Gmail can switch oversized personal-account attachments to a Google Drive link; Outlook may offer a similar OneDrive workflow. Apple Mail users can use Mail Drop for attachments up to 5 GB, with a 30-day download period. Whichever method you choose, check that the recipient can open the file before relying on the link.
Why a large file may not send as an attachment
Email size limits vary by provider and account. Google says personal Gmail attachments are limited to 25 MB; above that, Gmail removes the attachment and adds a Google Drive link. Microsoft Support gives a 20 MB message-size limit as an example for internet email accounts such as Outlook.com or Gmail. These are provider-specific limits, not a universal email threshold, so check the rules for your account and the recipient’s setup.

A sharing link works differently from an attachment: the file stays in cloud storage, and the email gives the recipient a way to access it. Google recommends using Drive for large files: Gmail Help: Send attachments with your Gmail message.
Choose the method that fits your email and recipient
| Method | Useful when | Key limit or consideration |
|---|---|---|
| Google Drive link from Gmail | You use Gmail and want an integrated way to share a stored file. | Personal Gmail attachments are limited to 25 MB; Gmail uses a Drive link for oversized attachments. Sharing permissions still apply. |
| OneDrive or another cloud-storage link | You use Outlook or already store the file in a service you and the recipient can access. | Microsoft recommends sharing a link for large files. Outlook’s upload prompts and options can vary by account and workflow. |
| Apple Mail Drop | You send from a supported Apple Mail client or iCloud.com Mail and want a temporary transfer. | Apple allows attachments up to 5 GB, and recipients have 30 days to download them. The recipient’s email app may impose a smaller message limit. |
For Google’s sharing controls, see Share files from Google Drive. Microsoft’s general guidance is to put a large file in a shared location and send a link: Send large files with Outlook. Apple’s current Mail Drop details are in Mail Drop limits.

Send a large file with Gmail and Google Drive
- Upload the file to Google Drive, or choose a file that is already stored there.
- In Gmail, insert the Drive file using the Drive control, or attach it and let Gmail switch to a Drive link if it exceeds the personal-account attachment limit.
- Review the sharing prompt. Gmail checks whether recipients have access and may ask you to grant it.
- Choose the narrowest permission that works, then send the email and verify the link opens for the intended recipient.
Drive’s roles include viewer, commenter, and editor. Use viewer access when the recipient only needs to read or download the file; grant broader roles only when collaboration requires them. Restricted access can limit the file to named people. “Anyone with the link” is broader and may allow access beyond the intended recipient if the link is forwarded. Work or school administrators can also restrict sharing.
Send a large file from Outlook or another email app
- Upload the file to a storage service that both you and the recipient can use.
- Create a sharing link and set access for the intended recipient. If the file is sensitive, avoid broad link access when restricted sharing is available.
- Paste the link into your email and tell the recipient what the file is and whether they need to sign in.
- Check that the recipient has permission and can open the file before you depend on the transfer.
Microsoft names OneDrive, Dropbox, iCloud, and Google Drive as popular cloud-storage options. Outlook may offer to upload an oversized file to OneDrive and replace it with a sharing link, but the exact controls depend on the account and workflow. A work or school account may have organization-level sharing rules.

Use Apple Mail Drop for a temporary transfer
Mail Drop supports attachments up to 5 GB when sent from supported Apple Mail clients or iCloud.com Mail. Apple says the attachments do not count against iCloud storage, though Mail Drop has an overall storage limit. Recipients have 30 days to download a file. Their email app may enforce a smaller message-size limit, and excessive downloads or high traffic can affect access. See Apple’s Mail Drop guidance for current service details.
When compression or file splitting makes sense
Compress the file
Compression can reduce size when the contents compress well, such as some documents or collections of uncompressed files. It may barely change already-compressed media, including many photos and videos. If compression does not bring the file below the relevant limit, use a sharing link instead.

Split an archive into parts
Splitting a file into smaller archive parts is an option when each part can be sent and the recipient knows how to reassemble them. It requires the recipient to collect every part and use compatible extraction software, so it is less convenient than a link for most routine transfers.

Check access before you send
- Confirm the audience: Make sure the sharing setting matches the intended recipient, especially if the file contains private information.
- Test the link: Open it in a context that reflects the recipient’s access, such as a separate account where practical. A sender’s own signed-in access does not prove that another person can open it.
- Check workplace rules: Administrators may block external sharing, restrict recipients, or require sign-in.
- Consider how long access should last: A cloud-storage link may remain available while the file and permissions remain in place. Mail Drop downloads expire after 30 days.
- Adjust or revoke access when finished: For Drive, review the file’s sharing settings to change or remove access. For any service, avoid leaving a broad link active longer than needed.
