QuickBooks Desktop: Fix a Credit Card Charge in the Wrong Account

Use QuickBooks Desktop’s Reclassify Transactions tool to correct an eligible saved charge’s expense account or class. The credit card account and expense category serve different purposes.

To correct a credit card charge’s expense category or class, use Accountant > Client Data Review > Reclassify Transactions if your edition includes that tool. It can update eligible saved transactions one at a time or in batches. First identify the field that is wrong: the credit card account records what the business owes, while the Expenses or Items section records what the purchase was for.

How do I reclassify a credit card charge in QuickBooks Desktop?

Intuit documents the Reclassify Transactions workflow for QuickBooks Accountant Desktop, Enterprise, and Accountant Enterprise. Feature availability depends on edition; do not assume the Accountant menu is available in every Desktop edition. Intuit’s Reclassify Transactions guide was updated August 5, 2026.

  1. Open Accountant > Client Data Review. Choose Modify Review, set the fiscal year or date range, and select Cash or Accrual as the review basis.
  2. Under Account Balances, set Reclassify Transactions to In Progress, then close the review setup.
  3. Go to Accountant > Client Data Review > Reclassify Transactions.
  4. Choose the account type and account. Use the available name and transaction filters to narrow the list, then inspect the results before selecting transactions.
  5. Select the charge, or select multiple eligible transactions. If the expense-account assignment is wrong, check Account to and choose the correct account. If the class is wrong, check Class to and choose the correct class. You can change both where needed.
  6. Select Reclassify.

The tool applies to transactions already recorded in the company file. A transaction using Accounts Payable or Accounts Receivable, such as a bill or invoice, cannot be reclassified with this tool. Nor can it change a transaction linked to another transaction.

How do I change the account on a credit card charge?

“Account” can mean two different things on a charge. The credit card account records the liability—the amount owed to the card issuer. The charge’s Expenses or Items section records the expense category or item associated with the purchase. Changing an expense account does not, by itself, change which card account holds the liability.

Intuit’s credit card account instructions, updated August 5, 2026, describe recording a charge through Banking > Enter Credit Card Charges: select the card, choose Purchase/Charge or Refund/Credit, enter the vendor and date, and record the expense or item before saving.

  • Wrong expense category or item: Correct the expense or item assignment. Use the reclassification tool when available and the transaction is eligible.
  • Wrong class: Use the tool’s Class to option when the transaction is eligible.
  • Wrong card account: Confirm the liability account itself is wrong; this is distinct from changing the purchase’s expense category. The reclassification guidance covers account and class assignments for eligible transactions, but does not establish a general one-transaction Windows editing path.

How do I fix a charge categorized to the wrong expense account?

If the charge is saved and eligible for the Accountant/Enterprise tool, select its correct expense account using the steps above. If you are unsure which account or class is appropriate, verify the intended bookkeeping treatment before changing it; a reclassification changes the transaction’s assignment, not the underlying purchase.

Do not treat an unprocessed downloaded transaction as an existing saved charge. In Bank Feeds, cleared activity is presented for review and may need to be added as a new transaction or matched to one already recorded. Intuit explains this distinction in its Desktop transaction categorization guide, updated August 21, 2026.

What if the charge is not eligible for reclassification?

The cited tool cannot change A/P or A/R transactions, including bills and invoices, or transactions linked to other transactions. A purchase recorded as a bill because the vendor invoiced it for later payment is a different workflow from a credit card charge recorded when payment is made; Intuit’s expense-entry guidance describes that distinction.

For QuickBooks Desktop for Mac, Intuit documents editing an individual transaction through Company > Transaction Center: select the transaction type, search, double-click the transaction, make the change, and save. The Expense Tracker includes credit card charges. See Intuit’s Mac transaction instructions, updated August 5, 2026. This is Mac-specific guidance; the cited instructions do not establish an equivalent one-transaction Windows menu path.
