Outlook’s “data file cannot be accessed” error and an OST corruption warning are different problems, so the right fix depends on the exact message, Outlook version, and account type. Before you change a profile or delete an OST, check that recent offline work has synchronized and preserve any PST files you need.
First, identify the error and your Outlook setup
Write down the full error text and code, then note whether you use classic Outlook or another Outlook client, your Outlook version, and whether the account is Microsoft 365 or Exchange, IMAP, or POP. Also note when the error appears: while sending or receiving, at startup, when opening a particular data file, or alongside a corruption warning.

Two messages that sound similar have different documented remedies. Microsoft’s 0x8004010F guidance applies to Outlook 2010 and Outlook 2013, and identifies a corrupted Outlook profile as the cause in the scenario it covers. A separate Microsoft article addresses the message “Errors have been detected in your .ost file” in Outlook 2013 or later. Neither article establishes one universal fix for every OST-related error or current Outlook setup.

Protect offline work before changing a profile or OST
An OST is an offline cache synchronized with an account; it is not a portable archive that can be treated like a PST. If you remove it, Outlook can rebuild it from the server only to the extent the relevant mailbox information is available there. Unsynchronized, local-only changes may not return.

- Record the current Outlook data-file location and identify any PST files you need to retain. Do not assume an OST is a substitute for a PST archive.
- Do not delete the profile or OST until you have considered whether offline changes remain unsynchronized. Microsoft warns that removing a profile deletes offline cached content.
Microsoft’s overview of opening or importing items from an offline Outlook Data File explains why an OST should not be handled as a freely portable mailbox backup. Steps and labels vary by Outlook version and account configuration.
Fix the documented 0x8004010F profile case
If the full error is 0x8004010F and you use Outlook 2010 or 2013, Microsoft’s article points to a corrupted Outlook profile. Its documented route is to identify the default data-file location and create a new profile. Use the labels and prompts that match your Outlook and Windows setup; the exact path can differ.

- Record the default Outlook data-file location before changing profiles. Preserve any PST files that contain information you need.
- Create a new Outlook profile. When the setup flow asks for an existing data file, select the appropriate file and account details for your configuration.
- Open Outlook with the new profile and test the affected operation, such as sending or receiving mail. Validate that the account and required data are available before setting the new profile as the default or removing the old one.
For the version-specific procedure and troubleshooting context, see Microsoft’s article on error 0x8004010F in Outlook 2010 and Outlook 2013. Do not assume this exact procedure applies to every current Outlook build or account type.

Rebuild an OST when Outlook reports detected file errors
If Outlook displays “Errors have been detected in your .ost file,” Microsoft’s documented remedy for Outlook 2013 or later is to close Outlook, delete the affected OST, and reopen Outlook so it can download mailbox information again from Exchange. Use this path only when the server is available and contains the mailbox content needed to rebuild the cache.
