What an Out of Office / Automatic Reply does in Outlook Web
Automatic Replies sends a message back to incoming email for the configured time window. Depending on your tenant setup, you can control whether it’s sent to everyone or only to people inside your organization.

Prerequisites and where to find the setting
Before you start, confirm you’re using Outlook on the web (not a desktop app). You’ll also need permission to manage mailbox automatic replies—most users have it by default.
- Account type: Microsoft 365 / Exchange Online mailbox
- Service: Outlook Web (Outlook on the web)
- Goal: Configure Automatic Replies (Out of Office)
In the interface, the setting is usually found under Settings → Automatic replies.
Set Automatic Replies in classic Outlook on the web
The classic experience is common on many tenants. The UI labels may vary slightly, but the flow is consistent.

- Click the Settings gear icon in the upper-right.
- Select Automatic replies.
- Turn on Send automatic replies.
- Set a time range if offered:
- Choose Send replies only during a time period.
- Enter Start time and End time.
- Fill in your messages:
- Inside my organization (optional but recommended).
- Outside my organization (if you want external senders to receive it).
- For external recipients, choose who can receive replies (commonly options like None or My contacts or All external senders, depending on your tenant).
- Click Save.
Once saved, incoming email during the active window should receive your message automatically.
Set Automatic Replies in the newer Outlook on the web
Microsoft is gradually rolling out a refreshed Outlook Web experience. If you see a more modern layout, the labels still point you to the same mailbox setting.
- Open https://outlook.office.com and sign in.
- Click Settings (gear icon).
- Look for Mail (or a similar category) and then select Automatic replies.
- Toggle Automatic replies to On.
- Select Send replies only during a time period if you want a scheduled window.
- Enter your Start and End date/time.
- Compose your Inside my organization message.
- Compose your Outside my organization message (if available/desired).
- Choose external audience scope (for example: My contacts or All external senders, depending on your organization’s configuration).
- Click Save or Done.
If you don’t see the option to edit dates or external audiences, your tenant may have restricted settings—see the limitations section below.
Choose scope, audience, and message content
Automatic Replies typically supports two audiences: people inside your organization and people outside (external senders). Use that split to avoid oversharing sensitive information with the wrong group.

Recommended message structure
Keep it short, actionable, and respectful of privacy. A strong template reduces back-and-forth while you’re away.
- Who you are: Your name or team
- Availability window: Dates you’re away
- Expected response: When to expect a reply
- Escalation: Alternate contact or ticket process
- Urgent matters: Clear instruction (example: “Contact the on-call team at …”)
Inside my organization
For internal mail, you can be more specific. Many teams include internal escalation details like a shared mailbox, Teams channel, or project owner.
Outside my organization
External replies should be concise. Avoid internal-only details like internal ticket IDs, internal meeting notes, or confidential deadlines.
Set start and end times (and what happens if you miss them)
When you choose a time window, Outlook Web uses your mailbox time zone settings. If you travel across time zones, double-check your dates before saving.
Two common approaches:
- Scheduled: Use the option to send replies only during a time period. Outlook Web turns them off automatically after the end time.
- Manual: If the UI allows it, you can send replies indefinitely by turning them on without scheduling. You must remember to turn them off.
If you miss the end time and replies keep going, you can disable them anytime from the same Automatic replies screen.
Common limitations and gotchas
Automatic Replies are powerful, but a few real-world constraints can affect what recipients see.
External audience may be restricted
Some organizations disable automatic replies for external senders, or they limit it to contacts only. If your “Outside my organization” options are missing or greyed out, your admin may have enforced a policy.

Attachments and content rules
Automatic Replies are best used with plain text. While rich formatting may be supported in some tenants, complex HTML can be stripped or displayed inconsistently.
Shared mailboxes and delegates
If you’re configuring automatic replies for a shared mailbox, you must have permission to manage mailbox settings. Delegated access can change what’s editable.
Transport and routing behavior
Depending on how mail is routed, recipients might receive the automatic reply with delays. In most cases it’s near-instant, but server-side processing and throttling can cause variation.
Calendar status doesn’t always equal Out of Office
Setting your Outlook calendar to “Out of Office” may help others see your status, but it doesn’t guarantee an email automatic reply is sent. Automatic Replies are the email mechanism; calendar status is a separate feature.
How to turn it off early or edit an existing message
You can change your message or disable it at any time while you’re logged into Outlook Web.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Open Outlook Web and go to Settings (gear icon).
- Select Automatic replies.
- To stop immediately, turn off Send automatic replies / Automatic replies.
- To edit, update the Inside my organization and/or Outside my organization text.
- If available, update Start and End times.
- Click Save.
If you don’t see changes reflected, refresh the browser and confirm the status toggle is still enabled.
When Automatic Replies don’t work: troubleshooting checklist
If your automatic replies aren’t sending, don’t guess—work through this checklist in order.
1) Verify it’s enabled and within the time window
- Return to Settings → Automatic replies.
- Confirm Automatic replies is On.
- Confirm the current time is between your Start and End values.
2) Confirm the correct audience settings
- If the recipient is outside your org, check whether Outside my organization is enabled and whether the audience scope allows them (e.g., All external senders vs My contacts).
3) Check for shared mailbox permissions
If you configured a shared mailbox but emailed from your personal account (or vice versa), recipients may be hitting a different mailbox. Confirm which mailbox you’re editing by ensuring you’re signed into the correct address.
4) Look for admin or policy restrictions
Some organizations lock down automatic replies. If you’re missing the external message fields or the scheduling option, your tenant may have a policy in place. In that case, ask your Microsoft 365 admin for the allowed settings.

5) Reduce formatting and retry
As a quick test, temporarily replace your message body with plain text (no tables, minimal special formatting) and click Save. Then send yourself a test email from another account.
6) Test using two sender types
To confirm both message tracks:
- Send an email from an internal account.
- Send an email from an external account (or a different tenant) that matches your external audience rule.
Alternative options if you can’t use Automatic Replies
If Automatic Replies aren’t available to your mailbox (or are restricted for external senders), you still have options.
Inbox rules (client-side workaround)
Some users try to create rules that auto-reply. In Outlook Web, true auto-reply behavior may be limited compared to classic rules in some Outlook clients, and you may risk reply loops. If you go this route, keep it minimal and test carefully.
Forward to another mailbox or ticket system
If you can’t auto-reply externally, forwarding can still help. Many orgs forward to a shared support inbox or route messages into a ticketing workflow.
Calendar-based status plus manual handoff
Pair your calendar out-of-office status with a clear escalation contact in your signature. This won’t replace automatic replies, but it helps when email auto-replies are blocked.

FAQ
Will Automatic Replies send to people who contact me after I set it up?
Yes—emails received during the configured time window should trigger the automatic reply. If you scheduled an end time, replies stop afterward.
Do I need the browser open for automatic replies to work?
No. Automatic Replies are processed server-side once enabled, so you can close the browser after saving.
Can I set different messages for internal and external recipients?
Typically yes. Outlook Web provides separate fields for Inside my organization and Outside my organization. External replies may be restricted by admin policy.
Free tools Windows power users keep installed
One-click scans. No signup required.
Why do some external emails not receive my automatic reply?
Most common causes are that external auto-replies are disabled, the external audience scope is set to contacts only, or your tenant has restricted external automatic replies.
How do I change my dates without starting over?
Go to Settings → Automatic replies, update the Start and End times, then click Save. If you need immediate shutdown, toggle automatic replies off.
Bottom Line
To set an Out of Office message in Outlook Web, go to Settings → Automatic replies, enable it, write your internal and (if allowed) external messages, and save with a start/end time. Once it’s enabled, recipients should get your reply automatically during the scheduled window.
If replies don’t arrive, focus on the time window and external audience scope first, then confirm you’re editing the correct mailbox and that your tenant policies allow the setting.
