Before uploading a document to a cloud AI assistant, ask whether you are authorized to disclose everything in it—and whether the exact service and account are suitable for that data. A file may contain personal, confidential, or restricted information even when the task seems routine. If the answer is unclear, do not upload it until you have checked the applicable rules and the service’s current controls.
Why a document upload deserves a pause
Uploading a file is a disclosure decision, not just a convenience feature. The document may contain personal details, client or patient records, employer information, or material protected by confidentiality obligations. Canada’s Office of the Privacy Commissioner advises that sensitive or confidential personal information should be entered into generative AI systems only when authorized, and recommends using de-identified information where possible. Its guidance on privacy-protective generative AI is Canadian guidance; what applies to you depends on your jurisdiction and circumstances.

That does not mean every cloud AI service trains on every uploaded file, or that every upload is automatically unsafe. Providers, products, account types, and configurations differ. The relevant questions are what this specific service does with the file and whether you are permitted to share it there.

- Authority to share: Is the information yours to disclose? For client, patient, employer, or other third-party records, check authorization, confidentiality duties, organizational policy, and applicable rules.
- Exact product and account: Identify the specific service, plan, and account type. Do not assume that terms stated for a business or API offering also apply to a consumer account.
- Data handling: Review the current terms and settings for prompts, files, outputs, and logs. Check model-training use, retention and deletion, human access, subprocessors, data location, and administrative controls.
- File classification: Confirm that uploads are allowed for the information’s classification under your organization’s rules. For work files, consult the approved process rather than relying on a personal account’s settings.
- Minimum necessary content: Could you remove names, account numbers, identifiers, or unrelated pages while keeping the task useful? Redaction and de-identification reduce exposure but do not guarantee that re-identification is impossible or make an otherwise unauthorized disclosure permissible.
Why multiple files can create a bigger problem
File uploads can create risks beyond model training. Singapore’s Government ICT&SS Policy Reform catalog warns that an AI application with file uploads can expose sensitive information if a model is prompted to reveal it, and that users may exceed permitted classification levels by uploading several files without reassessing them together or by selecting a document with a higher classification by mistake. Its guidance points to safeguards such as data-loss-prevention monitoring and reviewing both each file and the combined classification of multiple files. See the Singapore government guidance on generative AI; it is policy guidance for its context, not a universal rule for every organization.

When a managed cloud service may be appropriate
Some business and API offerings make commitments that differ from consumer services. OpenAI says that inputs and outputs for its listed business and API offerings are not used to train models by default; it also describes encryption and configurable retention for qualifying organizations. Certain retention or data-residency controls may be available only to eligible customers. These are statements about the offerings and qualifications described by OpenAI—not a promise about every product, account, or provider. Check OpenAI’s current business data, privacy, security, and compliance terms, and verify that the terms match the account and workflow you will actually use.
What local document chat changes—and what it does not
Local document chat can avoid sending document contents to an external model service when the model and document-processing workflow run on your device. LM Studio documents offline document chat with downloaded models and says documents stay on the user’s machine. Its offline-operation documentation explains that mode. Ollama distinguishes local execution from cloud-hosted models and says it does not see prompts or data when it is running locally. Local processing is not a compliance exemption or a guarantee of security. The device, files, outputs, backups, and access controls still matter, as do your legal and organizational responsibilities. A tool may also offer cloud modes, so confirm which mode is active and how the workflow behaves on your network. As a Singapore-specific example, the Ministry of Health said on 4 August 2026 that patient-data security requirements apply whether an AI tool is hosted by a third-party cloud service or on-premise. Read the Singapore Ministry of Health statement; its jurisdiction-specific example should not be treated as a universal legal conclusion.
Local models also require compatible hardware, and their speed and capabilities vary. There is no single model or computer configuration established here as suitable for every document task, so choose based on the work you need to do rather than assuming local chat will match a cloud service in every respect.

A practical decision rule
- If you cannot confirm permission to disclose the file, do not upload it. Ask the document owner, your organization, or the relevant privacy or security contact.
- If disclosure is allowed, reduce what you share. Remove unnecessary identifiers and pages, and reassess any files that will be uploaded together.
- Match the service to the data. Check the exact account’s current retention, access, training, location, and contractual controls; do not rely on a different plan’s promises.
- If cloud use is unsuitable, choose a non-upload workflow. Use local search or review, an approved internal tool, or genuinely local document chat—and secure the device and files.
