When choosing a secure email gateway, prioritize how quickly it can be patched, how safely its management and quarantine surfaces can be operated, and whether your team can investigate and contain a real email incident. A long feature list—or a vendor’s detection claims—does not establish which product will work best in your environment. Compare architecture, response workflows, licensing, and operational ownership, then test shortlisted products against representative mail flows.
Which email gateway features matter most?
Evaluate the product as an operational control, not just a filter. Analysts need to find affected messages, understand their scope, take containment actions, and preserve evidence. Administrators need a clear, supportable path to apply urgent fixes without exposing sensitive management functions.

- Patch and lifecycle operations: supported releases, advisory delivery, emergency update procedures, maintenance requirements, rollback steps, and responsibility for updates in a managed service.
- Exposure controls: whether management, quarantine, and API surfaces are internet reachable, and how access can be restricted to private or administrator networks.
- Investigation: search by sender, recipient, message ID, URL, attachment, verdict, and time; see related messages and affected users.
- Containment: quarantine or remove delivered messages, understand required permissions, and verify that actions are logged and reversible where appropriate.
- Integration and evidence: documented APIs, SIEM/SOAR/XDR integrations, event exports, and audit records sufficient for incident review.
- Mail-flow coverage: inbound, outbound, and internal mail coverage; supported mail platforms; routing or DNS changes; latency; and behavior if the service is unavailable.
- Operational fit: false-positive review and release workflows, support coverage, deployment services, licensing unit, and whether the customer or provider owns each task.
Ask vendors to demonstrate these workflows using your own incident scenarios. Measure the time to find all affected messages, contain them, review false positives, and produce usable evidence. The reviewed vendor materials describe different capabilities and architectures, but do not establish comparable detection rates, reliability, or a universal best product.
How should you assess patching and exposure?
Ask for a version-support policy and a practical emergency-update runbook. Confirm how advisories reach administrators, whether updates can be scheduled or automated, the maintenance window required, how to roll back, and which support path applies if an update fails. For managed services, establish explicitly whether the provider or customer is responsible for approving and applying urgent updates.

Management and quarantine functions belong in the threat model. Cisco’s campaign advisory reports that exploitation of Cisco Secure Email Gateway and Secure Email and Web Manager required three conditions: vulnerable AsyncOS software, Spam Quarantine enabled, and internet reachability of that feature. Cisco says the vulnerability could enable unauthenticated remote command execution with root privileges, that software updates address it, and that there is no workaround that addresses the vulnerability. Its deployment guides do not require direct internet exposure. Review Cisco’s security advisory for current affected-version and fixed-release guidance; do not assume the details remain unchanged.
The practical buying question is not whether a product or deployment label is inherently safe. Ask which interfaces must be reachable, how they can be restricted, and what controls prevent unnecessary public exposure. Cisco’s support and documentation index lists AsyncOS 16.5 release material, API documentation, user guides, and lifecycle/support information; verify supported releases and procedures for the model you are evaluating.

Which deployment model fits your mail flow?
Deployment changes when a control sees a message and what action it can take. Inline or MX-based filtering can act before delivery; API-based mailbox integration can inspect messages in supported mailboxes and may support post-delivery response. Hybrid approaches may combine controls, but add routing, configuration, and operational considerations. Confirm each vendor’s stated platform scope and actual coverage for inbound, outbound, and internal mail.

|---|---|---|
| Inline or MX-based gateway | Pre-delivery inspection and blocking; MX, DNS, or routing changes; latency; outage and fail-open/fail-closed behavior. | Which messages pass through it? What happens when the gateway is unavailable? Can your team trace and remediate messages already delivered? |
| API-based mailbox integration | Supported mail platform and mailbox scope; API permissions; post-delivery scanning and remediation timing; coexistence with native controls. | How quickly are newly arrived messages evaluated? Which mailboxes and message directions are covered? What permissions and audit records are required? |
| Hybrid deployment | How inline and API controls divide work, avoid conflicting actions, and share investigation context. | Which layer blocks before delivery, which can act after delivery, and how does an analyst see one incident across both? |
Vendor descriptions illustrate options, not comparative outcomes. Cisco describes Microsoft 365 integration, API-based supplementation, searchable threat telemetry, and an inline gateway option. Proofpoint describes gateway or API deployment, pre-delivery URL handling, and post-delivery remediation. Mimecast’s deployment guidance distinguishes MX-based pre-delivery filtering from API-based post-delivery scanning for Microsoft 365. Validate each claim against your mail platform and configuration.

Can the product find and remove a malicious email after delivery?
Do not treat “incident response” as a single feature checkbox. Have the vendor walk through an incident from alert to closure: search for the original message and related copies, identify affected recipients, examine investigation context, quarantine or remove messages, export evidence, and record who took each action. Test the workflow with realistic cases, including false positives and messages delivered before a verdict changes.
Check whether search, investigation, remediation, and exports are available in the product and plan you will buy. Ask which roles can search, release, quarantine, or purge messages, and whether actions appear in audit data. If your response team relies on SIEM, SOAR, or XDR, require a demonstration of the relevant API or integration and the fields it makes available; a general claim of “integration” is not enough to establish that it supports your workflow.

How should you compare vendors without overvaluing feature claims?
Product pages are useful for defining what to verify, not for ranking effectiveness. Cisco, Proofpoint, and Mimecast describe different deployment and response options; Microsoft documents its own plan-dependent controls. These vendor-authored sources do not provide an independent, comparable efficacy test, so they cannot support a detection-performance ranking.
- Define representative scenarios: a message blocked before delivery, a malicious message discovered after delivery, a false positive requiring release, and a suspected incident affecting multiple recipients.
- Use your actual mail platform, routing, and administrative roles in a proof of concept.
- Time how long it takes to search, determine scope, contain messages, and assemble evidence.
- Record missed messages, unnecessary actions, manual steps, and where analysts must switch tools.
- Verify update ownership, support escalation, licensing boundaries, and the operating procedure for a service outage.
Compare results against your own requirements and risk tolerance. A feature listed on a product page is not proof that it is enabled, included in the quoted plan, or suitable for your deployment.
Where does a gateway fit in the broader email architecture?
A gateway is one layer, not a substitute for a complete email security architecture. NIST SP 1800-6 presents standards-based implementation examples for trustworthy email exchanges, including DNSSEC and digital-signature and encryption technologies. It is an implementation guide, not a product comparison or a mandate to adopt a particular configuration. See NIST SP 1800-6 Volume C when considering how gateway controls fit alongside domain and message-protection measures.
