Use the file format the job posting or application portal requests. If it accepts both—or gives no preference—a clean, text-based PDF is a sensible default when preserving your resume’s layout matters. Choose DOCX when the employer asks for a Word file or needs an editable document. Neither format is guaranteed to work perfectly with every applicant tracking system (ATS).
How PDF and DOCX compare

The U.S. Department of Labor’s 2026 Resume Essentials guide describes these trade-offs and notes that ATS can often read PDFs that do not contain images or complex layouts. Adobe also recommends PDF when an employer has not specified a format, but that is vendor guidance, not a universal comparative test. Its PDF-versus-Word guide likewise explains that PDFs preserve appearance while Word files remain editable and may change across software or devices.

Choose the format the application actually accepts
Check both the job posting and the application portal. A posting may request one format while the portal imposes its own accepted file types or size limit. Follow the applicable instructions rather than relying on a general rule. If the system asks you to paste resume text instead of uploading a file, inspect the result for missing content, odd spacing, or broken alignment.
For an email application, check whether the employer wants an attachment or resume text in the message. A file that is suitable for a portal is not automatically the right choice for every submission channel.

Make the file readable before you submit
- If you choose PDF, use a text-based export rather than a scan or screenshot. A simple layout makes it easier for software to extract the text.
- Keep an editable working copy if you may need to update the resume. Export the final version to PDF when appropriate, then open and review the actual file you will send.
- Use a clear, professional filename, as the Department of Labor recommends.
- If the portal previews the upload or shows extracted details, review those details and correct errors before submitting.
PDF versus DOCX is not a guarantee of ATS success. The available guidance does not establish a universal winner or provide a comparative parsing-success statistic; results depend on the employer’s system and the document itself.
