance for files missing after an upgrade covers that case.

Check which folders Windows indexes
Windows Search has two indexing modes. Classic mode indexes common folders by default, while Enhanced mode is designed to cover user folders and files across the PC. You can also add locations to the index. In Classic mode, use Customize search locations to include a folder outside the default locations. Microsoft describes Classic as balancing performance and resource use; Enhanced can use more resources. Microsoft’s Windows search-indexing guidance explains modes and indexed locations.
If you know the folder containing the file, search that folder directly. If it appears there but not in a broader search, the issue may be the broader search’s scope rather than a missing file or damaged index.

Enable content indexing for the file type if needed
Windows can index a file’s properties, such as its name, without indexing its text. To find words inside files, the extension must be configured for properties and contents. Open Advanced indexing options, choose Advanced, then open the File Types tab. Select the relevant extension and choose the option to index file properties and contents rather than properties only.

This setting matters only when you want to search within a file. Microsoft notes: “For files with text, their contents are indexed to allow you to search for words within the files.” It also cautions that excluding contents can reduce index size but make some files harder to find. Allow indexing to finish before judging results
Initial indexing can take up to a couple of hours, according to Microsoft. Windows continues indexing in the background and updates the catalog as data changes, so results can lag while the initial pass is running or after substantial changes. Check the indexing status in Advanced indexing options and give the process time to complete before treating an absent result as a persistent failure.
For scale, Microsoft says the index is usually less than 10 percent of the size of the indexed files. It can be larger proportionally when a PC has many very small files or computer code. Microsoft’s explanation of Windows indexing describes these qualifications.

Run the troubleshooter before rebuilding the catalog
If the file exists, the folder is in scope, the relevant content setting is correct, and indexing has had time to finish, run the built-in Search and Indexing troubleshooter from Advanced indexing options. Microsoft includes it in its guidance for search problems and files missing after an upgrade. The missing-files guidance and Microsoft’s Search and Indexing troubleshooting steps cover the built-in checks.

Rebuilding the index clears and recreates the search catalog, so it restarts indexing rather than instantly restoring results. Use it when troubleshooting points to a catalog problem or when instructions for a specific affected app call for it. Microsoft warns in Outlook troubleshooting guidance that rebuilding can take a long time; in its documented 2022 incident, some rebuilt indexes could take a couple of days to finish. Microsoft’s Outlook search troubleshooting guide explains that app-specific context.

What Microsoft’s documented fixes do—and do not—show
Microsoft documented an Outlook issue after Windows updates in which recent messages could be missing for some Outlook configurations using POP, IMAP, or offline Exchange because they relied on the local Windows Search service. Microsoft marked the KB5008212-related issue resolved in March 2022 updates and noted that some users might need to rebuild the index, which could take days. It also marked a separate Windows 11 Outlook search issue fixed in the July 21, 2022 update KB5015882, including a fix for slow index rebuilding. These were specific Outlook incidents, not proof that general Windows file search had been universally fixed or that a broad “wrong part” diagnosis is correct. Microsoft’s note on the earlier Outlook issue and the KB5015882 release notes describe those cases.
Microsoft’s August 27, 2026 Windows 11 preview notes describe Search changes that include automatic indexing of frequently used folders, alongside interface changes and a setting to control web and Store suggestions. This may broaden indexed coverage, but the notes do not claim to fix every cause of missing search results. Read the Windows Insider preview notes.
Copilot+ search is a separate feature
Microsoft says Copilot+ PCs add semantic indexing for specified document and image formats, including TXT, PDF, DOCX, PPTX, XLSX, and common image formats. The data is stored locally, and Microsoft recommends keeping the PC plugged in during initial indexing. This capability is limited to Copilot+ PCs; it is not a setting available on every Windows computer. Microsoft’s indexing guidance describes the feature and its scope.
