Use one Plane workspace with multiple projects when teams can share workspace administrators and organization-level resources. Create a separate workspace when there must be a genuine boundary—for example, between independently managed businesses, a customer environment, or groups whose administrators must not overlap. Project roles can limit access for ordinary members, but they do not prevent workspace Admins from accessing project content.
Start with the access boundary you need
A Plane workspace is the organization-level environment for membership and roles, projects and work items, wiki, dashboards, integrations, settings, and billing. Plane recommends one workspace for most organizations because multiple workspaces separate membership management, reporting, and work items: work items cannot be shared between workspaces, reporting cannot span them, and members must be invited and managed in each workspace separately. Plane’s workspace overview explains the intended structure.

| Need | Structure to consider | What it means |
|---|---|---|
| Shared company planning, reporting, and membership | One workspace with multiple projects | Keep members, projects, documentation, and reporting connected. |
| Distinct team work areas without strict access separation | Projects; consider Teamspaces for cross-project organization | Teamspaces group members and linked projects, but linking grants members Contributor access to those projects. |
| Limit which ordinary members see a project’s content | Project membership, visibility, and project roles in one workspace | Useful for scoping member access, but not a barrier to workspace Admins. |
| Separate legal entity, independently managed business, customer environment, or strict no-overlap boundary | Separate workspace | Creates a distinct workspace environment and its own membership management. |
This is a guide to Plane’s documented product structure, not a security certification or legal conclusion. If the split is required by a contract or regulation, verify the exact behavior in your deployment and plan before relying on it.
Know which role can administer or access the data
Plane has a workspace role and a separate project role for each project membership. Workspace roles govern workspace resources and what users can do across projects they join; project roles govern work inside a particular project. The scopes are distinct, but project roles do not override workspace administration.
#1 Best Overall
- Workspace Owners have the highest workspace authority.
- Workspace Admins manage workspace settings, members, billing, projects, integrations, webhooks, and roles. Plane documents that an Admin can access any project’s content without being added as a project member.
- Workspace Members generally cannot access project content unless they are added to that project.
- Project Admins manage their project’s settings, members, work items, cycles, modules, pages, and workflows.
- Contributors work on project content without managing project settings or member roles.
See Plane’s member-role reference for the documented distinction. If the requirement is that one administrator group must not access another group’s project, project membership alone is not the right boundary to assume: examine separate workspaces instead.
Use projects when the difference is about work, not administrators
Projects are the practical choice when teams need separate work areas but can share workspace-level administration. Use project membership and roles to grant ordinary members access only to the projects they need. This preserves shared workspace membership and reporting without treating each project as a separate organizational environment.
Rank #2
Choose a separate workspace when the administrators themselves must be separated, or when the environments belong to different entities or customers. The trade-off is operational: membership must be managed in each workspace, work items cannot be shared across them, and reports cannot span them.
Consider Teamspaces for cross-project teams
Teamspaces organize people who work across projects. They can show work from linked projects and hold team-level views and pages; work items and cycles remain in their respective projects. They are an organizational layer, not a substitute for a workspace boundary.

Linking a project to a Teamspace grants every Teamspace member Contributor access to that project. Direct project roles and Teamspace-derived access can coexist, so review both routes when checking who can reach a project. Plane also documents enabling Teamspaces as a one-way change; assess its access effects before turning it on. Details are in Plane’s Teamspaces documentation.

Workspace governance is a separate configuration decision from splitting access. It moves settings such as states, workflows, labels, templates, recurring work items, and automations from project scope to workspace scope for central standardization. Plane documents governance as permanent and involving a migration. Check the current plan and feature controls before enabling it; other workspace-level features may depend on plan and toggles. Workspace creation and deletion also have lasting consequences. Plane says deleting a workspace permanently erases its projects, pages, and data for every member. Review Manage workspaces before treating a workspace split as a temporary organizational experiment.
