Software Subscriptions vs One-Time Licenses: Which Costs Less Over Five Years?

There is no universal five-year winner. A one-time license usually suits a stable workload on one computer when you do not need bundled online services. A subscription is often the better fit when you need current features, security fixes, several devices or users, cloud storage, collaboration, support, or flexible scaling. The result depends on your local price, renewal changes, upgrade timing, device count, and the value of the services included.

What the five-year comparison actually measures

Comparing a subscription with a perpetual (one-time) license is not just a matter of multiplying a monthly fee by 60. The two products can provide different software versions, update policies, device rights, support, storage, and collaboration tools.

For a five-year decision, calculate the total money paid and the capabilities received during the same period. A subscription total is every payment made during the five years, including renewal-price changes, taxes, and currency effects. A perpetual total is the initial license price plus any major-version upgrade you choose to buy, maintenance, migration, or replacement services needed during those five years.

Then assign a realistic value to bundled services. Cloud storage, collaboration, support, and multi-device access may replace separate purchases or save work time. Conversely, cancellation can create exit costs if you must move files, lose hosted features, or continue with a reduced-functionality version.

Office 2024 and Microsoft 365: the clearest example

Microsoft describes Microsoft 365 as a subscription service that keeps its productivity tools up to date. Office 2024 is sold as a one-time purchase for the Microsoft 365 apps on one computer. The products therefore differ in both payment schedule and entitlement.

What you receive with each model

Comparison point Microsoft 365 subscription Office 2024 one-time purchase
Payment Monthly or annual billing while the plan is active One up-front payment for that version
Feature releases Latest feature releases while subscribed No included upgrade to the next major version
Security and bug fixes Security updates and bug fixes while active Security updates for the purchased version; no included major-version upgrade
Devices Can be installed across devices and signed in on five at once Typically licensed for one PC or Mac
People Family, Premium, and Pro plans can be shared with up to five additional people Single-product entitlement rather than a shared subscription service
Online services Cloud storage, collaboration features, and ongoing support are included with the relevant plan Those subscription services are not included
Offline use Apps can work offline, but periodic online sign-in is required to keep full functionality Apps can work offline after activation; internet is still needed for activation, updates, and periodic reactivation

The practical question is not “Which label is cheaper?” It is “Would I otherwise pay for the services and access that come with the subscription?” Someone using one computer for a fixed set of features may receive little extra value from a subscription. A household sharing across several devices may use the included access enough to change the calculation.

How to calculate your own five-year total

Use a dated price sheet for your country and edition immediately before buying. Microsoft prices, taxes, promotional offers, renewal rates, and retailer listings change, so a generic dollar total would be misleading.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 1: Define the two scenarios

  • Subscription scenario: record the monthly or annual price, the expected renewal price, the number of users and devices, and every service you would actually use.
  • Perpetual scenario: record the one-time license price, the number of computers covered, the support period, and whether you would buy a newer major version during the five-year window.

Keep the edition and region identical in both scenarios. Comparing a single-computer license with a multi-user plan without adjusting the scope produces a false result.

Step 2: Add every payment over 60 months

For an annual subscription, multiply each year’s actual price by one rather than assuming the first-year promotion continues. For a monthly plan, sum all 60 monthly charges and include any tax or currency conversion applied by the seller. If the provider changes the renewal price, split the calculation into the original-price period and the later-price period.

For a perpetual license, start with the up-front price. Add a major upgrade only if your plan requires one during the five years; a perpetual license does not include that upgrade automatically. Also add paid support, migration, or replacement software if those are necessary to maintain your workflow.

Step 3: Price the bundled services

List the subscription services you would otherwise replace: cloud storage capacity, collaboration tools, support access, and the right to use the apps on multiple devices. Use the price of a genuinely equivalent alternative, not the entire subscription price again. If you would not buy a service separately, assign it zero value rather than treating an unused feature as savings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 4: Include the exit cost

Ask what happens if you cancel in month 61. You may need to download or migrate cloud files, replace collaboration workflows, or accept reduced functionality. A perpetual license avoids a recurring bill for that version, but it can lose compatibility with newer operating systems or file formats as it ages. Put a reasonable one-time cost on either outcome when it is likely to affect your work.

Step 5: Compare like-for-like totals

Use this structure in a spreadsheet:

  • Subscription total: all payments over five years + taxes and renewal increases − value of services you would otherwise buy.
  • Perpetual total: license price + any major upgrade + required support, migration, or replacement costs.
  • Net difference: perpetual total minus subscription total. A positive result means the subscription costs less under your assumptions; a negative result means the perpetual route costs less.

Record the date, region, edition, user count, device count, and assumptions beside the result. Recalculate if any of those inputs changes.

Why five years can produce a different answer than a longer horizon

Perpetual software commonly costs more in the first year, while subscriptions spread payments over time. In SoftwareAdvice’s 2024 total-cost model, the cost lines tend to converge after about seven to ten years. The same guide models major perpetual-license upgrades occurring within a five- to ten-year window.

  • What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.

That is a general illustration, not a promise for a particular product or country. A five-year horizon may favor the lower up-front option, especially when the perpetual buyer does not upgrade. If a subscription’s renewal price rises or its included services are unused, the balance can move the other way. If the perpetual user buys a major upgrade during the window, the initial price advantage narrows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not extend a five-year result indefinitely. A perpetual version that is inexpensive through year five may become harder to support later, while a subscription continues receiving current features as long as payments continue.

When a subscription is the better fit

You need current features and fixes

Subscriptions include ongoing feature releases, security updates, and bug fixes while active. This matters when your work depends on newly added file formats, integrations, accessibility improvements, or fixes that are not backported to an older edition.

You use several devices or people

Microsoft 365 can be installed across devices and signed in on five at once. Certain Family, Premium, and Pro plans can be shared with up to five additional people. If several people would otherwise need separate perpetual licenses, the subscription’s per-user economics can improve.

You rely on cloud storage and collaboration

Cloud storage, collaboration, and ongoing support are part of the relevant Microsoft 365 plans. They can be valuable when files must be available on multiple devices or edited by more than one person. Count only the capacity and collaboration features your household or team will actually use.

Your staffing or device count changes

Subscriptions are easier to scale up or down when a team adds a worker, retires a device, or needs access temporarily. The trade-off is that the entitlement depends on continuing payment and the provider’s current terms.

When a one-time license is the better fit

Your workflow is stable

A perpetual license is appropriate when you need a known set of features and do not expect to follow every new release. You pay once and can continue using that version after the five-year period, subject to compatibility and support limits.

You use one computer

Office 2024 is designed as a one-time purchase for one PC or Mac. If that matches your setup and you do not need cloud services, a subscription can add recurring cost without adding useful capability.

You want predictable ownership of a fixed version

There is no monthly or annual renewal for the purchased version. Budgeting is straightforward, but the next major release is not included. Microsoft states that one-time purchases have no upgrade option; moving to a later major release means buying it at its full price.

Connectivity and activation are part of ownership

Neither model means completely internet-free ownership. Microsoft 365 apps can work offline, but they need periodic online sign-in to remain fully functional. Office 2024 needs internet for initial activation, updates, and periodic reactivation.

Before choosing, check whether the computer is regularly connected, whether sign-in is possible in your environment, and whether a travel or remote-work schedule could interrupt verification. A perpetual license reduces recurring payment dependence, but it does not remove activation and update requirements.

A hybrid model can reduce lock-in

Some software uses a subscription with a perpetual fallback. JetBrains describes a model in which you pay monthly or annually for the full feature set and updates; after 12 consecutive months of uninterrupted subscription, you receive a perpetual license for a specific product version that remains usable if you cancel.

For some on-premises team tools, JetBrains also documents a perpetual license with one year of upgrade coverage. After that coverage expires, the paid version remains usable, while newer versions require renewal. This approach suits buyers who need current software during an active project but want a durable version to fall back on later.

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the exact product terms before relying on a hybrid entitlement: the fallback may cover one specified version, not every future release, and the upgrade-coverage period may differ by product.

Common mistakes that distort the comparison

  • Using a promotional first-year price for all five years: model the renewal price separately.
  • Comparing different scopes: match one user to one user, one device to one device, or explicitly value the extra access.
  • Counting every bundle feature as savings: value only services you would otherwise purchase or materially use.
  • Ignoring an upgrade: include a major-version purchase if your work requires it during the horizon.
  • Ignoring taxes and currency: use the amount actually charged in your market.
  • Assuming cancellation is free: account for file migration, lost collaboration features, and reduced functionality.
  • Assuming perpetual means maintenance-free: activation, updates, compatibility, and eventual support limits still matter.

A decision checklist

  1. Write down the exact application edition, country, tax treatment, and purchase date.
  2. Count the people and devices that need access during the five-year period.
  3. Mark which features require current releases, cloud storage, collaboration, or support.
  4. Collect the current subscription price, renewal terms, and one-time license price.
  5. Model at least two cases: no perpetual upgrade and one upgrade within five years.
  6. Subtract only the realistic value of services you would otherwise buy.
  7. Add migration, compatibility, and exit costs for cancellation or an aging version.
  8. Recheck the result whenever the price, user count, or device plan changes.

The practical verdict

Choose the one-time license when one computer, stable features, and no need for bundled online services describe your use. Choose the subscription when current releases, security maintenance, multiple devices or users, cloud storage, collaboration, support, or changing capacity justify the recurring payment. If you need both continuity and an escape route, investigate a hybrid license that grants a perpetual fallback after a defined subscription period.

Because prices and renewal terms vary by market and date, publish or use a dated five-year worksheet rather than a universal winner. The arithmetic is simple; deciding what access, services, and future compatibility are worth is the part that determines the answer.
