Outlook categories are named color labels you can apply to messages and other supported items to group and find related information. Start with a few labels tied to real tasks—such as a project, follow-up, or reference—and apply them consistently. The exact controls differ in new Outlook, classic Outlook, and Outlook on the web, and IMAP email accounts do not support category assignment.
Microsoft describes color categories as a way to identify and group related items, including email, appointments, contacts, and notes. An item can have more than one category, so a message can belong to both a project and a follow-up group. Categories support visual recognition and filtering; Microsoft does not report a quantified productivity gain from using them.

Build a small category system around how you retrieve items
Choose names that answer a practical question: which project does this belong to, what kind of follow-up does it need, or when should I review it? For example, you might use “Project North,” “Waiting for reply,” and “Reference.” These are starting ideas, not Microsoft-prescribed categories.

- Keep the list manageable so applying the right label stays quick.
- Rename generic default categories to reflect your own work. Microsoft’s category guide explains how to create and rename categories: Create and assign color categories in Outlook.
Create and manage categories in your Outlook version

Microsoft’s instructions are version-specific and interfaces can change. If the steps do not match what you see, select the matching new Outlook, classic Outlook, or web tab on the Microsoft category guide.

Apply a category to a message, calendar item, or contact
Email in new Outlook
Select a message in the message list, open it in the reading pane, or open the message itself, then choose Categorize. The menu shows recent categories; choose Manage categories if the one you want is not listed. You can repeat the action to add another category.
Calendar events
Right-click an event and choose Categorize, or open the event and choose Categorize on the event ribbon. The same category list is available across Outlook item types, and you can apply multiple categories by repeating the action. See Microsoft’s calendar event instructions.

Contacts
In classic Outlook, assign or rename categories and sort the contact list by the Categories column. In new Outlook, open the contact’s More options menu to assign a category. Microsoft’s steps are in Organize your contacts with color categories.

A category is most useful when it helps you retrieve a group of items, not only when it adds color to a list. Outlook supports filtering items by category; the exact control depends on the view and version. Follow Microsoft’s directions for filtering items by category. In classic Outlook contacts, the Categories column can also be used to sort the list.

Categories are labels, while folders are a separate organizing structure. A category can group an item without moving it out of its existing folder, which is useful when you want to view related messages from different locations together. Folders remain available for organizing items by location; Microsoft explains them in Create a folder or subfolder in Outlook.
Categories and flags do different jobs
A category names a group or context; a flag marks an item for follow-up. Microsoft says flags are not associated with colors by design, but you can add a category to a flagged item to give it a visible grouping label. See Add a color to a flag.

Categories can also connect with Microsoft To Do for flagged email, but the message must be both flagged and categorized. This applies to messages in the Flagged email list; it does not mean every categorized email automatically becomes a categorized task. Microsoft documents the behavior in Manage tasks with To Do in Outlook.

Know what categories change—and what they do not
- Meeting visibility: If you categorize a meeting or request you received, the category changes your own Outlook view, not the sender’s or other attendees’ view. Microsoft explains this in its calendar categories and reminders guide.
- IMAP email accounts: Microsoft’s category guide says IMAP account types do not support assigning categories. This limitation is specific to IMAP and should not be generalized to every Outlook account type.
- Outlook for iOS calendar: The app can display category colors already applied to Microsoft 365 calendar events in Outlook for Windows, Mac, or web, but Microsoft says you cannot apply or edit category colors on calendar events in the iOS app. Details are in Calendar Category colors.
Because category controls vary by Outlook version and item type, use the Microsoft help page matching the screen you are using rather than assuming the same menu appears everywhere.
