In printing software, “printer description file” usually means a PostScript Printer Description (PPD) file. It is a text file that tells the printing system which features and settings a printer supports, such as paper sizes, color options, or resolution. The term is context-dependent: it most likely means PPD when it appears with CUPS, macOS, PostScript, or a .ppd filename.
What does a printer description file do?
A PPD describes a printer’s capabilities and the choices available to the user. Printing software can use that information to show relevant options and, in traditional PostScript printing workflows, select or invoke printer-specific features. CUPS documentation describes PPDs as capability descriptions used alongside filters that convert documents into a format the printer understands: CUPS PPD documentation.

A PPD is descriptive configuration data, not the printer itself, ink or toner, or a universal driver by itself. Historically, it was commonly paired with filter software to form a printer-driver arrangement.

Depending on the printer, a PPD may describe items such as:

- Paper sizes and orientation
- Resolution and color-output capabilities
- Printer-resident fonts
- Available features, their selectable options, and default settings
For example, the file might tell printing software that a printer supports Letter and Legal paper, or that color printing is an available option. Apple’s archived overview explains the relationship between feature keywords and choices, while Adobe lists device details such as fonts, media, resolution, and color capabilities: Apple’s PPD overview and Adobe’s PostScript printing help. Apple labels its page as archived, and Adobe says its help page was last updated March 8, 2023.
Do you need to install a PPD file?
Not necessarily. A compatible printer may work through driverless printing, so you do not have to choose a PPD manually. Current CUPS documentation describes setup for IPP Everywhere printers, and OpenPrinting’s CUPS 3 overview includes AirPrint and IPP Everywhere support. Whether this works depends on both the printer and the operating system or printing system in use: CUPS printer administration and OpenPrinting’s CUPS overview.

If your system asks you to select a PPD, or the printer is not detected through a driverless method, check whether the printer supports IPP Everywhere or AirPrint and whether your operating system offers a suitable driver or Printer Application for that model.

PPDs remain part of some installed printing setups, but CUPS is moving away from the PPD-based driver model. OpenPrinting says CUPS printer drivers and PPD files are deprecated and will no longer be supported in a future feature release. The deprecation decision was made for CUPS 2.3 in 2019; this does not mean PPD support has already disappeared from every CUPS version, Linux distribution, or operating system. One reason for the change is that a static PPD has limits in describing modern capabilities and changing printer state, such as which media is currently loaded or the status of consumables. OpenPrinting says driverless IPP printers continue to work without change and that Printer Applications can support some older printers that still need driver software.

A filename ending in .ppd is a strong clue, especially if you encountered it while configuring CUPS, macOS printing, or a PostScript printer. The filename alone does not establish what every program means by “printer description file”: outside those contexts, the phrase may refer more broadly to printer metadata.
